College Undergraduate Scholarship Committee

Committee Charge

The College Scholarship Committee will consist of Jessica Carrillo, Director of Engagement, Susan

Harkey, Unit Manager and the Senior Associate Dean, who will also serve as Scholarship

Coordinator. The committee will review college-wide scholarship applications and develop a list of awardees according to specific criteria for college-administered scholarships. Committee members will recuse themselves from all scholarship activities in the event of nepotism, bias, conflict of interest and/or prejudice. The committee will look to the TTU Ethics Policy (OP 10.1) for guidance.

Responsibilities of Committee:

1.

Review applications for scholarships awarded by the Rawls College of Business.

2.

Select scholarship recipients for college academic scholarships based on selection criteria for each scholarship and the scholarship funds available.

3.

Select College’s outstanding students to be recognized at the Rawls Scholarship reception

(would like to set for this coming Spring/Fall this event should be handled by our development folks).

Committee Procedures:

1.

Fund balances are entered into STS by Janice Hicks, Sr. Director of Internal Operations.

2.

All applicants will be reviewed and matched for potential scholarship awards based on amount of funding available and (1) academic excellence, (2) by adhering to the criteria of each scholarship available.

3.

Approved awardees will then be contacted via email and/or postal services of the scholarship they are being offered. The award letter will include the amount of scholarship, the period of the award, and the specific requirements of maintaining the award (e.g. minimum GPA required, enrollment hours, and any other criteria).

4.

Approved awardees will be entered into STS by the due dates outlined by TTU Scholarship

Policy. (see below)

Scholarship awards will be marked “pending” in STS until all required information has been returned from the student.

6.

All thank you letters from students will be reviewed and returned to student for editing if necessary. Student must return edited letter by deadline in order to receive their award.

7.

Upon receipt of final thank you letter from student, STS will be updated to “accepted” in order for student to receive their award.

8.

Thank you letters, along with a cover letter will be sent to donors.

Review

The committee will review policies and procedures for the entire college during the fall semester of every even-numbered year. The review will be conducted by Jessica Carrillo, Director of

Engagement and Susan Harkey, Unit Manager. All recommendations for revision will be presented to the Senior Associate Dean.

In order to ensure the college is in compliance with scholarship criteria an internal audit will be conducted by Jessica Carrillo, Director of Engagement and Susan Harkey, Unit Manager along with a representative from the office of Institutional Advancement of all scholarship documents to review the following:

• Documented list on file of Scholarship Committee Members.

• Documented back up as to how the Committee requested the raking of Applicant Data out of STS or approved to view the Scholarship Applicant data.

• STS entry verification (to verify entries made to STS by Susan Harkey, Unit Manager is what the committee approved).

• Donor criteria (to verify that scholarship awards meet donor criteria).

• Appropriate recusal efforts (review of high risk awards- awards made to relatives, employee’s friends, or employees themselves).

• Department has an adequate file system for Scholarship Awards. Along with copies of final award report along with any back up documentation used through the award process.

Audit will be conducted in November of each year.
