POSITION ANALYSIS QUESTIONNAIRE

Checklist

This questionnaire is to be completed for new and existing general staff positions at the University. Please ensure you have completed the following tasks prior to submitting the classification paperwork to the Office of Human Resource Management:

Purpose of questionnaire

This questionnaire collects information which is being submitted for an assessment of a position ’s classification level. It describes the position ’s accountabilities and the outputs/outcomes of the position. A

Position Description must be attached.

A position description template can be found on the Griffith Portal under Employment > Recruitment, selection and position management > Position management.

Process for completing and submitting this questionnaire

For existing positions

The questionnaire is to be completed by the incumbent of the position in consultation with their supervisor and will describe the changes to accountabilities and outputs/outcomes of the position. A revised Position

Description must be attached.

When completing the questionnaire:

1. read the questionnaire in full before starting to complete;

2. focus on the change in accountabilities and required outcomes/outputs of the position, including new accountabilities which the University requires the position to perform.

Where the position to be assessed is vacant, the questionnaire is to be completed by the position’s supervisor/manager.

For new positions

The questionnaire will normally be completed by the supervisor of the new position and should be completed in conjunction with the Position Description.

The questionnaire should describe the key aspects of the position which cannot be covered in sufficient detail in the Position Description. The Position Description must be attached.

When the Questionnaire and Position Description have been completed, attach the Organisational Chart and forward to the Head of Element for consideration.

Once considered and signed-off by the Head of Element, the documents can be forwarded to the Office of

Human Resource Management – HR Classifications ( hr-classifications@griffith.edu.au

) to coordinate the assessment and approval process.

Major accountabilities and duties of the position

Complete and attach a position description which clearly defines the key accountabilities of the newly created or updated role.

For existing positions: Detail changes to the primary or major accountabilities of the position (i.e. what the position does) and why the changes are required. Ensure that the position description details the key accountabilities of the position currently. This may include new and existing accountabilities, however the position description should not include any future planned responsibilities which are not currently undertaken.

For new positions : Detail the primary reason for the establishment of the position (why the position is required by the University) and what responsibilities/key accountabilities the position will be expected to undertake.

Also, indicate the amount of time spent on average on each accountability (100% of accountability needs to be documented).
