Review of Workstations

Learning Commons and Instruction Classrooms

Inclusions and Exclusions

This policy and procedure document applies to changes to the software and in the behavior for the public workstations in Carrier Learning Commons and Rose Learning Commons, and the student and teacher workstations in Carrier 301, Rose 3313 and Rose 3311. Examples include (but are not limited to) the addition of new software, removal of software, login/logout behavior, and printing defaults.

The following similar areas are not included in this policy or procedure: JMU Lab Services general labs, technology classrooms throughout campus, public workstations in the Music Library and Media

Resources.

Policy

The same base workstation image and hardware configuration is used for public workstations in Carrier

Learning Commons, Rose Learning Commons, Carrier 301, Rose 3313, and Rose 3311. The base image is fully reviewed once a year, during the summer semester in anticipation of Fall semester. An additional, smaller review happens before Spring semester. Routine additions and deletion of applications are made during both reviews. Time-sensitive changes are made throughout the year.

Procedures for Base Image

In April (for following Fall semester): o Digital Services will share a list of current applications to the Directors of Rose, Carrier

Public Services, and Library Instruction, and to the Serials Manager and Research

Databases Specialist to identify applications which, if any, can be removed for the next image. o Digital Services will also make a call to the L&ET listserv for additions to the base image with a request to submit requests through the Tech Support Form as a Software

Install/Request. o Requests are reviewed by Digital Services staff to identify cost of licensing and potential conflicts with existing applications. o Requests are evaluated for approval by the Directors of Media Resources (on behalf of

Media Resources, Rose, and Carrier), Library Instruction, Music Library, and Digital

Services. Changes to the workstations must support the mission of L&ET.

In November (for following Spring semester), Digital Services will: o continue researching any requests held from the review leading up to Fall semester o install standard updates to the existing software

In Summer and Fall: o Requestors may be asked to review test images to insure proper functioning of new software. o Digital Services installs revised images.

Throughout the year: o Requests may be submitted through the Tech Support Form for review during Summer. o Time-sensitive requests will be considered outside of the full review period. Examples of time-sensitive requests include critical software updates and new software needed for proper functioning of subscription resources. The request should be identified as timesensitive and should be made at least three weeks ahead of need to allow for review and installation.

Requests from outside of L&ET should be submitted by a champion from within L&ET who is able to explain the connection to L&ET mission and is willing to review the test image.

Procedures for Instruction Classrooms

Student workstations in Carrier 301 and Rose 3313 start with the same image used in the

Learning Commons areas. The same procedures described above are followed for review of the classroom images.

Additionally, requests for the classrooms which are not appropriate for the public workstations may be added temporarily to the classroom workstations. Requests and review will also follow the same procedures as above.

Teacher workstations in Carrier 301, Rose 3313, and Rose 3311 differ from the student workstations but match each other, with modifications made to allow for differences in available classroom hardware. Requests and review will also follow the same procedures as above.

Changes for the classroom workstations and teacher workstations which interfere with instruction will not be approved. Examples of non-approved changes include modifying the login procedure or otherwise changing the procedure to open up a web browser.

Changes to the classroom workstations and teacher workstations will be wiped out at the end of

Fall and Spring semesters.

Digital Services will schedule a regular, recurring time block for maintenance and approved timesensitive requests.
