Contract:
Fixed term for 4 months, full time (35 hours per week)

Background
The International campaign team aims to mobilise business for good encouraging them to
contribute effectively in addressing key social, environmental and economic challenges facing
society globally, using the UN Millennium Development Goals (MDGs) and other relevant
standards as a framework by which to judge progress.
Reflecting Business in the Community’s overall approach, the campaign is structured around 6
key work streams which are the Workplace; the Marketplace; the Community and the
Environment underpinned by the UN Millennium Development Goals (MDGs) and the CSR360
Global Partner Network, a network of over 110 partners that are mission driven and focussed on
corporate responsibility. Currently present in over 60 counties the CSR360 Global Partner
Network is convened by BITC.
Purpose of the Job
To provide PA support to the International Director. The job holder will also provide
administrative and events support the International Campaign team.
Main Responsibilities / Accountabilities
Support to the International Director:

To provide PA support to the International Director. This will include diary and meetings
management, room bookings, travel arrangements, background research, and liaison with
contacts as directed.

To support the Director by following up actions from the Directors meetings including the
Leadership Team meeting; by developing and maintaining efficient and effective systems for
meeting follow up in a timely manner tracking progress and thus supporting the delivery the
International Campaign as a whole.

To organise and service the Leadership Team meetings, including setting the dates of the
meetings and booking meeting venues, sending the papers out including agenda, supporting
papers and minutes and arranging necessary IT facilities and catering for the meetings.
Finance and Database management:

To be responsible for raising and distributing invoices and debt chasing. Liaising with the
finance department and the team as necessary and ensuring all information is stored and
communicated effectively.
Support for Campaign Team:

To organise the Operations Group meetings, including setting the dates of the meetings and
booking meeting venues, sending the papers out including agenda, supporting papers and
minutes and arranging necessary IT facilities and catering for the meetings.

To develop and maintain efficient and effective administrative and reporting systems to
support the work of the International Campaign as a whole.

To work with the International Campaign to ensure that all member’s information (including
the Leadership Team) is logged and maintained on salesforce and other key campaign
documents.

To track member engagement and attendance at events and webinars on salesforce and to
produce Key performance Indicator reports for the end of the year reporting.
Events Support:

Providing administrative event and webinar support across the International Campaign
including: booking delegates, invoicing delegates and sending out confirmations and joining
instructions to events and webinars.

Updating salesforce with event and webinar attendance.

Attending and assisting at events as required.

Administering event evaluation data.
Communications:



Reporting the communications impacts (yearly) in line with the BITC reporting schedule
Management of international web presence on:
o BITC International web-pages
o CSR360 website (i.e. daily updating of news, events, resources and updating partner
profiles as administered by the team administrator)
o ENGAGE Toolkit
Responsible for delivery of the quarterly CSR360 GPN online magazine including:
o Overseeing the sourcing of the content for the magazine which may be owned by
content owner from the International Team
o Editing and Uploading the content






Delivery of the CSR360 Newsletter every two months including:
o Calling the partners for contributions
o Compiling and writing the newsletter using the Create and Send software
Oversee CSR Europe Comms including:
o Ensuring BITC is included in the fortnightly News Bulletin
o Ensuring the BITC profile is kept up to date on the CSR Europe website
Oversight of the monthly Opportunities for International Companies List and distribution to
International Practitioners and Salesforce Chatter
Ensuring BITC International is covered in the Monthly Member’s newsPartner specific Comms
o Supporting with partner surveys and general email updates
o Ensuring that partners link to CSR360 and display the logo
o Administration of webinar programme in collaboration with the International Team
with different members of the team taking responsibility for particular webinars
o Overview and updating of partner contact lists

o Monthly Green brief
Other:

To undertake occasional project-based administrative work as agreed with the line manager.

To keep up to date and replenish communication materials in all appropriate places in
Shepherdess Walk and ensure to supply the BITC regional teams, as necessary.

To pick up and distribute the post for the International Campaign team.

To provide reception cover for Shepherdess Walk when required.

To work collaboratively with the other International Campaign team members as required.

Other administrative support and duties as required.
The post holder may be required to carry out other duties that are reasonably to be considered
as within the scope and purpose of the job and the aptitudes of the job holder.
