Scope
This guidance covers the Carillion Charitable Fund
Purpose
This document sets out the criteria for nominations and guidelines for the completion of the nomination.
Definitions and Notes
The Carillion Charitable Fund is one of the most popular and effective ways that Carillion distributes money to
charitable and community causes nominated by our people worldwide. The Charitable Fund gives our people the
chance to nominate causes that mean the most to them, and up to 80 organisations receive £500 each (or equivalent
value), twice a year. Nominations are reviewed by the Charities Committee Working Group (CCWG).
We know that many of Carillion’s employees are passionate about supporting a wide range of charities and
organisations, helping them financially or through volunteering, and we are committed to fostering strong relationships
with the communities in which we live and work. By investing in our local communities and addressing social issues
across the world, we are also strengthening our reputation and supporting our future growth.

The nomination process
READ THIS GUIDE
Information about the Carillion Charitable Fund is sent out to employees via a range of communications including an
email from Corporate Communications, Round Up and Team Talks. Look at the information on the Carillion Charitable
Fund website (www.carillionplc.com/charitablefund) and read these Guidance Notes to check if your charity is eligible
for funding.
COMPLETE YOUR NOMINATION FORM
Nominations can be made over a period of four weeks. Nominations must be made using the online nomination form:
www.surveymonkey.com/s/employeenominationfund. We will acknowledge receipt of your nomination within two
working days of it being received. If your nomination is not complete we will contact you and you will have until the
deadline to send the relevant information.
WE ASSESS YOUR NOMINATION
After the closing date for nominations the CCWG will review all nominations and make a collective decision on the
charities to be funded. Eighty charities are funded in each round of the Carillion Charitable Fund. Each of the
successful 80 organisations undergo due diligence checks, and their nominations are approved by the Carillion Group
Charities Committee.

WE TELL YOU THE DECISION
We will email you to let you know whether your nomination was successful. Cheques will be sent directly to the
registered address of the nominated charity. We will collate the feedback from employees and charities to use as
evidence of the work that is supported by the Charitable Fund.
If your nomination is not successful the CCWG will email you to tell you why.
Who can apply
The Carillion Charitable Fund is open to all employees of Carillion. Nominations are restricted to one per person, per
round of funding. You should nominate on your own behalf. However, if you are nominating on behalf of someone else
(for example, if they are not able to access a computer), then you must state who you are nominating for in your
application.
You can nominate any one of the following types of organisation:
 A registered UK charity (registered in England or Wales with the Charity Commission, registered in Scotland
with Scottish Charity Regulator)
 A registered Canadian charity (registered with the Canada Revenue Agency)
 A charity from another country
 A voluntary and community sector organisation (value-led organisations established for social purposes,
including co-operatives, friendly societies, industrial and provident societies, and not-for-profit companies)
 A statutory organisation such as a school.
We will not support nominations for funding for:
 Individuals
 Sole traders
 Profit-making organisations
 Party political activity
 Religious activities.
Nominations are welcome from organisations world-wide, but preference is given to organisations within Carillion
countries of operation (i.e. UK, MENA, Canada and Caribbean) and countries from which we employ a significant
number of people, such as India.
What can be funded
You can apply for:
 The relief of those in need, by reason of ill health or disability such as those who are ill, have a disability or
who have a life limiting problem, for example a hospice or an organisation that supports individuals and / or the
families of people affected by the health condition or disability.
 Education such as education or training which would not otherwise be funded by the Government, for example
education/training aimed at helping the hard to reach into employment or training, or a local youth centre providing
support and life skills to young people, or an organisation that helps empower the local population through
education, including those with disabilities/special needs, to reach their career potential.
 Other community projects for public benefit such as supporting projects for community benefit by
organisations with charitable aims and exist for public benefit, for example, a community group providing a lunch
club or a local food bank.
When you make a nomination you select one of the following categories for the charity / community organisation you
wish to nominate:

Health and wellbeing (research, cancer, hospice, Parent/baby health and wellbeing charities)

7. Local community support/improvement (food banks, orphanages, homelessness, Housing Associations,
playgrounds, music)
8. Animals/wildlife* (e.g. dog/cats homes)
9. Other
If the charity / organisation falls in to more than one category, please select the one that best fits.
What can’t be funded
Funding will not be made for the following:
 Core running costs or overheads of the organisation, including (but not limited to) insurances, rent (or other
premises costs), utility bills, taxes, legal and audit fees, IT and fuel.
 Ongoing staff costs (including salaries of permanent or fixed term staff).
 Fundraising activities for the organisation by sponsorship of walks, cycle rides or marathons etc.
 Items that mainly benefit individuals (for example equipment or treatment that is not shared).
 Endowments (to provide a source of income).
 Loans or interest payments.
 Party political activity or religious activities. Whilst we cannot consider funding religious activities, religious
organisations that carry out charitable activities that benefit the wider community without discrimination (such as
food banks or lunch clubs for older people) may apply for funding.
 Charities which have received funds from the Carillion Charitable Fund within the past three years.
 Equipment, buildings or activities for schools linked to the core curriculum.
 Replacement or purchase of vehicles.
 Sponsorship or marketing of events or conferences.
 Discriminatory charities (e.g. sexist/racist).
 Charities with current or pending law suits against them.
 Activities that take place within schools or in school time that is funded by the Government.
How to nominate
Go to this website //www.surveymonkey.com/s/employeenominationfund to complete the nomination.
Complete the nomination fully, using these guidance notes to make your nomination the best possible.
If you are not able to nominate online, please ask a colleague to provide a printed copy of the nomination questions,
which is available from the Carillion Charitable Fund website. You can fill in the form and give it back to your
colleague, who should do the online nomination on your behalf. We cannot accept hand-written nomination (whether in
paper or PDF format).
How nominations are assessed
A complete nomination
We will only review complete nomination, which must be:
 Submitted online using the Survey Monkey questionnaire
 Completed electronically (hand-written nominations, whether in paper or PDF format, will not be accepted)
 Within the word count for each question.
If your nomination is not completed correctly we will contact you, advising you of the error and inviting you to re-submit
it when corrected.

Meeting fund criteria
During our assessment of your nomination we will consider whether your nomination meets at least one of the
Charitable Fund criteria. Our assessment is based on the quality of the information you provide in the questions on the
nomination form:
This includes clearly stating:
 What the charity does
 Your interest / experience / relationship with the charity / organisation
 What the money will be used for
 Who will benefit from the donation
 The impact of the donation.
Please ensure you complete the questions fully so that we can best assess your nomination.
We aim to assess each nomination equally and fairly and the CCWG will meet to agree the successful nominations.
The Carillion Group Charities Committee approves the final decisions.
The CCWG consider each application made individually, on its merits, and against the criteria listed in the guidance
notes provided.
It follows that we therefore expect each application to be individual and to reflect your thoughts and passion about
the charity you nominate. Please don’t ask colleagues to ‘copy and paste’ your words into a duplicate nomination:
we’ll spot it straight away!
This process is about finding a sustainable and responsible way for Carillion plc to make a financial contribution to
charities that matter to our people, not about the volume of requests we receive.
And, the number of times an organisation is voted for doesn’t affect the outcome anyway: we will only consider one
application per charity. So, it makes more sense to make your application really specific and memorable, and to
reflect what we ask for in the set criteria!

If your nomination is successful
We will email you to let you know if your nomination is successful.
Every charity and organisation is subject to a due diligence check to confirm that it is a legal entity and it is in a good
state of financial and organisational health. This will include checking whether annual accounts are submitted to the
Charity Commission and the status of trustees.
Upon passing the due diligence process, a cheque will then be sent directly to the registered address of your
nominated charity or group within 2 weeks. You may wish to contact your nominated charity or group directly to let
them know the good news. If you want to present the cheque personally, you must contact your charity or organisation
to arrange a presentation ceremony.
We may contact the charity or organisation directly to invite them to participate in publicity activity, such as
photographs or a press release.

If your nomination is unsuccessful
We carefully review all nominations against the fund criteria and we understand that you will be disappointed if we
decide not to support your nominated cause. However we can only support 80 nominations at a time.
If your nomination is not successful we will email you telling you the reasons why. You are welcome to send another
nomination during the next round of the Carillion Charitable Fund, though please consider the reasons for a previous
unsuccessful nomination before deciding whether to apply again with a new or revised nomination.
