New Employee Checklist
Welcome to The Department of Juvenile Justice and the People First system. People First is the State of
Florida online personnel system. In the system you complete your timesheet, choose your health and
insurance benefits, and maintain your personal information. It is extremely important that you meet all
deadlines so that your paychecks and benefits are correct and on time. This checklist is designed to assist
in your first few weeks to ensure you activate your benefits and paychecks so you can focus on your new
job!
TRAINING VIDEOS/EMPLOYEE USER GUIDE (People First)
Various training tools help you become familiar with the People First system. You can learn how to
complete your timesheet, navigate the log in and home pages, and update personal information.


TRAINING (Department of Juvenile Justice)
The Department provides an online training course that all new employees must complete within thirty
days of hire. Your supervisor will provide you with further information on this training and direction on
how to access this training at the Department’s intranet training site.
PEOPLE FIRST IDENTIFICATION NUMBER (ID) AND PASSWORD
The Service Center mails a letter to you with your new People First user ID, or your supervisor or human
resources office may also provide it to you. Go to https://PeopleFirst.MyFlorida.com and enter your ID in
the first field. Enter your temporary password of “Pf” (note: the “P” is upper case, the “f” is lower case)
plus your six-digit birthday (MMDDYY). For example, if you were born February 3, 1974, your temporary
password would be Pf020374. Click the “Log In” button. The system will require you to change your
password at this time. Review the complete password requirements. The system will then require you
to set up your security questions and answers.
Note: If you are hired at the end of a month and want your health and/or life insurance benefits to begin
the first of the following month, contact your human resources office immediately to receive your user
ID. See the Benefits section below for a complete explanation.

COMPLETE YOUR PERSONAL INFORMATION
Your human resources office will enter some of your personal information when you are hired; however,
you must complete some screens yourself. To enter or review your personal information, follow these
steps within People First:
 Click on the Employee Information tab;
 Click on the Personal Information icon;
 Select one of the items in this menu to review or update;
 Verify that the view-only screens are accurate (ask your supervisor or personnel office to make
corrections as needed).
□ Direct Deposit: The state requires, as a condition of employment, employees to use the direct deposit
process. This process automatically deposits your paycheck into your bank or credit union account on
your pay date. You will receive paper paychecks until the direct deposit process begins. Before
enrolling in the direct deposit program, you will need the following information: the routing number
for your bank or credit union, your personal bank account number, and the type of account—checking
or savings. Rest assured that you are the only person who can view your direct deposit information.
□ Equal Employment Opportunity-Veteran-Affirmative Action Plan: It is important that you complete
this information, as the data is used to meet both state and federal reporting requirements. If you are
a current or former military employee, be sure to update this to reflect your military status.
□ Emergency Contacts: Please be sure to keep this field accurately updated so that your agency can
contact someone for you in the event of an emergency.
□ Employee Languages: (Optional) You can record languages other than English that you speak, read,
and/or write.
□ Contact Information (Home Address or Mailing Address): Home address is the address where the state
mail correspondences, including your open enrollment packet and W-2 Form at the end of the year.
Most likely, your agency entered your home address and phone number when you were hired;
however, you should check both for accuracy and update them if you move or change phone numbers.
You may enter up to 30 characters for your address. If you use a mailing address other than your
home address to receive mail, such as a post office box, complete the section for mailing address. You
will receive your state mail at this address, instead of your home address.
□ Personal Information: Check your Social Security number, your birth date, and the spelling of your
name. Notify your human resources office if there are errors. Also, if you go by a nickname that you
wish to have published in the 411 online employee directory, complete the nickname section and
check Publish Nickname.

□ W4: Your W4 must be completed correctly so that your agency knows how much of your earnings to
withhold for federal taxes. If you’re not certain how to determine your withholdings, go to
www.IRS.gov for more information.
□ W2: Please sign up to receive your W2 electronically by going to the following website:
https://apps.fldfs.com/EIC/EmployeeInfoCenter/Register.aspx.
VERIFY YOUR PERSONAL INFORMATION
The following sections in People First are read-only screens. This means you can review the information
to check for accuracy, but you cannot make changes. If you need to make a change, contact your
supervisor or human resources office.
□ Driver’s License: If a driver’s license is required for your position, your human resources office or
supervisor will ask for a copy to update this section for you.
□ Employee Education: For informational purposes only.
□ Fulfillment Documents/History: Lists the documents mailed by the Service Center.
□ Outside Employment: Before accepting a job outside of state government or if you already have one,
you must complete the Dual Employment Outside of State Government Form located at
http://www.djj.state.fl.us/forms/personnel/Dual_Employment_Outside_State_Attach1
□ Professional License and Certification: Only needed if required for your position.
BENEFITS


You have 60 days from your hire date to choose your benefits - If you miss the 60-day deadline,
you must wait until the annual open enrollment period to enroll in the benefits program.
However, if you experience a Qualifying Status Change event, you may make allowable changes
to your benefits outside of open enrollment.

Benefits are prepaid. This means you pay for coverage the month before it begins. When you
choose your benefits, the system automatically enrolls you the second or third month after your
hire date, depending on the payroll schedule. For example, if you are hired in June, the state
deducts your premium payments in July and your coverage begins August 1.

You can have your health insurance begin the month after you are hired; for example, if you are
hired in June, you can start your health insurance July 1. This is called an early effective date. If
you want an early effective date for health insurance:
1. Complete your enrollment through People First before the first of the month coverage is to
begin.
2. Contact your human resources office to process the proper paperwork.
3. Send a check or money order payable to Division of State Group Insurance to People First, PO
Box 863477, Orlando, Florida 32886-3477. When you enroll online, the People First system
will tell you how much you owe.

To enroll in family coverage, you must supply accurate Social Security Numbers (or the tax ID
equivalent for legal immigrants) for each dependent. You must also send documentation, such as
a copy of the marriage license and birth certificates, to the Service Center as proof of your
dependents’ eligibility. Fax required documentation to (800) 422-3128 or mail to People First, PO
Box 6830, Tallahassee, Florida 32314. Be sure to write your People First ID number in the top,
right corner of your documentation and keep a copy of the fax confirmation for your records.

Marketplace Coverage and Your Health Coverage - As a State employee you have the availability
of coverage options through the new Health Insurance Marketplace. Should you require
additional information about the Marketplace, please review the attached document and visit the
website HealthCare.gov.

KidCare Coverage for Dependents of State Employees - Beginning July 1, 2012, Children of state
employees may be eligible for subsidized Florida KidCare coverage. Through Florida KidCare, the
state of Florida offers health insurance for children from birth through age 18, even if one or both
parents are working. To find out more about Florida KidCare, please call 1-888-540-5437 or go to
Website: http://www.floridakidcare.org.

If you have questions about payments, deductions, or eligibility, please call the Service Center toll
free at (866) 663-4735. Service Center hours are Monday through Friday, from 8 a.m. to 6 p.m.
Eastern time. If you have questions about plan benefits, please contact the insurance company
directly.
FLEXIBLE WORK SCHEDULE
The regular state work schedule is eight hours per day, Monday through Friday. If your position
requires you to work more or less hours per day, or days other than these, you must complete a flexible
work schedule request. Your supervisor should help you create and must approve your flex schedule.
To complete a flex schedule you will find it under Employee Information tab and the Time and Payroll
dropdown.
RETIREMENT
New employees must select a Retirement Plan within 5 months of their date of hire. Employees have the

choice of participating in the Pension Plan or the Investment Plan. If no selection is made an employee
will remain in the Pension Plan.

Employees should enroll early, before the enrollment deadline. The Florida Retirement System offers free
educational resources. Log on to www.MyFRS.com (watch the New Hire Video, use the Choice Service
and review the New Hire Roadmap). Call the MyFRS Financial Guidance Line at 1-866-446-9377 (TTY 1888-429-2160).
Retirement System documents requiring “agency certification” must be completed by the Bureau of
Personnel’s Retirement Coordinator.
