New Process for Background Checks:
Talent Management is implementing a new automated background check request process for
employees, student employees, and volunteers who are hired outside of Kenexa. This process
replaces the need to complete the Authorization for Criminal Record Check form. Beginning
immediately (April 14) employees may log in to the automated background check application
using the following link: https://www.depts.ttu.edu/hr/apps/HRForms/backgroundCheck.php.
Users will use their e-raider credentials to log in and complete the required fields. Once the
electronic request is submitted Human Resources will initiate the background check. The
applicant will receive an email from PreEmploy inviting them to complete the background check
application. PreEmploy will provide the applicant with all the necessary disclosures required
under law. Once the background check is complete the requesting department will receive the
hiring recommendation form from Human Resources.
This process is available immediately. Talent Management will no longer accept paper form
background check requests beginning May 1, 2016.

KARA NEWCOMB – PAYROLL & TAX SERVICES
TTU 9 Month Faculty Members Enrolled in Insurance:
Email notifications went out regarding your insurance premiums for the summer months of June,
July, and August. To ensure there is no lapse in coverage during the summer, your “out of pocket”
premiums will be pre-deducted from your April 1, May 2, and June 1 paychecks. These are
automated deductions, therefore no action is needed by you. If you have any questions about
this process, please send an email to webmaster.payroll@ttu.edu.
Employee Moving Expense/Reimbursement (OP 72.10):
TTU should contract with the moving company
• Other costs to move employee and all members of the household should be reimbursed
after the move has occurred. Receipts must be submitted within 60 days of the move.
• Reimbursement submitted through Employee One Time Payment System (EOPS) as a
non-taxable (NMV) or taxable (MOV) reimbursement.
• Guidelines for Employee Move is a good resource to determine how a move should be
submitted.

ePAF Calculators That Might Be Useful This Summer
Making Graduate Student appointments for the summer may mean converting exempt to
nonexempt (or vice versa), such as exempt students who will not enroll in Graduate School and
must be appointed as Student Assistants. Three calculators are available on the HR Job Aids
webpage that can assist:

“Convert Hours to, from FTE” – This calculator allows you to enter hours to find an
associated FTE, or to enter the FTE to find the associated hours.
“Convert from ‘Annual Salary and FTE’ to Hourly Rate” – This calculator allows entry of
salary with associated FTE to find the hourly rate. It is especially useful when changing
from salary to hourly for the student assistant appointment.
“Convert from Hourly Rate to ‘FTE and Annual Salary’” – This calculator allows entry of an
hourly rate and desired FTE to find the associated Annual Salary.
Summer ePAF Instructions & Review
Monthly classes for Summer ePAF appointments are available on the SumTotal Registration site.
ePAF originators who have never completed Summer appointments should attend class, and
experienced ePAF originators are welcome to attend for a refresher.
The ePAF procedures are the same as last summer. The instruction guides are available on the
AFISM ePAF Job Aids site at http://www.depts.ttu.edu/afism/referencev2/jobAids.asp (scroll to
the bottom of the page, along with the slide presentation presented to the Administrators Group.
The template that is provided with each guide has been updated since last year; however, you
can use last year’s instructions with your notes.
