Introduction to Adobe Acrobat 9 Methods for Creating PDF Files There are several methods for creating PDF files. A popular method is to create a document in Microsoft Word 2007 which will be converted to a PDF file using Acrobat PDF Maker. Converting a Word 2007 Document You can use Word 2007 (and other Office 2007 programs) with Adobe PDF Maker to create PDF files that will be accessible to readers on all platforms, regardless of whether or not they have Word (or another Office 2007 application). For earlier versions of Word, Convert To Adobe buttons and an Adobe PDF menu are added to Microsoft toolbars and menu bars. A Word file entitled Fonts and Open Type is provided for this lesson. If you are creating an informational document that is somewhat lengthy, you may want your PDF document to contain bookmarks. These assist readers to rapidly jump to certain locations in the document. Bookmarks can be created automatically in a conversion from a Word document to a PDF document with the use of Word headings and styles. Hyperlinks created in your Word document are preserved in the PDF document. If comments have been added to your Word document, the comments are converted to notes in the Adobe PDF document. Use PDF Maker for the Conversion The Acrobat Maker dialog box is where you define the settings that control the conversion of your Word file to Adobe PDF. With your Word document ready to convert to Adobe PDF, do the following: 1. Click on the Preferences icon in the Create Adobe PDF group. 2. The Acrobat PDF Maker dialog appears with the Setting tab selected. Leave the default settings checked. 3. In the Application Settings section of the Settings tab, click Create Bookmarks, Add Links, and Enable Accessibility and Reflow, if they are not already selected. 4. Click the Word tab. Under the section, Word Features, select the features that you want. If you have Footnote or Endnote links, be sure to select this feature. Also, select the Enable Advanced Tagging feature. 5. See at the right, the Word tab of the PDF Maker dialog. 6. Below right, the Bookmarks tab of the PDF Maker dialog is pictured. 7. This tab is where you determine which Word headings and styles are converted to PDF bookmarks. 8. If you have checked Convert Word Headings to Bookmarks, then Word Heading 1 through Heading 9 styles are converted automatically. In the provided Word file, only headings are used. 9. When you select Convert Word Styles to Bookmarks, you will scroll down the list of styles and click to check the styles you want converted to bookmarks. If you have defined some styles, and if you select this feature, be sure to not check any body text styles. Only select text that introduces a paragraph that the reader may wish to move to. 10.Deselect any bookmarks you may not want. 11.Any settings that you make in the Bookmarks tab apply only to the conversion of Word documents. Do the Conversion 1. On the Acrobat ribbon, click the Create PDF button. (On earlier versions of Word, click the Convert to Adobe PDF button on the Word toolbar.) 2. In the Save Adobe PDF As dialog box, name and save your file. 3. Acrobat automatically displays your converted file. 4. Look at the Bookmarks that were created. 5. Choose File then Exit to close Acrobat. Tagged PDF About Flexibility, accessibility, and structure. The accessibility and flexibility of your Adobe PDF files determine how easily vision- and motion-impaired users and users of hand-held devices can access, reflow, and (if you allow it) reuse the content of your files. You control the accessibility and the flexibility of your Adobe PDF files through the amount of structure you build into the source file and how you create the Adobe PDF file. Checking for Accessibility You should check the accessibility of your PDF document before you distribute it to users. 1. Choose Advanced > Accessibility > Quick Check. 2. The message box indicates the document has no accessibility issues. 3. Click Ok to close the message box. 4. However, if you had chosen the full check, you would have been informed that the document did not have a language specified. Specify the Reading Language 1. In the Acrobat PDF program, pull down the File menu and choose Properties. 2. Click the Advanced tab of the Document Properties dialog. 3. In the Reading Options area, for Language, click the down arrow and select the English language. 4. It is possible for sight-impaired people to have the text read aloud to them. Reflowing a flexible PDF file Adjust the size of your document window to mimic the smaller screen of a hand-held document as follows: 1. Choose View > Zoom > 50% to display the document at 50% 2. Scroll down the document using the scroll bar and see how the text of the document is reflowed to accommodate the smaller document size. 3. When you reflow text, artifacts such as page numbers and page headers often drop out because they are no longer relevant to the page display. You cannot save the document in the reflowed state. Adding Alternate Text See at right a picture of the tags associated with the document after conversion. If your document contains a picture, you will see a tag that indicates a figure. You can right-click on that tag and on the context window that displays, indicate you want the program to highlight the picture to make sure the tab is the correct one for the picture. Then, rightclick the tag again, and this time on the context menu, choose Properties. In the window of the Properties box, type a short explanation of the picture or figure.
