UCAS Data for HESA (*J)
Reference Material for 2006 Entry
Its fields and their translation from UCAS to HESA coding conventions
Please note this document is for reference only
1
The following gives the fields / changes that have been included for 2003
1. Additional field in the record layout for the tariff score for advanced extension awards.
2. Highest qualification - changes to code conversions for OEQ J etc.
3. Inclusion of all exam results.
4. Conversion of disability T to Hesa code.
5. Amendment to exam results to cater for the compensatory awards and the change
made by SQA during the cycle. From summer 2003 exam results from the SQA
Compensatory Awards were sent as A*. The capital ‘A’ indicating that the exam level
sent is correct. Pre-summer 2003 compensatory awards were indicated by ‘a*’ but at
the level taken. For the purposes of this return UCAS will translate to the
compensatory level, grade and tariff score. See appendix H example F.
6. The UCAS Domicile code of 599 will be translated to HESA Code of 1782.
7. The UCAS Nationality code of 000 will be translated to 2826
UNLESS
the UCAS Domicile code is 592 to 594 then the HESA code will be 3826 or
the UCAS Domicile code is 595 then the HESA code will be 4826.
8. If the Total Tariff Score field F198/183 TOTALTS exceeds 999 then the default value
of 999 will be used.
The following gives the fields / changes that have been included for 2004
1. Field 46 Proportional Indicator (SBJBID) – New values added
0 to indicate a Single Course
3 to indicate a Triple Course
2. Field 21 Highest Qualification (QUALENT2) – New Value added
94 (Advanced Modern Apprenticeships) to HESA codes
3. Fields F194/179 (SCSN) and F195/180 (SCSTS) – Scottish Core Skills are
now supplied by UCAS.
4. Fields F190/175(SI2N) and F191/176(SI2TS) – Scottish Intermediate 2 are
now supplied by UCAS.
5. Fields F174/159 GCEASN to F198/183 TOTALTS If any count is 9 or greater then the count will default to 9,
If any score is 998 or greater then 998 will be used as the default.

The HEFCE, HESA and UCAS have agreed on the method by which the number of awards
and their tariff scores are to populate the fields F174/159 to F198/183 of the HESA returns
and supplied by UCAS to HEI’s via the *J transaction will be calculated. The previous points
score used by UCAS was calculated by mapping the subject codes used by examination
boards onto the Marvin subject codes. To ensure continuity and consistency, UCAS
proposes to extend using this method to tariff scoring and in particular to linking Advanced
Subsidiary to Advanced levels where there is no clear progression associated.
