Quick Review on Signature Authority
In order to remain in university compliance the only people authorized to sign a document of any type (statement of work,
contracts, leases, etc.) starts at the Assistant Vice Provost level. For a quick reference we’ve highlighted the key approval
information in the statement below dated April 27, 2012 and according to the chart, the only person presently in UITS with
signature authority is the CIO (Vice Provost).
However, the UITS Business Office recommends the department director initial every page of the document requiring a
signature. By initialing each page the CIO will know you approve the document. Once the CIO has reviewed and approved the
document, it can be uploaded into Kuali as a purchase order requisition attachment. Once the Procurement Department
receives the requisition, they will review the document and work directly with the vendor should any adjustments be required. If
any changes are made the Procurement Department usually contacts the Business Office for a final sign off. If the Business
Office is contacted, we will contact the UITS department director for final approval. Although this may appear to slow the
process, it does protect the department and UITS from entering into an agreement that doesn’t fully meet the state or university
requirements. The document becomes a legally binding document only after it is signed by an official university delegate.
If you have any questions please feel free to call or stop by and visit us anytime.
