If not follow instructions: To “Create a Position Description for Staff” before following the instructions below to create a Waiver of Posting. If the Waiver is for Faculty position, a position description is not required. You can proceed with the instructions below 3 Login to the PeopleAdmin system. To locate the system, go to the CSU Home Page (www.csuohio.edu) and Click on MYCSU 4 Click on Human Resources Position Description, Performance Evaluation and Vacancy Management System 5 Click on CSU Employees Log In Here 1 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 6 Login using your CSU ID number and your CampusNet password 7 Change the module to ”Applicant Tracking” Click the Role drop down box Select “Hiring Manager” Click the refresh arrow 8 Hover over the “Postings” tab on the top Select “Staff” or “Faculty” 9 Click on the “Create New Posting” button 10 Click on the link to “Create from a Position Description” 11 Type the position name or current incumbent’s name in to the search box Click Search 12 The search will return a list of positions Select the position desired for creating the posting Click on the Business Title or name of classification 2 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 13 Click on the “Create Posting from this Position Description” link 14 Review/update the Business Title * Required Field 15 Review/update (Use drop down fields) VP / Provost Level College / Division Department 16 Skip Applicant Workflow it will default 17 Skip the box to allow applicants to add professional references. 18 Skip the Reference area 19 Skip Recommendation Workflow it will remain blank Skip Recommendation Document Type it will remain “Not Required” 20 Skip Accept online applications - it should be defaulted with a check 21 Skip Special offline applicants instructions (CSU only accepts online applications) 3 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 22 Select the Accepted Application Form (The short form is usually used for Waiver of Postings) 23 Click the box to “Create New Posting” 24 Review/Update the Business Title 25 Skip Internal Job Category - it will default 26 Select the Posting Category from the drop down 27 Skip Job Code Title, Job Code, Salary Grade, Salary Plan, and Position Number – they will all be selected for you and the PN will be updated by Budget 28 Select Position Location 28 Add Title of Immediate Supervisor 29 Add Immediate Supervisor Name 30 Skip FLSA Status (HR will add this for you) 4 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 31 Add the FTE (1 = Full Time) 32 Review/Update the Job Summary, Minimum, and Preferred default from the position description. 33 Select New or Replacement position 34 If you selected Replacement Position Add the name of the person being replaced 35 Skip Requisition Number - it will default 36 Select Funding: Regular, Temporary, Funds Available 37 Add date expires if you selected anything other than Regular for position type Note: Date must correspond to date indicated on the employment contract or waiver if applicable. 38 Skip any Special Notes to applicants 39 Skip any applicant instructions 5 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 40 Indicate the hours per week 41 Add the work schedule Example: 7AM to 3PM Monday – Friday 42 Select Yes or No for MVR (Motor Vehicle Report) *Note: This is only required if the position requires the employee to drive 43 Add Background Check Account number (List account number to charge fees for background check) 44 Add Hiring Range/Pay Rate 45 List the contact person for the posting 46 Select Full Time/Part Time 47 Skip Open Date (Date posting placed on Web) Skip Close Date Skip Open Until Filled Skip the Application deadline 48 6 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 Add Review Begin date (This is a required field- this will not create a posting however needs to be completed.) 49 Add the Start date (The date that the position will be filled – example ASAP) 50 Add Affirmative Action Goal if your department has a target 51 Skip any advertising sources 52 Skip account to charge Facebook if Boosted 53 Skip your Advertising Copy 54 Select the Type of Requisition (Waiver of Posting or Waiver Extension) 55 Add the Justification Type in the justification for requesting a Waiver of Posting. The Office of Institutional Equity will be reviewing this section to determine if the request will be approved. Faculty can upload a document at a step further in the instructions. 56 Skip the Internal Quick Link it will default 57 Skip the “Pass” and “Fail” messages 58 Add the Human Resources Staff member (the HR Consultant for your area) who will be helping with the Posting 59 Click the Next Button 60 Budget Information Click the “Add Budget Summary Entry” button 61 Add the Combination Code (Four (4) digit department code & four (4) digit account code) Add the percentage funded (Total of all codes must equal 100%) 62 Skip details on why the position is necessary 8 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 63 Skip details regarding other active postings for non-faculty in department 64 Skip details on work load 65 Skip grade/step or salary rage 66 Add the Funding Source, which will indicate how the department will fund the position 67 Skip Time line to fill position 68 Click “Next” button to proceed with posting 69 70 Skip the “Application Documents” Click “Next” button to proceed with posting 71 9 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 Skip Search Committee Members 72 Click “Next” button to proceed 73 Skip to Accept references (yes or no) 74 Skip the number of references that should be required 75 Skip the number of maximum references that an applicant can add 76 Skip the last day a reference can be submitted 77 Click “Next” button to proceed with posting 78 Posting Documents Select the document type you are uploading (Upload Candidates resume and Waiver Justification if necessary) Hover over the actions button, Select Upload New 79 Provide description Browse, Select file, Click Submit 80 Click “Next” button to proceed with posting 10 CSU Creating a Waiver of Posting/Waiver Extension – 11/12/14 81 Review the Waiver To make any edits prior to submitting Click the Edit link to update 82 Click the “Take Action On Posting” button 83 Select “ Send to Department Head” When the request reaches Budget, if it is a new position, the position number will be assigned. It will then be sent to the Office of Institutional Equity (formerly known as Affirmative Action). The Office of Institutional Equity will forward the posting to Human Resources. When the waiver request reaches Human Resources, the Consultant for the area will review the request to make sure all relevant fields are completed properly. The Consultant will contact the selected individual via email requesting that the individual complete a “Short Application” and complete the Release and Authorization form to complete a criminal background check. Once the application is submitted and the background check is complete, the Consultant will forward a Hiring Proposal to Compensation. Compensation will enter the salary information into the Hiring Proposal, enter any comments, and forward back to the Human Resources Consultant. The Consultant will reach out to the individual to extend an offer of employment with a start date and schedule the individual for New Employee Orientation if appropriate. The Consultant will contact the Hiring Manager regarding the individual’s acceptance. Preparing a Contract Once the individual has accepted the position, the department/HR Liaison should create the contract and submit the contract to the Provost’s Office or VP Business Affairs & Finance. 11
