Required Qualifications: Bachelor's Degree in Liberal Arts or related content area. Five years of directly
related full-time management experience; two years of supervisory experience; excellent interpersonal
and organizational skills; strong computer skills (Microsoft office); fiscal management and budget
experience; experience working with vendors; familiarity with information technology.
Preferred Qualifications: Master's in Education or related liberal arts content area. Working with board
members, multiple committees and volunteers; experience in membership or non-profit organizations;
program development experience; fundraising and grant writing experience.
Brief Description of Duties: This position manages a discrete office within the Stony Brook University
campus administrative operations and has full accountability and responsibility for a major community
outreach non-credit program. The program is the Osher Lifelong Learning Institute. The director oversees
the day-to-day operation of a peer-taught adult lifelong learning program with approximately 1000
members. The selected candidate will:
Program Management: Supervise all aspects of the program, including oversight of the OLLI office,
supervision of OLLI staff, development and interpretation of policies and procedures; community
relations; ensuring that the organization and implementation of the OLLI lifelong learning program
functions in a timely manner according to the defined schedules for each semester. Work with
internal/external University offices in assuring effective administration of policy and procedures. Liaise
with SPD Dean, Associate Dean for Finance and Administration, Assistant Dean for Curriculum and
Academic Planning, as well as with the Stony Brook Foundation, Offices of Conferences and Special
Events, Facilities, Campus Police, Campus ID, Dept. of Information Technology, Student Activities Center
Facilitator and staff and others as necessary. External contacts include working with the Bernard Osher
Foundation, which requires the incumbent to correspond with their board of directors on a regular basis
and attend as well as present at their annual national conference and work with other peer institutions
throughout the year; and CampusCE, which requires working with the online registration system
administration for system development and support and all contract matters.
Member Records and Registration: Supervise, coordinate and maintain all database systems
(PeopleSoft, internal Excel files, Campus CE) for OLLI program records and registration, as well as
issuance of non-employee id card, secure credit card system for fee-based special events/trips and
parking permits for members. Oversee online registration system using CampusCE (includes research,
development and implementation, troubleshooting and support). Provide opportunities for training to staff
members. Work with OLLI volunteer committee to set up registration training program for OLLI members.
Workshop Planning, Curriculum and Scheduling: Coordinate all room assignments; semester bulletins;
special events; educational trips. Research, suggest and develop curriculum ideas for new workshops.
Create marketing materials to encourage development of new workshop leaders.
Communications: Oversee all publications, mailings and overall communications, including OLLI website
and email. Participate in Stony Brook University's Public Relations Committee showcasing OLLI to
various campus departments and involving OLLI in outreach through participation in campus events
Budget and Financial Matters: Manage OLLI budgets in coordination with the Associate Dean for Finance
and Administration; review financial reports with OLLI member representatives. Interface with the Bernard
Osher Foundation on financial issues related to the endowment. Make recommendations for
implementing budgetary efficiencies and cost saving measures. Recommend and research costs for
equipment purchases. Manage all program contractual agreements and financial transactions, special
events/educational trips.
Serve as an ex-officio member on the Osher Lifelong Learning Institute standing committees, Bernard
Osher national committees as required and university committees as required by the Dean and Assistant
Dean for Curriculum and Academic Planning.
Special Notes: This is a full time position. The Research Foundation of SUNY is a private educational
corporation. Employment is subject to the Research Foundation policies and procedures, sponsor
guidelines and the availability of funding. FLSA Exempt position, not eligible for the overtime provisions of
the FLSA. Internal and external search to occur simultaneously. Occasional travel for Osher Lifelong
Learning institute conference will be required for this position.
