HALL ACCESS, SAFETY & EVENT REGULATIONS
ACCESS TO HALL
All vehicles on trailers should be off loaded before entering the hall.
Please proceed to Gate 4 and report to Mr Robin Mc Cullagh, RIAC. There is an offloading area opposite Gate 4, trailers
should then be removed to the trailer park on the opposite side of the building and stored as neatly as possible close to
the hedge (see plan)
SAFETY
Under the instruction of the DCC Chief Fire Officer, all but the minimum quantity of petrol must be removed from
vehicles before they are brought to the hall and batteries must be disconnected once placed on stands. A club
representative will be asked to sign a declaration to this effect.
MANOUVERING IN THE HALL
Engines may be used briefly for access and positioning. The club must provide volunteers to manouvering vehicles into
position. When driving on carpet (in the hall) DO NOT turn the steering wheel unless the vehicle is moving
forward or reverse as it will tear the exhibition carpet. Drip trays should be use (some disposable trays will be available
from the organisers office.
EVENT RULES AND REGULATIONS


















No signs, graphic panels, banners or other exhibits or display equipment may be fixed or attached to any part of the building. All
displays must be free standing or attached to an adequate display system or structure.
Work on all stands must be completed not later than the evening before the exhibition opens. No work, erection, decoration or
wiring may be undertaken on stands once the exhibition is open.
Only fire retardant materials may be used in the construction of exhibition stands. All timber, hardboard, plywood or similar
material must be rendered flame retardant by an acceptable method of impregnation and must have certificates to prove this.
Fireproof certificates are also required for all stand dressings such as drapes, furniture etc. Exhibitors are particularly reminded
that foam or rubber back carpet is NOT permitted and the fire officer will only permit fire resistant carpet tiles and fire proofed
carpet to be used in exhibitions. All carpets and carpet tiles used on exhibition stands must have a certificate to state that they
conform to fireproof standards BS4790. GAS Bottles are NOT permitted in the hall.
Your attention is drawn to the performing rights charges imposed by IMRO on the playing of music or promotional videos with
music sound tracks. See IMRO details towards the back of this manual.
Excessive noise or loudspeakers are not permitted where these cause interference with other stands.
Exhibitors are not permitted to hand out leaflets at the entrances or in the gangway spaces outside of their stand area, or to
place leaflets on cars in the vicinity of the exhibition.
We regret that the use of the Public Address System is restricted to emergency use and necessary show announcements.
In the interest of security, fire doors may not be used by exhibitors once the exhibition is in operation.
The smoking area is located at the exhibitor’s entrance – glass doors as side of the building.
Exhibitor badges/wrist bands should be worn at all times.
Exhibitors should familiarise themselves with the location of emergency exits and fire fighting equipment within the hall. Please
read the emergency procedures material which will be included in your exhibitor’s kit, available from the organisers office during
build-up. All security risks should be reported to the organiser's office.
The exhibition Regulations and Conditions printed on the back of the Application for Space Form apply. Your attention is drawn
to Paragraph Two of your Application for Space Form which requires that written permission from the organisers must be
obtained before you sublet any part of your stand.
No food, beverage or confectionery may be sold from stands without the prior written agreement of the organisers and The RDS.
A fee may be charged.
Children under the age of 16 years are not permitted within the complex during construction or dismantling of any event.
Any accident, incident, injury, theft or other loss must be reported immediately to the manager in the organisers office
No helium balloons or other floating objects may be distributed to visitors without the consent of the organisers.
All exhibitors selling and/or advertising electrical and electronic equipment (EEE) undertake to comply with the Waste
Management (Waste Electrical and Electronic Equipment) (WEEE) Regulations, SI 340 of 2005.
Note: Your stand maybe inspected for compliance with the WEEE Regulations by the relevant regulatory authority.

CLUB/EXHIBITOR PASSES, DISCOUNT TICKETS
AND CAR PARK PASSES
Each Car Club/Exhibitor company is provided with an Club/Exhibition Kit which
includes your exhibition passes, car park passes, complimentary enquiry pads, safety
leaflet, and other details relating to the operation of the exhibition. Club/Exhibition
Kits are available from the Organisers office on the day of build-up and ARE NOT
forwarded by post. Car park charges apply from about one hour before the show
opens unless a car park pass is displayed.
CAR PARK PASSES
Each club/exhibitor will receive 3 car park passes in the kits (Passes are restricted by
the RDS)
EXHIBITOR PASSES
Each Club/Exhibitor will receive 4 Exhibitor Badges/Passes MUST be worn by all
stand personnel during the exhibition.
Exhibitor Badges/Passes Will Be Checked By Security When Accessing The
Hall During Opening Times.
DISCOUNTED TICKETS
Clubs/Exhibitors are entitled to a special discount on advance purchase of adult
admission tickets.
The normal adult admission price is €15. However, clubs/exhibitors may order tickets
at a reduced price of €12 when ten tickets or more are ordered. This offer ends on
the 15th February 2016.
