Standard meeting A/V requirements: LCD projectors may be provided or purchased services
Hotel/Convention Center agrees to (venue to select all that apply and respond accordingly via
preliminary contract proposal):
1. Provide complimentary internet access from contracted meeting rooms/function space via
existing ISP.
2. Provide internet access from contracted meeting rooms/function space via existing ISP for no
more than $500. per day max. (If not, what’s the proposed charge per day?)
3. Provide internet access from contracted meeting rooms/function space through the guest’s
individual ISP room charge; to be negotiated. If so, can non-guests purchase separately @
same price?
4. The option of IEEE sub-contracting the ISP function to an external vendor as it pertains to
contracted meeting rooms/function space.

5. Match or better external ISP vendor proposals.
6. The option of IEEE installing/maintaining its own ISP functionality as it pertains to contracted
meeting rooms/function space.
7. Extend ISP benefits should venue provide complimentary/reduced ISP costs post contract.
8. The structure below, with 20 minutes per paper presentation (plus a few minutes for intros,
etc.) will yield a “4 paper” first in the morning session (4x20min + 10 min = 1 hour, 30
minutes) followed by “3 paper” sessions (3x20min + 10 min = 1 hour, 10 minutes). This
results in a total paper count of 72 papers. Additional track room availability would be needed
if the number of papers is increased. It might be that a poster session could be scheduled,
room permitting.
9. It is presumed that the volunteer staff would be provided a Conference Office
10. It is possible that on Day 1there will be two morning and two afternoon tutorial offerings
(could also have one am only, one pm only, and one all day tutorial). Lunch has been
included only with full day registrations.
