Essentially there are six parts to an ePortfolio Personal Development Plan and Curriculum Linking Meetings with your educational and clinical supervisor Assessments Supervised Learning Events Reflective reports and other evidence Declarations and sign-off documents 2 How do I log in to the ePortfolio? 3 Usernames and passwords are issued by Education Centres. The website address for logging into the ePortfolio is www.nhseportfolios.org Who do I contact if I’m having technical issues with my ePortfolio account? Support for your ePortfolio account is provided by foundation@thamesvalley.hee.nhs.uk 4 Who do I contact to change my Educational Supervisor on the ePortfolio? In order to have your Educational Supervisor changed, you must gain approval from the Medical and Dental Education Manager before the change can be made. Your ePortfolio will then be updated with your new Educational Supervisor’s details by the Department of Medical Education. 5 How do I get my Educational and Clinical Supervisor added to my ePortfolio? 6 How long does my Educational Supervisor and Clinical Supervisors have access to my ePortfolio? 7 Agreed educational supervisors will be automatically added to your ePortfolio. In order to have your Clinical Supervisor added to your ePortfolio, please contact Becca Hodgson, Becca.hodgson@ouh.nhs.uk with the name of your supervisor and their email address each time you change rotation. Educational supervisors have access to your ePortfolio for up to 3 months after they cease to act as your educational supervisor Clinical supervisors have access to your ePortfolio for up to 3 months after they cease to act as your clinical supervisor Meetings 7.1 Educational Supervisor You must meet with your Educational Supervisor at the beginning and end of each placement and complete the following forms on the ePortfolio for each placement: Initial Meeting with the Educational Supervisor Personal Development Plan (PDP) Educational Supervisor’s End of Placement Form 7.2 Clinical Supervisor You must meet with your Clinical Supervisor at the beginning and end of each placement and complete the following forms on the ePortfolio: Induction Meeting with the Clinical Supervisor Clinical Supervisor’s End of Placement Report 7.3 Academic Placements – F2 Only During wholly academic placements you should document meetings with your Educational Supervisor and your Academic Supervisor at the start and end of the placement. If you have clinical day release during your academic placement then you should also document meetings with a Clinical Supervisor at the start and end of the placement. PTO 8 Supervised Learning Events (SLEs) 8.1 Clinical Evaluation Exercise (Mini CEX) A minimum of 6 Mini CEXs need to be completed each year. These should be spaced out throughout your year. 8.2 Direct Observation of Procedural Skills (DOPS) A maximum of 3 DOPS are to be completed each year. These should be spaced out throughout your year. You must complete a total combination of 9 Mini CEXs and DOPS per year. At least 6 must be Mini CEXs 8.2 Case-Based Discussion (CbD) A minimum of 6 CbDs needs to be completed each year. These should be spaced out throughout your year. 8.4 Developing the Clinical Teacher At least one Developing the Clinical Teacher form on the ePortfolio must be completed each foundation year. 9 Assessments 9.1 Team Assessment of Behaviour (TAB) You must complete at least 2 TABs in each foundation year. You and your educational supervisor will agree on 15 raters/assessors to approach. You must also complete a self-TAB before you can ask for assessments from others. The first TAB will be in autumn 2014 and the second TAB will be in spring 2015. Once your TAB is complete, your Educational Supervisor must release the TAB summary to you and discuss any items which have been raised. This can be done at one of your regular meetings. 9.2 Core Procedures (F1 Doctors Only) It is a requirement that F1 doctors provide evidence within their ePortfolio of satisfactory performance of each core procedure at least once during the year. 9.3 Clinical Supervisor’s End of Placement Report At the end of each placement, you must meet with your CS to complete a summative assessment of your overall performance and progress in the placement. The outcome of this assessment discussion should be agreed between you and your CS and recorded in the Clinical Supervisor’s End of Placement Report. 9.4 Educational Supervisor’s End of Placement Report Your educational supervisor will need to complete one of these forms for each of your placements. Your educational supervisor uses information the Clinical Supervisor’s End of Placement Report to write the Educational Supervisor’s End of Placement Report, so you will need to meet with your clinical supervisor first. 9.5 Educational Supervisor’s End of Year Report This report will be completed by your educational supervisor at the end of the year. This will form the basis of whether you have successfully completed your foundation year.
