Academic Area Scholarship Awards Policy & Procedure
Responsibilities of Academic Area Committee:
1. Review applications for scholarships awarded by the Rawls College of Business.
2. Select scholarship recipients for area academic scholarships based on selection criteria for
each scholarship and the scholarship funds available.

An updated spreadsheet of fund balances will be emailed to each Area Coordinator and
Chairman of each Area scholarship committee by either Jessica Carrillo, Director of
Engagement, or Susan Harkey, Unit Manager, no later than March 5th of each year.
Each Area Scholarship Committee will receive an excel spreadsheet with their pool of
applicants, with regard to their major, and will include students with financial need.

Area Coordinators or the Chair of the Scholarship Committee will convene the area
scholarship committee.
Scholarship Committee will select award recipients, based on academic performance,
adhering strictly to criteria set forth by the donor of the scholarship.
The scholarship committee will then provide the following forms to the College
Undergraduate Scholarship Committee no later than May 5th in order to be in compliance
with University policy:
a. Form A – Approval of Candidate(s) for Scholarship Awards
b. Form B – Scholarship Recipients Form with scholarship awardees
The award list will then be reviewed by the Executive Scholarship Committee to ensure
that criteria have been met for each recipient. Areas will be notified when their
scholarships have been approved.
Once approval has been received, Area committee will then send award letters to recipients
via email and/or mail. All award letters must provide information to students about the
amount of the award, the period of the award, and the specific requirements of maintaining
the award (e.g. minimum GPA required and enrollment hours and any other criteria).
NOTE: Award recipients may not be notified of an award until the executive scholarship
committee has notified the Area committee chair that it has been approved.
All recipients MUST write a professional thank you letter to the donor in order to receive
their award. Please include the sample thank you letter with your award notifications.
The College Undergraduate Scholarship Committee will review all thank you letters before
awards will be posted in STS as “accepted.” The recipient should be directed to return their
original thank you letters to the Dean’s Office (see sample letter). Any letter that does not
meet thank you letter guidelines (formatting, spelling, grammar, etc.) will be returned to
the student for correction.
