Safari Club International/Foundation Position Description POSITION TITLE Record Book Specialist REPORTS TO Record Book/World Hunting Award Director POSITION ID 504 LOCATION Tucson, AZ JOB FAMILY Collections/Archives/Record Book Grade 7 Rec Min $27,214.00 Rec Mid $34,018.00 EFFECTIVE DATE July 2012 FLSA STATUS Non-Exempt Rec Max $40,821.00 POSITION SUMMARY The primary responsibilities of the Record Book Specialist are to manage and process Record Book entries into the Record Book of Big Game Animal software, sell and process World Hunting Awards of SCI members, and to represent SCI and the RB Department publically. This includes attending public events such as trade shows and conventions. As the Record Book Specialist, becoming a SCI Master Measurer is required as part of the position. As A Master Measurer, you duties would also include the scoring of Big Game Animals as needed for SCI members locally and assisting the SCI Chief Master Measurer in the field scoring of Trophy Rooms for SCI members throughout the US. ESSENTIAL FUNCTIONS – All areas of responsibility listed below are essential to the satisfactory performance of this position by any/all incumbents, with reasonable accommodation, if necessary. Receives all submissions for Record Book; prints and mails entry confirmation letters, prepares and batches entries, sorts by species code, proofs, scans and forms and photos into electronic storage system, marks potential top ten entries, and notifies members that trophy must be measured by a certified measurer, and ships to sub-chairs. 2. Manages all batches and reports concerning the Record Book & Record Book entries. Balances batches and submits to accounting. Processes medallion orders. Manages all reports concerning the medallion plaque entries including the scheduling of completion of the production of the medallions. 3. Maintains Record Book member files and addresses. Maintains guide and location files. Maintains correspondence file for all incomplete entries. Verifies membership, entry fees, and complete information on form, pictures, and signatures. 4. Handles general member correspondence and requests for information from the Record Book or World Hunting Awards programs. Quotes prices and encourages customers to purchase awards or get involved in the Record Book program. 5. Assists in the Major Award Process which includes; generates reports, creates spread sheets for potential winners, sends reports to judges, and assembles their selections into a winners list. Secures all photographs of winners and supplies the information to the appropriate parties. Assists with World Hunting Awards calls and data entry. 6. Maintain certification as a Master Measurer and score Big Game Animals for members of SCI. Scoring responsibilities include the measuring of local species taken by members as well as traveling to members’ homes to score their trophies rooms on a as needed basis. 7. Responsible for the identification and categorizing of all species throughout the world from photographs and the use of the Record Book Software. Identifies continents and geographical location of all species categories recognized within SCI. 8. Assists the Director in preparing materials for the annual convention. Plans and oversees and sets up the Major Award Cocktail Reception including awards presentations, food and beverages, bronzes and awards. Proofs the program and power point presentation. Manages the temp staff hired for the event. Staffs the Record Book booth at the annual convention. 9. Attends RBC meetings as needed. Serves as a co-liaison to the RBC as needed. 10. Assists in the publication of the annual SCI Record Book of Big Game Animals and Awards Issue of Safari Magazine. 11. Performs other related duties as assigned. SCOPE AND COMPLEXITY National travel is required for this position which averages 6 days each month and may include weekends. Incumbents must have a broad, unique, world-wide knowledge of geography and approximately 800 wildlife species. The position interacts with all levels of employees within the organization as well as members, non-members, committees members, measurers, and related vendors and service providers. PHYSICAL DEMANDS/ENVIRONMENT FACTORS Essential functions are performed in a typical office environment and require operation commonly used office machines and equipment. MINIMUM QUALIFICATIONS This position requires a High School Diploma and 4 years of customer service and sales experience. Must possess knowledge of the hunting industry, geography and wildlife. Must demonstrate excellent communication skills, attention to detail, organizational skills and exceptional customer service. Must be proficient with spreadsheet, word processing, database, and graphic presentation software programs and have the ability to become proficient with proprietary software needed for the performance of the essential functions of the position. OR Any equivalent combination of education, training and/or experience that fulfills the requirements of the position will be considered.
