ACH Direct Deposit Payroll Information
Direct Deposit is a program in which your pay is automatically deposited into your checking and/or savings accounts. You do not need to worry about
finding time to deposit your check or making special arrangements for you paycheck when you are out of town or sick. With Direct Deposit, your money
is in your account on payday.
Gonzaga University utilizes the Automated Clearing House (ACH) to direct deposit monthly payroll. Direct Deposit is Gonzaga University’s preferred
method of payment to all employees.
Please complete and sign the Authorization for Direct Deposit form. Attach your voided check and forward it to the Gonzaga University Payroll Office,
AD 113, as soon as possible.
Below you will find answers to several questions you may have. Please contact Linda Grigsby, Payroll Manager, ext. 6805; Maribeth Frazier, Payroll
Assistant, ext. 6806; or Brenda Roske, Payroll Assistant, ext. 6980, if you need further assistance with the Direct Deposit payroll process.
Q)
A)
What if I’m a returning student/employee who had direct deposit previously?
If the account you had previously is still open, and you did not cancel your direct deposit with the payroll office, everything will remain as it
was before you left. You should, however, verify the status of your direct deposit and address with the Payroll Office. Your earning statements
will be mailed to the current campus address on file.
Q)
A)
Is Direct Deposit a new concept?
No. Millions of employees nationwide enjoy the benefits of Direct Deposit through their employers. In fact, our nation’s largest employer, the
federal government, uses direct deposit as its primary method of payroll.
Q)
A)
I consider my personal banking to be confidential. Will this be compromised by Direct Deposit?
Absolutely not. In fact, Direct Deposit is one of the most confidential methods of processing a paycheck. Checks processed via a traditional
payroll can pass through as many as twelve persons before reaching your account. Direct Deposit practically eliminates this problem.
Q)
A)
Why does the University prefer the direct deposit method of payroll?
This service not only benefits our employees in convenience, safety and confidentiality, but it also improves time allocation as well as cost
effectiveness in the payroll area and eliminates the possibility of lost, stolen or damaged checks.
Q)
A)
When will my payroll be available for use in my bank account?
Your funds will be available in you bank account on payday (the last working day of each month). The direct deposit information is transmitted
electronically to Washington Trust Bank two working days before payday. Washington Trust Bank will then extract the information for all their
accounts and forward the remaining information to the ACH in Seattle, WA on the afternoon of the day they receive the tape. ACH will then
transfer the deposit information to the various financial institutions to be posted to individual accounts on payday.
Q)
A)
What if I go to my bank or ATM machine at 9 AM on payday and find that my funds are not there?
The time of the availability of your funds depends on when your bank receives and posts the information from the ACH. Call an d check with
your bank to see how and when they handle tape transmission from the ACH.
Q)
A)
When can I expect my first Direct Deposit to take place?
It takes one payroll to process your direct deposit information. You will receive a paycheck on the payday after your direct deposit
authorization form has been processed. All of your account information will be input and forwarded to the ACH as a “pre-note” or test for
verification of routing and account numbers. “Live-dollar” transfer will take place on the following payday.
Q)
A)
What is a “Live-dollar” transfer?
Before any money can actually be transferred to an account, we must verify each bank routing number, account number and accou nt type.
Verification is accomplished by sending a test (pre-note) through the ACH process. The pre-note contains financial institution routing number,
your account number and type of account information but no dollars. The ACH will notify Gonzaga University that all information is accurate
and ready for live dollar transfer. After confirmation is received from the ACH that the pre-note has been successful, we will be able to
transmit actual dollars for the following payroll.
Q)
A)
What if I don’t have a bank account?
Information regarding the services offered at several major banks is available in the Payroll Office, which we’ll be glad to provide you.
Q)
A)
What if I change banks/accounts or decide to change the amounts I have authorized?
If you change banks or accounts, you MUST advise the Payroll Office by the 10th of the month. When a new authorization form is received
from you indicating the bank or account change, it will be necessary to pre-note the new information with the next payroll. The actual
direct deposit change will take place one payday AFTER the pre-note has been confirmed. At your request, while we pre-note your new
account, we can deposit your payroll to your existing ACH account as long as the account is still open. If you close your old account before the
new pre-note has been confirmed, you will receive a paycheck while the pre-note is processed. To change only the amounts you have
authorized, you need only to complete a new authorization form.
Q)
A)
How will I know how much my net payroll is?
You will receive an earnings statement (check stub) with all the information you have always received on payday which will indicated the
gross pay, all deductions, the bank and account number(s) and the net deposit amount. Your monthly statement from you financ ial
institution will provide a record of the deposits made to your account.
Q)
A)
May I have my direct deposit sent to any bank?
The ACH is a nationwide service and is able to make deposits to virtually all financial institutions in the United States. If you have questions
about your financial institution’s membership in the ACH, you or your bank may call Linda Grigsby, Maribeth Frazier or Brenda Roske in the
Payroll Office.
