Sports Medicine Athletic Trainers’ Meeting

Thursday October 3, 2013 11-1 pm – Ford Road Rehab

I.

System, Department, and Division Updates a.

HFHS i.

Naviget consulting group have looked at recommendations on a global level, forming work groups to tackle items b.

Department of Orthopaedics i.

Physicians are 112% of target productivity ii.

Before reaching out to physicians, please check Epic notes. If having problems accessing, email Christina and I will cut and paste. If after the Epic note, you still have questions email the physician but please include athlete’s name and MRN with your specific questions. iii.

If you need an MRN for an athlete that is getting an appointment, okay to contact the CSRs at CAM to assist with creation. c.

Division Personnel i.

Athletic Trainers: Trevor Lopez ii.

Cranbrook update: Hired Steve Carter, will begin November 10 th iii.

Post-meeting, I received a letter of resignation from Janelle Jaha. Will need help with a few ASH events (see below for coverage). Two dates are on Tuesday, when Christina is assisting with Concussion Clinic due to added providers. d.

Physician Clinic i.

Patient feedback from HEP (please disburse and track forms based on site – interoffice mail to William Bohler in orthopaedics at CFP to run data with indication of CAM or Columbus). e.

Exempt/Salary Status of ATs i.

Continuing to work with HR, legal and compensation on moving ATs to exempt status. Next meeting for Nancy Z and Christina is Thursday

October 10 th . If you have any specific questions, please email Christina prior to the meeting so we can address them in our meeting.

ii.

CTO will remain, although no RG2 or AW (shift/weekend differential).

We are working with compensation on an updated job description and to account for comparable salary rates accounting into RG2 and

AW since a majority of the time is spent at the schools (1600-1000 hours/year) during later shifts or weekends.

iii.

Will meet with HR (meeting TBD – individuals can call in if not able to physically attend) prior to November 3 rd which is the targeted implementation date for that pay period. HR/legal to develop FAQ to address questions.

Engagement i.

What tools do you need to do your job successfully?

Epic Access: work with IT at school if have a computer (having issues accessing remotely due to school restrictions); several still do not have computer access.

If had to choose a tool to make AT successful with accessing information at the school, would choose an iPad.

Coats: If you coats have seen better days, please bring in old one and will swap out coat. If you could choose a fleece or outer spring/fall coat, would choose an outer zip up coat. g.

Tuition Reimbursement i.

Up to $3,000 per year in tuition reimbursement as part of full time benefits. Many options with online masters programs. If you are looking to go back to school, will need to meet with Christina first to discuss programming and get forms filled out for reimbursement.

h.

Miscellaneous Items i.

All ATs should be using SCAT3. Will work on short version of it for the sideline (two-page).

ii.

Flu shots, need to have done by December 1 st per HFHS policy. Given out at Ford Road today, other option is Thursday November 14 th at

CAM.

iii.

Durable bracing, there is a lock now at CAM on the equipment. If you have an athlete that needs items need an MRN and your school physician to sign sheet.

iv.

Marian is hosting CHSL field hockey finals at Madonna on Saturday

October 12 th . If you need hours (3 hours), feel free to cover (game begins at 3:30 pm, need to arrive to Madonna by 2:30 pm).

Epic Templates i.

From email dated 8/23/13:

Still waiting on SCAT3 and SCAT3child templates to be uploaded – once they are completed will let you know. Todd Bohler has completed our injury report and progress note templates. These templates will be utilized for student-athletes/patients that we are referring to our physicians from our outreach schools/community. If you uploaded the documentation into Epic, please be sure to send a note to the physician to let them know it is there prior to the patient’s visit.

When doing an Epic documentation, will need MRN for patient. Go under the Epic icon (upper right hand corner), patient care, documentation. Once you have used it for a bit, it will come up under

“recent” right under the Epic icon and you can star it to add to favorites so it continues to show up. You will list yourself as provider and click on

CAM Sports Medicine for department (since that is our main area for

AT). It will immediately take you to “progress notes” where you will search HFH AMB ORT SPORTS INJURY REPORT or INJURY PROGRESS

NOTE for insert smart text. As with any Epic documentation, the blue highlight are pre-populated from the patient record. *** is free text that you can enter, yellow highlight gives you a drop down menu, and F2 will allow you to tab through document. After completing document, please email the physician that your student-athlete/patient is seeing. j.
