Challenge
Meeting sustainability objectives
As environmental awareness grows, it is increasingly important for organisations such as Capgemini
to be able to demonstrate their sustainability credentials. Jon Hampson, Environment Director,
Capgemini UK, explains, “Sustainability is no longer just a “nice to have”, it’s a commercial reality.
Aside from managing our performance internally, we need to provide insightful reporting about our
sustainability performance for analysts, partners and clients on a regular basis. In some cases it’s even
written into contracts.”

As well as pressure from customers and partners, Capgemini UK is also subject to the mandatory
Carbon Reduction Commitment (CRC) Energy Efficiency Scheme. Under this government scheme, large
public and private sector organisations in the UK will be taxed on their carbon emissions, and will be
ranked by the government in an annual performance league table.

To demonstrate its commitment to improving sustainability performance, Capgemini UK set
some intentionally challenging corporate environmental objectives, focusing on its key areas of
impact, including:
• Reducing its carbon footprint by 20 percent by 2014
• Improving energy efficiency of its data centers by 20 percent by 2014
• Reducing travel-related carbon emissions by more than 30 percent by 2014
• Sending zero waste to landfill by 2014.
However, measuring and reporting progress against these objectives became complex and time
consuming. With over three million new data points being processed each year from 30 disparate
sources, and numerous internal and external reporting requirements, collating and managing the
information presented a considerable challenge.
Peter Walsh, Head of Sustainability Business Process Outsourcing at Capgemini, comments, “Capgemini
UK was tracking sustainability performance using a four (!) gigabyte spreadsheet, but they wanted to
find a way to make the process more rigorous and cost-effective while ensuring that the quality,
accuracy and integrity of data was of a sufficient standard to support the ambitious sustainability goals
they had adopted.” Capgemini recognised many of its customers were under similar pressures, and
launched an Energy, Carbon and Sustainability Business Process Outsourcing (BPO) service to help
customers improve their sustainability efforts.
Walsh comments, “Capgemini has always embraced innovation in the development of Business
Process Outsourcing services, and we were finding our customers back office needs increasingly
including sustainability data management and reporting.” To achieve its sustainability goals,
Capgemini UK signed up as the first customer of the new service.
Solution
A centralised platform for data management
Following an assessment of the sustainability management solutions on the market, Capgemini
selected the cloud-based CA ecoSoftware solution to support its new BPO service. The solution can
be deployed to customers in just three weeks to maximise time to value. Walsh comments,
“CA ecoSoftware is at the heart of our sustainability service and is provided to our customers on an
on-demand basis.”
The solution captures a variety of data from numerous sources, both within Capgemini and from their
suppliers, including air travel data from travel agents, electricity and gas meter readings from various
facilities, waste and recycling volumes from waste management providers.
Walsh comments, “As part of the service, we have defined workflows for capturing, cleansing and
uploading data into CA ecoSoftware according to Capgemini UK’s requirements, and are responsible for
managing these processes.”

CA ecoSoftware provides comprehensive audit trails and offers transparency across the organisation’s
operations. The consolidated data can be viewed by Capgemini UK either online via customised
dashboards or as reports to gain a greater insight into operations and environmental impact.
“Among other things, Capgemini UK has benchmarked energy and travel usage across the organisation,
to easily identify outliers where action needs to be taken and measure the impact of sustainability
projects,” explains Walsh.
The information provided by the solution is not only used by Capgemini’s sustainability office to
evaluate its performance, but also by senior management teams to support decisions, and is often
shared with customers and employees. “For sustainability projects that require buy-in from our staff, it
is vital that we are able to demonstrate the results of their efforts. Using output from CA ecosoftware,
we can display accurate and up to date information around the workplace to ensure everyone has
visibility of our achievements.”
Having implemented the system across the UK organisation within three months, the sustainability
business process outsourcing service is now available to Capgemini’s external customers.
