Office of Campus Life (OCL)
Local Information Management
In the Fall semester 2001 we began working with Maria Mullin to redesign the
Campus Life web site. Unfortunately, between her losing her designers and
the Campus Life office getting swamped, we have not completed this project.
Cynthia Cummings would like to finish it this summer. I will contact Maria
Mullin to initiate this.
The Office would also like to share calendars via MS Outlook. We would like
to have all the salaried staff to have access to all the professional staff
calendars beginning in June.
Student Problem-solving Action Network (SPAN): We would like to
"re-create" this information index so that it is more manageable to
maintain. Dean Nairn, Ann Amsler and I have met to discuss this. We think
a model analogous to the UD Experts database would work very well. One main
advantage would be the ability of an individual, acting for his/her
department, to update contact information and the section of Common Student
Problems. Currently, the contact information page is a static page that
requires constant time-intensive maintenance. We could reduce that work to
almost nil.
Office of Judicial Affairs (OJA)
Local Information Management
Update the Withdrawal form (flat form) by adding routing capabilities and
enabling SIS data to be automatically pulled onto the form.
Complete the judicial affairs web site. I will contact Maria Mullin about
this since her designers already have a draft of the site (without content
and pictures) completed.
Create an electronic Judicial Referral form for faculty and others not
employed in the Residence Life or University Police Department.
Complete the electronic web form for the University Police. Program it like
the Residence Life form with SIS data, pictures and direct input into the
Oracle database.
Find or develop and install an electronic (e-mail) receipt system that will
meet due process requirements in order to replace all paper correspondence.
Create standard reports for the new Oracle judicial database.
Investigate, buy and install software to aid in the complex task of
scheduling hearings.
Office of Residence Life (ORL)
Local Information Management
The Office of Residence Life would like to have the following forms be
developed and deployed on-line (web interface) and then have the data be
dumped into an Access database and/or e-mailed to an individual:
Resident Assistant application form (e-mailed; selected
fields dumped to a database

Resident Assistant Recommendation form (secure; also available as a PDF
file)
Hall Director recommendations submitted on-line (secure;
also available as a PDF file)
Arrival Survival Team application form (dumped into a database)
They would like the following forms to be developed and deployed on-line
(web interface) and then routed to the proper individuals:
Fire Drill report form
Residence Hall Duty Log (The Duty Resident Assistant would
complete the form and then submit it at the end of the shift. It would be
automatically mailed to their Hall Director and Complex Coordinator for
review first thing the next morning.)
Accident Report form
Research Support
Develop and administer their "Student Learning Survey" on line.
Telecommunications For Information Access And Change
Bus Tracking: The staff feels it would be a great service to students if
they (the students) could log onto the web and see where the buses are at
that moment in time. Perhaps this application would even indicate if the
bus was running late or was out of service, etc.
Washers and dryers on-line: The staff would like an application developed
that would allow students to log onto the web and see if the washers and
dryers in their building were available - this versus the alternative of
running downstairs with all their laundry only to find all the machines in
use.
Student Health Services (SHS)
General Support
Assist with the purchase and installation of a new file server. Their Sun
file server is aged and they will need to upgrade it in order to continue to
support their existing systems. Craig Prettyman has been of tremendous help
to them in the past and they request his assistance with this project.
Local Information Management
Once a new file server is installed, Steve Grasson would like Information
Technology's assistance in installing Oracle and converting some of his
current databases to Oracle.
Depending upon the advice and guidance from the American College Health
Association (ACHA), the SHS may also want to begin development of a secure
communication method with students. E-mail would probably not suffice; the
mechanism would require students to enter SSNs and PINs - probably via a web
interface. Student Health Services could use this mechanism to transmit
private information to individual students, e.g., lab test results. SHS
would also like the application to enable a student to acknowledge receipt
of the information. SHS also sees this as a way to collect immunization and
health history information from students after admission to the University.
With the probable delay in purchasing the software and hardware to implement
the Electronic Medical Record system, SHS would like to start developing a
few new Oracle databases with a web form view, which could be used by
practitioners and/or nurses in recording certain types of medical problems.

Enhancement to Current Application
Dave Adkins recently enhanced the Student Health Production Project on MVS
to allow uploading of immunization compliance and tuberculin ppd information
to the mainframe. This is working well. If the HIPPA Privacy Rule, which
goes into effect on April 2003, allows immunization information to be
available to other University departments who need this because their
students' programs require them to rotate through hospitals and other health
facilities, Steve may as for the addition of additional immunization uploads
and a few additional fields to the 013 screen.
Data Uploading
Recently, Steve sent a request to Raja Rao regarding uploading billing
information to SIS. Basically, Steve would like to upload charges to SIS as
a text file using FTP. Dave Adkins recently did a program for updating
immunization compliance codes from an uploaded dataset using P207 - Student
Health Services. Steve would like to do a similar thing with filing. The

Student Centers (STC)
Local Information Management
The Student Centers staff would like to develop Self Service Files in the
following two phases:
Phase 1:
Create forms that students can access via
the web, print, complete and submit.
Phase 2:
Place forms on line similar to the EZ-Forms
structure, so they can be completed and submitted on-line.
NOTE: Self Service Files cover the following areas:
Starting a new group form.
RSO e-mail and web page requests.
Requests for University services (Motorpool,
security, etc.)
Requests for on-campus space (Student Centers,
Carpenter, outside)
Allocation board forms (supplemental, capital
requests, re-allocation)
Sample contracts for artists and venders.
Publicity information.
General RSO information sheets.

The following requests pertain to their website:
Create an off-campus subsection to the Activities and
Programs site with links to the City of Newark, City Seminar, COCO, etc. and
maintain it by utilizing the off-campus program coordinator.
Missing in Action: Create a page on their web site that
lists the Registered Student Organizations that seem to be missing in
action.
Bus Trips: Place a button on the Student Centers site that
would include trip information, how to get tickets, etc.
Advisors Handbook: Deploy it on-line.
Treasurer's Manual:
Deploy it on-line.
Registered Student Organization Policies: Deploy on-line
manual of policies and procedures affecting RSO's.
SOLAR Corner: A page that has updates on SCPAB, how to get
involved, upcoming events, and a link to SCPAB website.
Center for Counseling and Student Development (CCSD)
Local Information Management
The CCSD continues to revolve around their transition to a computerized
calendar and record keeping system. It is an Access-based program name
Protégé, which was provided and is maintained by an outside vendor. They
continue to require assistance with related hardware and software concerns.
This assistance includes troubleshooting, as well as more routine tasks such
as server maintenance with regular backups, recommendation and
implementation of appropriate security measures, installation of software
upgrades, and set up of newly purchased computers. This is a high priority
for the CCSD.
CCSD Web site: We would like to refresh it this summer. This would include
adding several sections of Frequently Asked Questions and changing the
structure of the web site to be more consistent with the changes in other
university sites.
Research Support
The CCSD will need support in converting their former intake data from the
VAX into a usable format to be stored on their dedicated server.
Personnel Support
The CCSD has enjoyed the support Dave Dyar has provided. However, they have
a continued need for greater responsiveness and time than can be provided by
someone with many other users to serve. They would benefit greatly from
having a "dedicated" consultant assigned only to them during specified hours
and they would be willing to negotiate some payment for this type service.
This idea had been discussed several months back and bears repeating.
