EMPLOYEE COURSES FOR CREDIT PROGRAM
Rose-Hulman Institute of Technology encourages and expects each employee to continue to grow
professionally. While this will often be done by such things as attendance at meetings, workshops,
conferences, training sessions on and off campus at Institute expense, there may be times when professional
development goals of the Institute are well served by employee completion of courses for academic credit.
The following guidelines will apply to such cases:
An initial Employee Courses for Credit Program Application for tuition assistance or subsequent
applications must be made to the supervisor. An application is required for each academic period. A copy
of the course syllabus or course description must accompany the application, with supervisory approval,
and returned to Human Resources. Human Resources will be the final approver in determining whether the
course is related to the employee’s current position. Only courses deemed related to the employee’s current
position will be paid. This process must be completed before class enrollment to be eligible for payment.
The employee shall present the bill for tuition and academic related fees to Human Resources. The Institute
shall pay the cost of the tuition and academic related fees directly to the institution at which the employee is
enrolled.
The Professional Development line of the applicable department budget is to be charged for all courses.
Upon completion of the course, the employee shall provide a copy of the final grade report to Human
Resources. Failure to provide a grade report or achieving a final grade less than “C” shall be cause for the
employee to reimburse the Institute the entire amount of tuition and academic related fees within 30 days
after course completion. If the employee drops the course for any reason prior to course completion, the
employee will be responsible to repay the Institute and academic related fees within 30 days of dropping
the course. Reimbursement shall be either direct payment or payroll deduction as elected by the employee.

Employees who take courses for credit related to their current position at Rose-Hulman
Institute of Technology must have the permission of their supervisor. After enrolling in the
course, the employee will receive a regular bill which should be returned to the supervisor for
approval and then forwarded to the Benefits Coordinator in Human Resources. The President
has approved automatic budget exceptions for such charges. This procedure is necessary
because all students must be billed for courses for credit.

Employees who take courses for credit related to their current positions at schools other than
Rose-Hulman Institute of Technology must have the permission of their supervisor. After
enrolling in the course, the employee will receive a regular bill which should be returned to
the supervisor for approval then forwarded to the Benefits Coordinator in Human Resources.

Employees who take courses for credit which are unrelated to their current positions must
do so at their own expense. This includes courses at Rose-Hulman Institute of Technology.
Employees may make adjustments in their work hours to facilitate such courses, if those
adjustments are consistent with satisfactory job performance and have the approval of their
supervisors.
