Program Modernization grant is being revised this year. Deadline for submission to OIEP is May 15, 2011 Please include information concerning enrollments, number receiving credentials, and EDGE credit. Must be signed by local administrator and Advisory Council President New application will include scoring matrix Anticipating level of funding to be $900,000.00 When doing your application, write specifically for a program. The scoring matrix will be included this year, this will be of great benefit to you as you write your grant. Any questions contact Keith. Special Education – Jared Hughes Monitoring – comprehensive self assessment CSADA documents were distributed. Take out 2010 data and replace with 2011. List of labels were sent by email. Conference 2011 CEA Conference – There will be a motorcycle ride on Friday before the conference. Information about this has been posted on the CEA website. CEA night at the Power Park – Will cost $26.00 for ticket and all you can eat and drink at the ballgame. Go to CEA.org to fill out registration form and send the money to CEA, this is limited to 190 people. The CEA teacher of the year will be recognized at the ballpark. Send to Kellie ktetrick@access.k12.wv.us a list of people not coming to reception on Sunday at Marriott and who is not coming to the Teacher of the Year dinner and dance on Tuesday evening. The theme is College Daze. There will be DJ at dinner and dance. We will be having our own luncheon at the Civic Center only for OIEP on Tuesday of the conference. We will be sending out information about this later. This will be for awards for our own people and door prizes. We will also be having a silent auction that will be going on during the conference. If your vocational programs are making anything, send in detail what it is, how and when you are planning to get it to Charleston. Send this information to Kellie. Be sure to send in your registrations for the conference. If you get a new employee or lose an employee, be sure to send that information to Judy Burkle so we can have up to date information for registration. If you have anyone at your facility who is not trained in Thinking for a Change, contact Kari. 99 Days materials should be coming to regional jails, the PO has been approved. Kari recently attended a meeting on accelerated parole. New policy is ready March 1. It is estimated that only 5% of inmates will be eligible for this program. Must be enrolled and must be able to finish before they are paroled. Waiting lists do not count. Any questions about early parole, 99 days, or tracking, contact Kari. Dr. Ted Price presented on the OIEP strategic plan and personal proficiency. This is an ongoing discussion of the leadership survey. Rebecca Derenge – Counselor standards – WV has developed these new standards and they were approved by the board. May be done by June, have several more meetings scheduled. On March 17-18 there is a meeting of counselors and transition specialists at the Blennerhassett in Parkersburg. The main purpose of this meeting is to define the roles and responsibilities of both jobs. At the end of this meeting we should have a checklist of these duties. Jacob – certification - Any teacher, counselor, or administrator that does not meet renewal requirements will be recommended for termination. If a professional is waiting for a grade to be issued or a course to end in July 2011, we will work with that individual. However, we will not work with a teacher who has done nothing to move forward during their certification period. Highly Qualified data collection, we need alternative education authorizations form 38 for 2010-2011 by March 9. Send alternative education authorizations form 38 for 2011-12 by May 31. The teacher collection phase ends 4/1. The class phase will then begin. You will be getting emails from Jacob asking you to update WVEIS records. All changes need to be made no later than noon on Friday you receive the email. Personnel Action Forms Please add position numbers to full time PAF. Please be sure that grant ID numbers are on the form. Salaries for substitutes should be taken out of discretional budget. On personnel action forms, the current salary is listed at top, information on the bottom of the form is their old salary. Calendars Due April 29, 2011 Calendar instructions were distributed. The form is the same as last year. Since a special election is to be on October 4, there will only be 179 instruction days. CE days – are at your discretion, but 30 days prior we need to know what you are doing on that day. Our office will need to approve your staff development. Fax or email to Jacob or Dewayne. The staff development should be six hours not including lunch and break and needs to be based on needs assessment and individual faculty and staff. On this year’s calendar the day after Thanksgiving will need to be an out of calendar day, marked **. The affidavit of critical need/substitute shortage was distributed. Survey for Secretaries – A survey was sent out to secretaries to see what type of training they would like to have. We will be offering some type of program for secretaries at our summer conference since the majority of the conference is for administrators and teachers. New mentorship class will begin on March 15. Books will be available on Friday. Duane – budgets passed out. Reworking the scholastic PO’s, got special pricing for maintenance. Comment period for new student technology acceptable use policy – comment period lasts 30 days. Comments go to Gary WIngrove. Teacher of the Year for OIEP – emailed out applications, given an essay questions and then will be decided by a committee. Once selected the juvenile applicant will have to fill out the entire application. CEA Teacher of the Year – nomination forms sent out on list serve, we have never had a juvenile teacher nominated. Must be member of CEA for one year as of July 1 to be nominated. Do not have to be a member of CEA to nominate. Questions, contact Mike Shaffer. Forms must be postmarked by April 30. Work Keys – Kellie End of Year reporting – forms were distributed. They will be sent to you electronically. More information will be forthcoming. The annual review of the policy and procedures was done. The procedure for Aftercare of Youth and Adults has been on comment for 30 days. Dr. Susan McKee – Pace Learning Systems – presented on TABE testing, which included guidelines, analysis of data and making good instructional decisions. Adults and juvenile principals split into two groups. The adult principals received information on CTE reporting, FFL’s, GED passing rates, and AEMIS from Jacob and Mike Shaffer. Information was also given concerning GED passing rates and the responsibilities of the principal and secretary concerning data that will be needed to be submitted in WVEIS. The principal/lead teacher and secretary will need to be trained. The juvenile principals were given information concerning the WESTEST Writing by Kellie Tetrick. After these discussions were completed, the meeting was adjourned. The next meeting will be in Martinsburg on June 8-10. The adult principals will meet first. That meeting will begin at 1:00 pm.
