1 . Purpose. To establish DGA Ceremony Committee membership and assign responsibilities.

3 . Background. Annually , i n March , the United States Naval Academy Alumni Association (USNA AA) presents the DGA to select graduates to honor their demonstrated and unselfish commitment to a lifetime of service, personal character , and significant contributions made to the Navy and Marine Corps or as leaders in industry or government. 7A is the governing document for DGA Ceremony
Committee planning meetings , duties and responsibilities.
4. Membership . The Committee is chaired by the Director , Office of Special Events . The Committee consists of the follow i ng representatives : a . Superintendent Office Representatives :

DUTIES AND RESPONSIBILITIES
1. Special Events a . Verify Alumni Hall, Smoke Hall , Mahan Hall and Sampson classroom are reserved for all events . b . Verify all events are added to Superintendent and Commandant calendars . c. Coordinate with Security to ensure Alumni Hall and Triangle parking lots are reserved for the DGA ceremony . d . Coordinate with Security to ensure Mahan Court parking lot is reserved for the DG Leadership
Panel. e. Reserve coach bus to transport VIP guests and classmates between Alumni Hall and Second Wing
Roundabout for Invitational Reception/Dinner . f . Coordinate Tecumseh Court access for mini-bus drop-off/pick-up of DGs, families and escorts with
Commandant, Public Works and Bancroft Hall 1st LT . g . Coordinate Tecumseh Court access for NABSD deliveries and catering needs . h. Arrange for a USNA Chaplain to be present at the DGA ceremony (Invocation) and the DGA
Invitational Dinner (Invocation and Benediction) . i. Verify all music needs have been scheduled for DGA Ceremony, Meet and Greet, and Invitational
Dinner . j . Distribute USNA AA prepared toasts and dinner scripts to specified individuals (DGA Selection
Chair, Superintendent, Commandant , USNA AA CEO, and Brigade Commander) . k. Draft Leadership Panel invitation letter to DGs . Letters will be signed by the Leadership Panel
Master of Ceremonies and sent by Special Events.
I. Coordinate Leadership Panel SOE with Master of Ceremonies . m. Work with USNA AA to create a presentation with quotes provided by the DGs for the Leadership
Panel. n . Brief Tecumseh Court Ushers on mini-bus movements through Tecumseh Court and route to
Commandant's elevator. o. Station personnel in Alumni Hall Lobby prior to start of DG Ceremony to direct guests and
Midshipmen to seats and answer questions.
2 . Alumni Association a. Provide list of DGs and their addresses to Special Events . b. Invite media to attend Media Event. c. Coordinate with Public Affairs and Security to ensure invited media have access to USNA.

2 6 FEB 2 013 d . Coordinate with Security to ensure video contractors have access to USNA. e. Ensure video contractors set up and test video equipment prior to DG Ceremony . f . Provide ceremony and dinner script to all involved parties NLT 28 Feb. g . Coordinate with Alumni Hall to ensure lower sections K (VIP guests) and X (DG classmates) are reserved. h . Reserve a mini bus to transport DGs , DG spouses , and DG escorts between hotel and all events at
USN A. i. Work with the Director of Musical Activities to provide music at the DGA Ceremony, Meet and Greet , and Invitational Dinner . j . Order Invitational Cocktail Reception and Invitational Dinner food and drink through NABSD. k. Ensure Rotunda is set up for Inv i tational Cocktail Reception.
I. Provide coat check for all guests. m . Set up DGA Hall of Fame TV with video for Invitational Cocktail Reception . n . Ensure Smoke Hall is set up , including sound system, for Invitational Dinner. o . Prepare toast for the Invitational Dinner . Special Events will distribute prepared toasts to the specified individuals . p . Work with Special Events to create a presentation with quotes provided by the DGs for the
Leadership Panel. q . Provide coffee and pastries to DGs prior to Leadership Panel and during the Closure Meeting . r . Invite all past DGA recipients to Leadership Panel. s . Brief DG and DG spouse escorts of duties .
3. Commandant Operations a . Provide 8 sideboys , 10 general Midshipmen ushers , 20 VIP Midshipmen ushers , 4 Midshipmen DG escorts , 3 Midshipmen DG spouse escorts , and 8 (4 primary, 4 secondary) 0-3 DG escorts . Coordinate with the Associate Dean for Finance and Military to source 4 of the 8 0-3 escorts from the military faculty body . b . Provide a Color Guard for the Medal Ceremony . c . Ensure approximately 2,900 Midshipmen are in attendance for the Medal Ceremony . All floor seating should be filled (approximately 200 seats) . d . Invite all USNA staff and faculty to attend Medal Ceremony . e . Assign Brigade Commander as DG medal presenter and provide them with ceremony and dinner scripts prior to ceremony . Ceremony and dinner scripts will be provided by USNA AA . f . Assign First Class President as Master of Ceremonies and provide them with ceremony and dinner scripts prior to ceremony . Ceremony and dinner scripts will be provided by USNA AA.

2 6 F EB 20 1 3 g . Provide 10 Midshipmen (1 per table) for the Invitational Dinner . h . Ensure Smoke Hall is "off limits " to the Brigade from 1200-2100, on the day of the ceremony . i. Ensure approximately 700 Midshipmen are in attendance for the Leadership Panel.
4 . Bancroft Hall 1st LT. Ensure Commandant elevator is cleaned prior to Invitational Cocktail Reception .
5. USNA Protocol a . Create list of personnel requiring reserved parking ; distribute list to Security and Special Events . b . Provide identified guests with parking passes via email. c. Invite all USNA staff and faculty to attend Medal Ceremony . d . Provide and send Medal Ceremony invitations for all VIP guests and provide a seating chart for the
VIP section of Alumni Hall (Section K). e . Brief VIP ushers of duties . f . Station personnel in Rotunda with guest list for Invitational Dinner .
6 . Alumni Hall a . Ensure Horseshoe parking lot is reserved for VIPs and guests . b. Ensure Alumni Hall stage and seating is configured for Medal Ceremony . c . Coordinate with USNA AA to ensure lower sections K (VIP guests) and X (DG classmates) are reserved . d . Provide directional seating signs for Medal Ceremony. e . Brief general ushers of duties . f. Coordinate set-up of Mahan Hall for Leadership Panel with Special Events.
7 . Director of Musical Activities a . Provide Combined Glee Clubs for Medal Ceremony . b . Provide USNA Band for Meet and Greet- Alumni Hall Stage c . Provide bagpiper for " Call to Dinner" at Invitational Cocktail Reception . d . Provide piano player for Invitational Dinner .
8 . Security a . Work with USNA AA , Special Events and Protocol to reserve required parking spaces and parking lots. b . Work with USNA AA to ensure invited media and media contractors have access to USNA.
