Overall purpose of job:
To develop enhancements and improvements to Diabetes UK’s primary CRM
application (‘CIS’) and other systems and databases within the organization.
Ensure optimum performance and availability to system users. Provide technical
and user support of these databases.
Working Relationships:
Internal
 All permanent, temporary staff including those whose offices are outside
London.
 Project Working Group, Database User Group, CIS Steering Group
External
 Formal business relationship with third party suppliers/consultants.
 Supplier support and development departments. External Product
Specialist teams.
Main duties
 Maintain the CIS database environments including LIVE, TEST and
DEVELOPMENT
 Planning, developing, testing and implementation of new systems,
database versions, patches and enhancements.
 Consultation with and representation of users in respect of dealing with
system suppliers or organisations capturing data through the account
management structure.
 Work with users to maintain high quality data integrity and make
recommendations on the course of action to be taken to rectify any data
issues. Develop exception reports, as necessary to identify data issues.
 Educating users in best practice for maintaining data integrity.
 Ensure that the storage, archiving, backup and recovery procedures are
monitored and run as per the schedule. Plan for and seek approval of any
changes to these procedures.
 Perform system upgrades and bolt-on product updates.
 Carry out data administration duties to include data cleansing, automated
(scripted) data fixing, upload of data including:
o Ensuring data is transferred via secure means in accordance with
the Data Protection Act.
o Verifying data supplier validation checks.















o Performing and developing internal data validation checks to
ensure quality of incoming data.
o Logging all data received from third parties.
o Performing final upload of data and subsequent validation once
uploaded.
To ensure the database platforms, applications and any related bolt-on
products are stable and maintained to ensure optimum system up-time.
Liaise with system suppliers as required to report system faults and bugs
and follow to the point of resolution through the appropriate channels.
Work proactively to develop solutions to maximise the effectiveness of the
use of the CIS. To improve efficiency and increase the utilisation and
business ownership of the system.
Work closely with internal audiences to meet their operational objectives,
providing support and advice on data management and CIS usage.
Ensure there are fully documented database and system change control /
change management procedures, including requests for work and
developments made by users.
Ensure that there is full documentation and procedures covering systems
testing including user acceptance testing. Regular review and update of
all system documentation.
Working with users to clearly establish their requirements, to include
documenting these from both a business and technical perspective into
specifications.
Develop a best practice framework in relation to the CIS, to involve review
of business processes and providing recommendations on the way the
system is used.
Provide professional guidance and advice in regular business process
reviews.
Develop and maintain up to date documentation of known issues, errors,
workarounds, key functionality and solutions provided.
Assist in the development and publication of Key Performance Indicators.
Provide a problem-solving and advice service to users to support the
needs of the business.
Maintain and update logs for all support issues being dealt with.
User set up and access maintenance on the CIS.
Some staff training / handholding on the CIS, to include input into the
content of training courses.
Person Specification: Essential
 Degree calibre, ideally in a related discipline
 2 years’ concurrent, demonstrable experience of:
o Relational Database Applications
o SQL (preferably Oracle)
o UNIX (preferably Linux)
 Excellent communication skills.
 Ability to work with staff at all levels.
 Effective negotiation skills.
 Planning and prioritising skills.
 Ability to work to deadlines.
 Ability to work under own initiative with minimal supervision.
 Experience of producing technical documentation.

Knowledge of data protection legislation, database and data transfer

Desirable
 2 years’ demonstrable experience of Oracle.
 Experience of PL/SQL
 Experience of database reporting packages (such as Cognos, Crystal
Reports, Business Objects).
 Exposure to database administration.
 Experience of change control procedures.
 Structured Business Analysis skills.
 Project Management experience.
 Experience of delivering staff training.
 Ability to work unsociable hours as required.
Limits of authority
Purchase orders to be countersigned by Project Manager or other senior
managers in the department.
