Minutes of the last meeting still to be completed:
Action Point – Dina to finalise clubs and socs information for online calendar/liaise with Dan/Usama/Salma regarding the
different calendars on the website (social/academic). Dan to find a way if possible to sync calendar to smart phones.
Action Point –Dan to complete Clubs and Socs photos when he has a spare moment.
Action Point – Usama to look out for notes/ask on FB groups/potentially email and see if any are worth putting up on
Notebank. Get feedback from others in the year. This could be delegated to year reps? Chase up to see whether this has been
done.
Action Point – Salma to liaise with Gugs regarding Sohag Saleh’s idea for 3rd year re-introduction into ECGs etc. He wants to do
this via SU (more official). Chase up to see whether this has been done.
Action Point – Dariush to find out exam dates for all years events (e.g. Summer Ball) can be organized (ideal if the day of 5 th
year path/after final years have officially finished).

Freshers’ Fortnight Feedback:
 Roadshow favourite?! DJ for beach bop.
 More SU at the club night, med school presence.
 Review the stewarding. Scoring system good. Sport’s night Or Bop, not both for next year
 Review scoring for each event.
Action point – Dina/Mala RAG sports night should count towards SU stewarding duty for RAG Chair
3.2
Stewarding Expectations:
 Good job overall. Cannot leave positions. Especially fire exits!
 Ensure people check Whatsapp. (Anna)
 (Chippy) Doorstaff issues need to speak with bar. Refer to bar. Security aren’t keeping count. Not
recognising stewards. Matt aware. Security now have pro forma. Smokers?
Action point – All > keep signing people in at sports night and bops.
3.3
State of the Union
 Idea is to send a small document out once a month to show that the SU isn’t just about Crazy
socials and Teddington.
Action point – All to send Dariush a summary of role/what you’ve been doing to be emailed out by the 31 st October. Brief –
very brief.

Policy on Publicity of External Courses
 Salma wants to know what to do with courses advertising?
Action point – Salma to send all of these to Dariush/Dan for website or email.

Freshers' has killed me
Only just catching up with emails, sleep and life.
Went to opening of Heston. Teddington bar with some pictures of Teddington. Looking into
moving all the memorabilia from Teddington to Reynolds, some at Heston and the rest archived.
Teddington Alumni Day: Very successful. Enjoyed by all. The team I captained won!
Went to Graduation. Sat on stage. Did some walking.
Currently evaluating Freshers' with Ents team plus Chippy
Looking into getting a new ICSMSU app ETA: Jan 2015
Finalising plans to update the décor at Reynolds ETA: Jan 2015

My name is Anju and I survived Freshers' Fortnight Stewarding.
Attended FEO & SU mingle, nice chance to speak to Staff in relaxed setting, would be good to
increase SU numbers attending this next year.
Organised table seating of Freshers' Dinner ensuring all tutor groups were sat together and with
their Personal Tutor if they were attending in all but 2 cases following feedback from last year's
dinner.
Attended Student Services Committee 15/10/14 on Dariush's behalf.
Lead Steward for the first time at Graduation Sports Night. Evening went smoothly with no major
incidences. However, cleaning staff instructed security not to give us access to cleaning cupboard
due to SU using their supplies. This made cleaning up much more difficult but Karl has requested
a list of cleaning items needed to be sent to him and he will order it ASAP for future sports
nights.
Met with Dariush 23/10/14 to have a Freshers' Fortnight debrief and discuss feedback comments
from students regarding the fortnight
Attended Community and Welfare Board 23/10/14 on Jenny's behalf

Cash from CX is going in today. SK cash to be counted next week. Anyone with printing claims
etc from freshers please contact Chippy for reimbursement.

Freshers was fantastic but relieved to have sleeping time once more
Attended MedSoc Conference.. had a ball.. note to self – know ICSM songs.
Spending my life emailing
Feedback on newsletter – fortnight/external and internal? Dariush’s newsletter etc.
How to ensure communication bw Dariush/Dan etc when all CC’d into email
Mailing list to include all societies to avoid telling everyone the ‘rules’ of the newsletter every time
To sort out calendar situation with academics and Dan – to do: send email for dates for this term (with
hopefully updates mailing list?)
Just to point out that the website still needs to be updated e.g. under ‘Democracy, Election, Minutes’ etc.
Also on random side note - curious about what happens re. lost property in Reynolds

Working on surveys for year 5/6 to assess financial situation and hoping to meet again with Sky

First open welfare drop in session was fairly quiet but will look into better ways to publicise time

Met with Mary and Jo about shaking up meetings. We're gonna meet on the 10th with the year
reps. In the mean time I'm going to get a list for her by next week hopefully, with problems on it
that she needs to resolve or has resolved already.
I'm working with her also on Year 2 feedback for anatomy. I'll update second years as normal
What the fudge is wrong with second years?!
I'm keeping the academic calendar up to date for the early years. Working with mainly surgsoc

9 of 11 BSc pathways have now elected Reps, BMS reps currently being elected
o Supervising GH elections on Friday
o Expected total number of reps as 27, averaging ~2 reps per course
o Meeting and giving induction to all Rep pairs in separate meetings over the next 3
weeks (goodbye, free time!); already started Monday
o Rep team meeting on Nov 12 prior to SSLG
Following-up on BMS Town Hall event, specifically items on: academic review of the BMS course,
notification of changes to BMS Y2 exams, changes to careers offerings and alumni contacts for
BMS Yrs 2-3, potential industry connections for BMS Y1/future cohorts
To begin contacting e-learning team to investigate Panopto roll-out for BSc pathways (both
Alison and Mark don’t seem to have objections and have been giving me contact suggestions)
Talked with Pascal on the feasibility of a Chem Eng-style ‘Panopto tech team’ though nothing
hashed out just yet
To follow-up on e-timetable issues experienced by BSc pathways students and BMS students
Survey intercalators on learning experience, with special regards to students from PBL-based
courses?



• Had Academic societies meeting with Usama on 8/10
Very positive, lots of things coming up next year
MM are having trouble booking CX outpatients - I have emailed Dr Sam
• Year 3 Reps have been elected
• Met up with all my year reps and in process of writing reports for SSLG on 5/11
• Met with Pascal Loose (Dep Pres Education) about plans for the year
• Based on Yr 3 feedback organised lecture series on 28/10, 4/11 and 11/11 on 'Presenting Skills in
Clincial Medicine'
• Attended Curriculum Map demo with Dariush and Usama - was very exciting! Next meeting is 7/11.
• 19/11 next curriculum and assessment group meeting

becoming difficult to track down the alumni.

Over the summer we have converted the existing Careers Society and ‘de-merged’ all the
societies that fall under it into their own entity. In this de-merger that went through ICU’s Clubs,
Societies and Projects Board (CSPB), we ended up establishing 13 different entities: 10 of them
with full club member status and 3 in the New Club Incubator (NCI).

I’ve been chasing establishing all the new societies and their committees onto eActivities – Great
fun (sarcasm).
There is currently only one remaining issue – a student who is currently intercalating at Kings’ is
not being allowed to hold a committee position. The resolved issues are: getting a returning
intercalator onto the system, ensuring that people have access to their new eactivities role and
ability to room book.
We have banded them all together under the newly established ICSM Careers Network, which

the policy for passed at the last exec meeting. I’ve been in discussions with Dr Carolyn Gabriel,
Vertical Theme Lead, and Philippa Shallard, NWTFS Manager, regarding how the network will fit
into ICSM Careers (School of Medicine arm of Careers)
So far as of Thursday 23rd October there are two pending applications: Teaching Society and
Rare Disease Society.
On Monday 20th October, I sent out an one-off careers network newsletter highlighting all the
new societies and introducing the network. Feedback for it has been quite positive and there
have been a lot of clicks to join societies/attend events
ICSM Careers
 I’ve been in discussion with Dr Gabriel and Ms Shallard regarding running Careers-orientated talks:
◦ Firstly we wish to trying out a ‘question time’ event with Surgical Society – invite
different specialities and have students ask questions like ‘which has the best work-live
balance?’ ‘whats the coolest thing you’ve done?’ ‘what opportunities are there for
working abroad or privately’ etc.
◦ If that goes successfully, we wish to try a ‘Medics’ one and a ‘ACCS’ one.
◦ In January, we wish to put on a ‘What happens after F2’ session with Imperial Graduates
(CT1+ level) - preliminary date is 8th January during the PACES talk.

Freshers happened, not too much of a problem. Meeting chippy tomorrow to go through numbers.
Search for snow ball beginning.
I would like to run through stewarding procedure and cleaning training at some point as at times it
could have been better, which makes our lives easier.
Apart from that, huge thank you to everyone for their help in ensuring we ran smoothly...

Carried out meeting with ChelWest in which certain things were brought to light as well as working
on activities for RAG Week
Organised event with Biochem and Biology soc with IC rag to make a large halloween event
Had meeting with RAG committee and all is hunkydory there
Always dreaming big, more to come.




Last night was an amazing success. We've been looking into doing a club night in November but it
looks like the month is too busy. We'd love to do something post last sports night tho.
Have been in contact with opal re New Years resolutions so are waiting to hear back about that.
Still seeing venues so haven't decided yet. Have decided on a cirque du soleil kind of theme tho.

Sport’s teams kit bags, can’t happen. They can place it downstairs, but can’t collect after 10pm, until next
day.
Action Point – Dariush/Med to inform SU about this and draft email to CC about this. If there’s nowhere to put bags, it’ll
encourage them to leave bags at home…
