The following are provided without charge to all KUMC faculty and staff for business (that is, missionrelated) use and are included on new HP computers as part of KUMC's standard image:


Software Guidelines
Account code (523700 Computer Software Rental) – is used for Software Rental Purchases –
this is when an annual fee is paid to use the software for a certain period of time – regardless of
the amount. It needs to be stated in the comments that it is a rental with the time period they are
paying for.
b. Account code (537200 Data Processing Supplies) – is used for Software Purchases/Licenses to
Own – under $500 each. It needs to be stated in the comments if the OWN (Perpetual License is
the same as owning).
c. Account code (541890 Software Non Capital) – is used for Software Purchases/Licenses to
Own – over $500 each. It needs to be stated in the comments if the OWN (Perpetual License is
the same as owning).
d. Exception – If Software being purchased is for a piece of Lab Equipment, it most likely will not
be available from SHI. This needs to be stated in the comments of the transaction for clarification
purposes. “Software goes to Lab Equipment”.

Software Upgrades

Account code (524800 Computer Software Maintenance SVC) is used for Software Upgrades
on Software that is Perpetual (owned) regardless if it is over or under $500.00. When an
Upgrade/Maintenance is purchased with Software it should be coded the same as the Software
purchased.
b. Account code 523700 is used for Software Upgrades on Software that is Rent Only –
regardless if it is over or under $500.00.
You may go to another vendor ONLY if SHI cannot provide & you have received an email
from them stating such. (RI funds do not have to follow this rule)
Purchasing Staff: A comment TO OWN or RENT has to be in comment section for the correct code to
be determined. An SHI e-mail is required before you approve State Funded purchases.

Select Hewlett-Packard (HP) personal computers (Elite desktops and Elitebook laptops) running the
current release of Microsoft Windows are standard for personal computing at KU Medical Center.
Current standard desktop (HP Elite) and portable (HP Elitebook) computers are always at KU Medical
Center's customized HP Store. Faculty and staff who wish to browse current computers and peripherals in
the HP Store can do so at http://www.hp.com/buy/kumc_quote. You may select, configure, and create an
electronic price quotation for your system of choice; then work with your department administrator or
purchaser to order it.
Elite desktops and Elitebook laptops with standard configurations should meet the Windows platform
needs of nearly all KU Medical Center faculty and staff. If you have a unique need for which you cannot
identify a suitable HP computer, contact the Assistant Director (of Networking) for Customer Support at
8-4807. KUMC Purchasing will not process purchase orders for non-standard computers without
approval of the Department of Information Resources.
Standard HP computers are supported by the KUMC Customer Support Department from the perspective



As appropriate, assistance with the development of software, web documents, and other
information management tools and resources

Purchasing Staff A HP Quote needs to be e-mailed to you before it can be approved.
Secure Socket License ( SSL )
Secure Socket License Fees or Domain Fees which should be coded 526900 (Other Fees). The primary
SSL certificate providers are Verisign, Thawte, Instant SSL, Entrust, Baltimore, & GeoTrust.
