Adjunct Faculty Activity Insight Handbook Activity Insight is the College of Arts & Sciences’ database for collecting faculty information for annual reports and office hours/class schedules. The following tables detail the data-entry information required from adjunct faculty to support these reporting efforts. The next section provides the simple steps to log in and access the Activity Insight database. Table 1: Class and Office Schedule Data Entry Each semester, adjunct faculty members should check the following screens for accuracy or to enter the information required: 1. 2. 3. 4. Update your office hours through the Faculty Schedule, Non-teaching link General Information section). Verify your course schedule through the Teaching Schedule link (Teaching/Student Intellectual Development section) This information is due by the second Friday each term. Table 2: Adjunct Annual Report Responsibilities While AI’s data-collection capabilities are significant, adjunct faculty members are only responsible for entering the following pieces of information that are accessible from the Manage Activities Main Menu: 5. Complete the Reflection on Teaching by class under the Scheduled Teaching link (Teaching/Student Intellectual Development section), which is needed for your annual report. Fall-only adjuncts should complete this by December 15, or as early as possible. 6. Complete the Reflection on Academic Responsibility on the Goals Overview/Highlights link in the Goals section. 7. Optionally, you may wish to track your intellectual contributions and presentations under Scholarship/Creative Activities and Professional Stewardship contributions under Professional Stewardship and Academic Responsibility. List of forms to be completed from AI and dates Faculty Annual Reports: Generated at the department level on or about May 15. Adjuncts teaching only in the fall semester should complete their reports by Dec 15. If necessary, changes can be made and a new report can be generated. A PDF of the final report will be sent electronically to the Dean’s office with the Chair’s comments on or before July 20. Official CVs: All faculty should submit an updated copy of the Curriculum Vitae (CV) with the annual report each year. The Dean’s Office and Academic Affairs need these documents for for accreditation purposes. Faculty may choose to maintain their CVs in the style or format that they prefer. However, they may also can run and review their standard CV in AI at any time. To run a CV in AI, click Run Reports. Select Vita in the dropdown list, set your date ranges, and then select your file format. Then click Run Report at the top. Logging In Access for Activity Insight is provided with a single logon through Wingspan. Once a faculty member has logged into Wingspan s/he can find the direct link to Digital Measures/Activity Insight (referred to as AI in this document) on the “Home” tab. If you do not see the Digital Measures/Activity Insight link on your Wingspan home screen, it likely means that your paperwork has not fully processed through Human Resources. The link should automatically appear once that information has been processed. Screen Navigation Tips When you first visit AI, we recommend that you spend a few minutes looking through the various screens. To access a screen, click its name. The resulting screen displays records that are stored for that screen. There are six possible actions you can take from the resulting screen, although not all of these actions will always be available: To add a new record, select To import items in bulk, select Contributions screen). To delete a record, select the appropriate check box, and then select Note: For records that you can view but not edit or delete (Read Only), information has been added to the system for you and has been set by your Digital Measures Administrator as un-editable. If such records need revision, contact the Associate Dean. (available only for the Intellectual Saving Records: When working in the system, it is important that you preserve modifications by selecting one of the Save buttons at the top or bottom of the screen. “Save” saves the current entry and returns to previous screen. “Save + Add Another” saves current entry, displays blank screen to begin another. Managing Your Activities Getting to the Managing Your Activities Main Menu Once in the AI system, you can access the University menu by clicking on Manage Your Activities at the top of the Dashboard Menu. Department chairs also have access to information for those individuals who are assigned to a program in the department. This allows a chair to pull information for reports at the department level. The chair should monitor whom s/he has access to and report any issues to the Associate Dean. Information must not be altered without the faculty member’s knowledge and consent. Manage Your Activities Main Menu The Manage Activities link takes you to the following main screen, shown here with items you should complete (scroll down to see additional menu items, if they do not appear on the screen): All of your data entry links are connected to this screen. Data Entry Sequence (from Table 1 and Table 2) 1. Update your Personal and Contact Information from the General Information section Personal and Contact Information—Collection of contact information, office location, and biography information. Should be updated by faculty to reflect current information. Please review information at least every August. 2. Review and update the information included on the Education screen from the General Information section. This screen should minimally include: Terminal degree Degrees related to Winthrop position New degrees awarded 3. Update your office hours through the Faculty Schedule, Non-teaching link from the General Information section This screen will be used to build the “Class and Office Schedules” previously created by faculty each term. Office hours should be updated by the second Friday of every term. 4. Verify your teaching schedule through the Teaching Schedule link from the Teaching/Student Intellectual Development section. This screen will be updated three times each term (at the beginning, middle, and end). Faculty are responsible for notifying the Associate Dean of any discrepancies (canceled classes, incorrect indication of teaching credit hours, etc.) These data feed directly to the faculty member’s annual report and class and office schedules. All experiences with a CRN will appear on this screen. If the experience is an independent research course that involves multiple projects and/or students, faculty can choose to report on this work through the Directed Student Learning instead of the common reflection prompts. In such cases the faculty member should include a note in first prompt under Reflection on Teaching to indicate location of report. 5. Complete the Reflection on Teaching by class under the Scheduled Teaching link from the Teaching/Student Intellectual Development section. The Reflection on Teaching is needed for your annual report. The data-entry boxes lie at the bottom of each class in the Scheduled Teaching section. Faculty who teach multiple sections of the same course or cross-listed courses can choose to group reflections by course. In such cases, the faculty member should include a note in the first prompt under Reflection on Teaching to indicate the location of the report. Adjuncts teaching only in the Fall semester should complete this section by Dec 15, or as early as possible. Fall/Spring Adjuncts—Due May 15. 6. Complete the Reflection on Academic Responsibility on the Goals Overview/Highlights link in the Goals section for the annual report. Select the Annual Overview/Highlights link below Goals and Summary (at the bottom of the main menu), and then +Add New Item to enter the Reflection on Academic Responsibility. All faculty must evaluate their participation in Academic Responsibility and, as appropriate, Professional Stewardship. 7. (Optional) Complete the Intellectual Contributions and/or the Professional Stewardship sections to be included on the Annual Report.
