Summer Conference Employment

The Housing and Residential Programs Office is seeking qualified students to work as Summer

Conference Assistants for Summer 2015. Enclosed you will find an overview of the summer conference program and eligibility criteria. An employment application is also enclosed. Interested students are invited to submit applications to the Housing and Residential Programs Office. Full consideration will be given to applications received by Noon on Friday April 10, 2015. Applications received after this time will be considered on an as needed basis.

Regular Positions:

Up to (18) positions will be available for Summer 2015. These staff members will be the primary work force for the conference season. Regular staff members are eligible for housing, and a Summer II and III 14-meal per week summer meal plan. The successful applicant should meet listed eligibility criteria.

Substitute Positions:

A variable number of positions will be available for Summer 2015. These staff members will be assigned work on an as needed basis. Housing and meal plans will not be provided for substitute positions. The successful applicant should meet the listed eligibility criteria

INSTRUCTIONS FOR NEW STUDENT WORKERS

(student workers who have not worked for the University in the prior 12 months)

THREE BACKGROUND CLEARANCE CHECKS ARE REQUIRED

Before you can take your “Request to Hire A Student Employee” Form to the Payroll Office and be hired as a student worker, you need to start three background clearance checks as required by Pennsylvania law.

1. Act 34 (Criminal Record Check)

2. Act 114 (FBI Federal Criminal History-Fingerprinting)

3. Act 151 (Child Abuse History Clearance).

Given the length of time required for these checks, it is important you follow the steps below promptly.

Act 34 (Criminal Record Check) – no fee

Millersville University requires this check be started and completed before you begin working. Click on this link http://jobs.millersville.edu/postings/1653 and apply to be a student worker at the University. After you complete this application, you will receive two separate emails from the university. (This will be during normal business hours.) One email will provide a link and login instructions for completing the background check; the other email will provide the security pin to access the link provided in the first email. The link will expire in 72 hours. Results of the background check will be provided directly to Human Resources. Human Resources will notify you and Payroll when this check is completed and the results are reviewed.

ACT 114 (FBI FEDERAL CRIMINAL HISTORY-FINGERPRINTING) - Fee will be reimbursed with receipts

The university requires that you be fingerprinted before you can begin working as a student worker. If you have been fingerprinted by the FBI in the past 36 months through the Department of Public Welfare , you can use the results of that clearance and do not need to be fingerprinted again. If you were fingerprinted by the Department of Education, you will need to be fingerprinted again by the Department of Public Welfare .

1. To start the fingerprinting clearance, use the following website: https://www.pa.cogentid.com

2. Click on the icon for the Department of Public Welfare .

3. Under Registration, click on the Register Online Link. Only complete what is marked with an *.

4. Select “Employment with Significant Likelihood of Regular Contact with Children” as the Reason Fingerprinted.

5. Make your payment using a credit card or debit card. If you do not have a credit or debit card, you can take a money order or cashier’s check payable to 3M Cogent to the fingerprinting site. No cash transactions or personal checks are allowed. You will be reimbursed for the fingerprinting cost by the university when the clearance is completed so keep receipts.

6. You will be assigned a Registration Identification Number (starts with letters ‘PAD’)

7. Print out the ID form and take it, along with a photo ID, to the nearest Official Cogent Site location to be fingerprinted

(locations can be found on the Cogent web site under Useful Links, Find a Fingerprint Location).The closest site to

Millersville is: UPS Store #3413 in the Stone Mill Plaza on Columbia Avenue, Lancaster. If you are not in the area, use this site http://myfbireport.com/locations/index.php

to find the nearest fingerprinting location.

8. Make a copy of the form showing that you have been fingerprinted so you can attach it to the “Request to Hire a

Student Worker” form that you will need to take to the Payroll Office.

9. Do not contact 3M Cogent or the fingerprint site after your fingerprints have been submitted. Complete process of the results should take no longer than six weeks. If results are not received within six weeks, only then call (717)783-6211 or 1-877-371-5422.

10. Actual results will be mailed to you. When you receive the results you need to take them to the Office of Human

Resources so the university has a record of compliance. The university needs to see the results within 90 calendar days of your first day of work.

ACT 151 (CHILD ABUSE HISTORY CLEARANCE) - Fee will be reimbursed with receipts

The university requires that the PA Child Abuse background clearance check be started before you can begin working as a student worker. If you have had a PA Child Abuse Clearance done within the past 36 months, you can use the results of that clearance and do not need to do another PA Child Abuse Clearance. You can start this clearance electronically or using paper forms. See both options below.

To complete this clearance electronically

1. To start the child abuse clearance, go to https://www.compass.state.pa.us/cwis and create a new account. To do that you need to provide basic personal information and create security questions.

2. After doing this you will receive two AUTOMATED emails from the state. (These emails may go to a SPAM or junk mail account so please check those before recreating an account.) One email will include the Keystone ID that you registered; the other email will include a temporary password.

3. Use your Keystone ID and temporary password to log on again at https://www.compass.state.pa.us/cwis. This time create a permanent password.

4. You will then log on again to https://www.compass.state.pa.us/cwis and start a clearance application.

5. To complete the clearance electronically, you will need a credit and/or debit card and an electronic signature. If you do not have either a credit or debit card and/or do not want to use an electronic signature, you must download, complete, sign and mail a paper copy of CY113. (You will see this link on the Getting Started Page.

6. When asked about the purpose of the clearance, select SCHOOL EMPLOYMENT.

7. You will need to provide addresses where you have previously lived, names of all individuals with whom you have lived and any previous names you have used or been known by such nicknames, aliases, or maiden names.

8. You will be asked to specify how you want to receive the results.

9. If you do not receive your clearance within three weeks by mail, please call 717-783-6211 or (toll free) 1-877-371-

5422.

10. Once you have received the actual results, these will need to be shared with Millersville Human Resources.

To apply for the PA Child Abuse Clearance using paper

1. Go to http://www.dhs.state.pa.us/

2. On the right side of the page, click on: Pennsylvania Child Abuse History Clearance Form (CY 113).

3. Print out the form and complete Section 1 only. Instructions for completing the form can be found on page 3 of the form.

4. When completing Purpose of Clearance, select SCHOOL EMPLOYMENT.

5. You will need to provide addresses where you have previously lived, names of all individuals with whom you have lived and any previous names you have used or been known by such nicknames, aliases, or maiden names.

6. Follow the specific payment and mailing instructions on the form. Prior to mailing the form and payment, make two copies of the form: one for your records and one for Payroll as proof you have submitted the form.

7. If you do not receive your clearance within three weeks by mail, please call 717-783-6211 or (toll free) 1-877-371-

5422.

8. Once you have received the actual results, these will need to be shared with Millersville Human Resources.

When you have copies of the documents indicating that you have been fingerprinted and have started the child abuse clearance, bring these two documents and your “Request to Hire Student Employee” form to the Payroll Office.

If Fingerprinting and Child Abuse Clearances have not been completed by the first day of employment, you will be hired on a provisional basis and will have 90 calendar days to bring the completed results of those two clearances to the Office of Human Resources.

SUMMER CONFERENCE ASSISTANT OVERVIEW AND ELIGIBILITY

Housing and Residential Programs student staff members and other qualified students who meet employment criteria are eligible to work during the summer conference season as Summer Conference Assistants. The summer conferences are groups of campus affiliated camps and workshops as well as community organizations that plan educational and developmental workshops, conferences, and conventions and host them at Millersville University. Many conference groups are long standing summer clients. The Summer

Conference Assistant Staff is responsible for desk and hospitality services for University guests residing in the residence halls and other designated assignments in the Department of Housing and Residential Programs.

Examples of some groups that have regularly returned to Millersville University in the summer include: Arabic Baptists Annual

Conference; a Christian Religious Conference of family groups that sponsors its national conference over the Memorial Holiday

Weekend, Forward Leap; a pre-college introductory program for post 7 th, 8 th , and 9 th graders, Native Plants, an education workshop on native plants of North America, and various sports camps.

Qualified students are needed to staff the residence hall offices during the summer conference season. Duties include: check-in and checkout procedures, accurate record keeping, room and building inspections and preparation, guest assistance, and other assigned administrative and hospitality support tasks. The Summer Conference Assistant is an ambassador of good will for the advancement of the University’s educational mission.

Eligibility Criteria

1.

Eligible for Millersville University campus employment

2.

Available to work between May 10, 2015 and August 16, 2015 inclusive.

3.

Available to work Memorial and Independence Day Holiday weekends.

4.

Available to work varying shifts scheduled between 7:00 a.m. and 2:00 a.m. weekdays and weekends.

5.

Able to read and follow visual and verbal instructions and work independently.

6.

Able to physically navigate residence hall stairways and hallways and perform light to moderate physical labor, lifting & moving up to 50 lbs..

7.

Good public relations persona and sound decision making skills.

8.

Good Academic and Disciplinary Standing.

9.

Successful Act 34 Criminal Record Check, and Act 151 Child Abuse History Clearance, and Act 114 Fingerprinting clearances as designated and required by Millersville University Human Resources Department.

10.

Not previously dismissed from employment with Housing and Residential Programs.

11.

Current returning HARP student staff in good standing preferred.

12.

Current HARP student staff registered for Fall 2015 preferred.

13.

Regular staff may NOT be enrolled in summer session classes or in-service obligations, including on-line and distance learning.

14.

No consecutive absences of more than (4) four days between May 10, and August 16, 2015.

15.

Regular staff may not have commitment to other summer employment.

Compensation:

$7.65 per hour or higher for up to 40-hour work week

Typical workday schedules may rotate to include:

 7:00 a.m. to 3:00 p.m.

 10:00 a.m. to 6:00 p.m.

 3:00 p.m. to 11:00 p.m.

 6:00 p.m. to 2:00 a.m.
