New Employee Onboarding Information

This information is designed to make your transition to Alabama A&M University a successful
transition. Some of the information may or may not be relevant to your position.

 The Office of Human Resources will request an email address from ITS after the
employee completes the New Employee Orientation.
 The Office of Human Resources will notify the employee’s supervisor of the
email address.
 You will need to change the email default password. The default password is the
first four letter of your last name and the last four numbers of your Banner ID.

 Complete the Banner Access Request form on website:

 A separate Banner Access Request form should be submitted for each Banner
Module: Budgeting, Finance, Accounts Receivable, Financial Aid, Human
Resources, and Student.
 Your supervisor must sign each Banner Access Request form.
 Submit the Banner Access Request form to the appropriate Data Steward(s).
 Banner Self-Service - Faculty, students and staff members are given Self-Service
accounts. Self-Service is used for activities such as registration and viewing pay

Electronic Personnel Action Form (EPAF) – Office of Human Resources

Electronic Personnel Action Form (EPAF) is an online form originated by the department to
communicate an employment decision (personnel action) about an employee to the Human
Resources and Payroll. All employment decisions require the attention of Human Resources,
and require the employees' Banner record to be updated. So, the department is required to
initiate and submit an EPAF transaction that specifies the nature and details of the employment
decision.

Web-time Entry – Payroll Department
Contact: Casie Steen, Payroll Supervisor, Extension 4888
Web-time entry is used to submit an employee leave hours online. The online form must be
completed by the required deadline set by the Payroll Department. If a time sheet is not
submitted by the deadline, the employee’s pay will be delayed until the next month.
Your supervisor must submit a Leave/Time Entry Approver Authorization Form to add new

Ordering Office Supplies – Purchasing Department

ID to the Staples website.
The vendor Banner number for Staples is A00435961.
Staples website is www.staplesadvantage.com. Orders must be $50.00 or more.
For paper, the vendor is Athens Paper (A00124582). The paper products are: 8.5 x 11 20lb white
paper and 8.5 x 14 20lb white paper. The paper is ordered by the case.
Interview Exchange – Office of Human Resources

To post and hire employees at the University, we use the online Interview Exchange tool.
Mrs. Pruitt will create an account for you in Interview Exchange.
Public Safety

Bulldog Alert
 In the event of an emergency, if you have signed up for Bulldog Alerts, you will receive a
text message notification and email with instructions. We recommend everyone sign up
for this service.

Parking decals
 All vehicles parked on University property must display a valid University Permit or
Department of Public Safety (DPS) issued parking pass. Vehicles that do not display a
valid University Permit or DPS issued parking pass are improperly parked and will be
ticketed and/or towed at the owner’s expense.

Decals for person vehicles are obtained at the Department of Public Safety. When
registering your vehicle, you must provide a valid driver’s license, insurance card, and
tag receipt/vehicle registration.
There is a fee for the parking decal.
