ICONOSTASIS ICONOGRAPHY PROJECT

Article I.
INTRODUCTION
Holy Resurrection Orthodox Church (HROC) requests that you or your organization make a proposal
for your services on our iconostasis iconography. The following proposal request will outline the
project goals and detail the format in which your proposal should be submitted. Please read the
timeline carefully. Considered proposals must meet the deadlines included in the timeline under
Section 2.04.
Section 1.01
Sponsor and Location of the Installation
Your proposal is for creation and installation of specific icons on our iconostasis located at Holy
Resurrection Orthodox Church, 5910 E. 5th Street, Tucson, Arizona 85711.
Section 1.02
Management
Holy Resurrection Iconography Committee will manage the project. They will be off location during
the project's installation. The HROC Iconography Committee, specifically Loren Makus, will be
responsible for the project's timely completion.

Article II.
THE PROJECT
Section 2.01
Mission
HROC seeks proposals from iconographers for the main iconostasis of our newly constructed church. In
the appendix you will find an image of the iconostasis of our church. This image accurately portrays the
iconostasis, however, the icons have been computer generated as fillers. The icons do not exist.
The project is comprised of the following:





Twenty seven icons of varying sizes as outlined in the appendix. The information of the specific
icons including identification, location, shape and size is also included in the appendix.
Installation of the icons on the church iconostasis.
Iconographers are requested to submit with their proposals as many examples of their work as
possible. Examples can be photographs of previous works.
Installation references, if any, should also be included in the proposal application.
The selected iconographer must submit drawings of each icon for approval by the HROC
Iconography Committee in advance of execution of the icons. The drawings will be reviewed in a
timely manner but iconographer should bear in mind that he/she is responsible to meet the
installation timeline.

Project Specifications
Please refer to the appendix for the separate attachments describing the project specifications.

Contractor/Iconographer Requirements
The iconographer must be capable of producing work consistent with the samples of work
submitted in the proposal.
The iconographer will need to show ability to complete the installation of the icons in the HROC
iconostasis.
The iconographer will need to submit adequate or reasonable proof that he/she is capable of
meeting the project deadline.
The iconographer is to provide a list of materials and media to complete the project.
In order to complete the iconostasis iconography project, we have set the following timetable. This
timetable is subject to change by the Holy Resurrection Iconography Committee.

* The Iconography Committee may extend the completion deadline dependent upon medium of execution
(egg tempera, acrylic, or oil) and pre-determined conditions submitted in the proposal.
Article III.
Section 3.01
(a)
THE PROPOSAL
Summary of Proposal
Expectations
Contract will be awarded based on the information presented in the proposals received. We will award
the contract based on the proposal expected to be the most beneficial to our project in consideration of
a variety of factors. Holy Resurrection Orthodox Church reserves the right to award more than one
contract, award contracts before the proposal deadline listed in the timeline, award contracts before all
proposals are received, and refuse any contract without obligation to Holy Resurrection Orthodox
Church or to the iconographer or organization offering the proposal.
(b)
Response Deadline
Please forward a letter of intent by April 15, 2015 to icons@holyresurrection.us. Please identify the
subject of your email as ‘Letter of Intent’.
(c)
Proposal Deadline
All proposals must be submitted to HROC Iconography Committee by May 30, 2015 to be considered
for their contribution to the Iconostasis Iconography. Send proposals to icons@holyresurrection.us.
Please identify the subject of your email as ‘Final Proposal’. Proposals may also be submitted via hard
copy, if so then “Final Proposal” Packages must be received at the church mailing address postmarked
by May 30.

Selection Criteria
All offers submitted will be considered based upon the materials provided in the proposal.
Consideration will be given to performance projections as well as cost and staff requirements. Only
those proposals submitted by the deadline above will be considered. The following criteria will be the
primary considerations for selecting a proposal:
1. Submission of all proposals in the correct format by the stated deadline.
2. The perceived effectiveness of the proposal's solution for Holy Resurrection Orthodox Church's
stated mission.
3. The perceived ability of the proposing iconographer or organization to deliver their services set
forth in the proposal.
4. The proposing iconographer or organization's past performance in delivering similar services.
5. Availability of sufficient highly qualified personnel with the required skills for the specific
approach proposed.
6. Overall cost of the proposal.
Holy Resurrection Orthodox Church may suspend or discontinue proposals at any time without notice or
obligation to the iconographer or organization that submitted the proposal.
Section 3.02
(a)
PROPOSAL DETAILS
Organization/Iconographer Summary
Include a brief history of you or your organization including your past experience in dealing with
similar projects. Names of those persons authorized to sign contracts for you or your business is also
requested.
(b)
Capabilities, Methodology and Media
Detail your or your organization's capabilities in delivering the requests in this proposal. You should
use this section to outline specifically your proposed method for achieving your goal. This should
include a detailed timeline of milestones for completing the project. You should also include the
methods that you will use to write and complete your iconography, ex: specific techniques for
application of paint, gold leaf etc.
(c)
Expected Results
Use this section to summarize the expected results of your methodology listed above. This should
include a summary of your timeline for completing the project.
(d)
Executives, Staffing, and Management
List the person or people in charge of completing the project and a summary of their background. You
should also use this section to list the projected staffing, their functions and estimated costs. Specify
how you will complete the installation of the icons in the HROC iconostasis.
(e)
Communication
Explain how you intend to communicate with the HROC Iconography Committee to provide progress
reports and to ensure the project stays on schedule.
(f)
Equipment
Detail the equipment necessities as well as their estimated cost, including equipment for installation. If
you will need additional services or space from Holy Resurrection Orthodox Church you should list
those requirements here with a brief explanation.
(g)
Expense Breakdown
Provide a detailed list of all expected expenses, including travel and lodging if pertinent.
(h)
Expense Summary
Give a brief summary of the total costs for your proposed contract. You may also include a brief
explanation of the contributing costs to the total cost.
(i)
Licensing and Bonding
If applicable, include the details of your licenses and bonds for the services you are proposing. If
possible, enclose proof of your licenses and bonds.
(j)
Insurance
Provide the details of insurance you or your organization will provide for your staff and the project.
For insurance purposes, Holy Resurrection Orthodox Church will consider ownership of the icons
when the iconostasis is completed, i.e., the iconographer will maintain ownership of the icons until the
icons are installed in the HROC Iconostasis. If icons are installed over a period of time, they can be
released to HROC individually as outlined in your proposal and HROC will assume ownership and
insure as agreed.
