TO: Kitrina Carlson Justin Nelson* Dan Dunbar* Mitchell Ogden Robert Fraher Steven Terry Urs Haltinner Doug Wahl Jane Henderson* Todd Zimmerman* James Keyes Rich Berg Joshua Laskowski RECORDER: Millie Kotulek * indicates present Announcements o Congratulations and THANK YOU to Justin Nelson who is graduating from Stout. He has accepted a job in St. Louis, Missouri. His position on the EIT Council will need to be filled. o A Student IT Council will be starting in the fall. Wahl is working with each of the Deans to obtain student representatives who can serve. The creation of this Council is directly tied to the Huron and Bottum Report recommendations regarding IT governance structure. o Wahl is in process of completing the form necessary to designate an official status for the EIT Council. EIT Council members currently serving and who want to remain on this committee when it does become an official committee, should speak directly to their Dean and request to remain on this council. o The D2L upgrade from 10.1 to 10.3 is scheduled June 4‐5, 2014. UW System has most recently announced an outage for the Stout campus that is scheduled for Saturday, June 14th. Scheduled outages are subject to change. Stout has no input in the scheduling of these outages. Tutorials for the D2L upgrade are a priority and are being created by LTS. The availability of those tutorials will be announced. Significant changes to D2L will be in content, discussions, and quizzes. Notices to the campus regarding the upcoming D2L upgrade began in February, 2014. o The Office 365 migration is scheduled for June, 2014. An exact date is yet to be determined. The OneDrive for Business is currently available and is licensed for all faculty and staff, and accommodates 20G of storage. The OneDrive for Business is not to be confused with OneDrive, as they are two different technologies. Faculty and staff email accounts, with 50G storage, are kept for 13 months, or a year after the faculty member has taught their last class, unless otherwise indicated by HR. More storage space can be purchased and would be a chargeback to the requester’s department. BlueDrive will no longer be available at the end of this semester. Academic Technology Roadmap – Discussion and Ideas o The Learn@UW Executive Committee is increasing its focus on the academic technology needs within the UW System and will create an Academic Technology Roadmap to identify those needs. A group representing UW‐
Stout has submitted responses to a questionnaire from to the Mindwire Consultant group that will be added to the development of the UW System Academic Technology Roadmap. UW‐Stout group members are: Jane Henderson, Diane Olson, Marlys Brunsting and Glendali Rodriquez. Roadmap Project link: http://www.uwsa.edu/olit/luwexec/projects/ o The UW System Academic Technology Roadmap Summit will be held June 4‐5, 2014 to talk about how to move forward with a plan, identify what effective use of our resources looks like, and what are the campus needs in terms of academic technology. o At the Stout IT Council meeting, discussion centered on the need for a UW‐Stout IT road map to include various processes that could be implemented, so as to avoid redundancy and to better utilize resources. If any on the EIT Council wishes to contribute to the IT Road Map discussion, they may contact Doug Wahl. 1
Other o Follow up‐ Server needs for instructors’ projects (research, grants, other) – Dan Dunbar  Telecommunications and Networking(TN) does provide servers for a cost.  The cost is intended to recoup the cost of the infrastructure.  Servers can be provided with TN support if they meet the requirements that TN staff set.  The requirements will correspond with the skill set of the employees and the comfort level that support can be provided at an acceptable level.  Access to the operating system will not be allowed in this model.  Servers can also be provided without support  A server with an approved operating system will be provided. Acceptable operating systems will be based on manufacture support in our virtual environment  The only support provided for these systems will be firewall entries.  Operating system access will be provided for these systems  Services are billed annually  Trials will be allowed for a short amount of time but the ability to pay must be provided prior to the beginning of the trial 2
