Committee Meeting minutes 11/24/09
 Kickoff – NEXT WEEK – December 1st!! UC 168B from 12:45 – 2:00pm
o We need EVERYBODY to help advertise and get people to come out.
 Pick up flyers from Rec Center on Monday morning before you go to any
classes to distribute to everyone you see.
o Angela will work with PERKS to get food and decorations taken care of.
o At this point we only have 2 tables in the room. Karen H will work on trying to get
more, otherwise we will have to re-organize plan.
o Dan –send out Facebook messages to Relay groups about kickoff
o Karen M. – send email to past team captains reminding them about kickoff.
o Karen H – post on Monday morning email announcements and Rec Center fan page.
o Danna – bring prizes to kickoff to use at tabling on Dec. 2 and 3
o Kelsey – playlist of decades music
o Everyone – make sure you are signed up online so you can help others
 Team Blitz Reminder
o Monday, November 30th – Everyone - advertise, advertise, advertise
o Tuesday, December 1st – kickoff (please arrive as close to 11:30 as possible to set up)
o Wednesday, December 2nd – bouncing Dan on a trampoline in Zanfino Plaza.

o Chuck – working with bookstore to get sun and moon cards sold in March and April.

o We made $97.20. Thanks Karen H and Sofia!
o Do we want to try selling again over break? Karen H has forms, will bring to
kickoff.
 Spring semester dates
o January 26th – Kickoff 2.0
o First week in February – Relay Rally (informal meeting to recruit teams). Sofia –
please check room schedule to see when the multi purpose room is available from 58pm during 1st week in February
o April 1st – Paint the Campus Purple. Sofia – put in request for at least 2 tables on
Main street, putting up decorations in student center and Zanfino plaza
o Committee Meetings – we will be meeting on a weekly basis during spring semester,
alternating common hour and evening meeting. Please send Danna your availability
schedules for spring (include classes, work, other standing commitments) so we can
determine best dates and get rooms reserved
o Team Captain meetings – we need to determine when best to do these. Common
hour worked fairly well last year. Maybe we do 2 common hour, 1 evening? Ideal
dates – 2nd week in Feb, last week in Feb, 2nd week in March for meetings and Bank
Day or Night 1st week in April.
 What you should be working on over winter break…
o Everyone – FUNDRAISE!!!!
o Everyone – reach out to your contacts about donating food or gifts or becoming a
sponsor. See food donation and sponsorship forms attached to email or posted on
www.relayforlife.org/wpuNJ on committee information page.
o Dan and Josh – work out Marketing plan for Spring semester. Come up with
timeline including any deadlines to submit articles, approval for hanging signs, etc.
Is there any place on campus we can hang a 10 foot Relay banner to advertise?
o Nicolle – come up with preliminary activities schedule. Confirm DJ and recruit
bands
o Karen M – stay in contact with team captains, send fundraising suggestions. Come
up with game plan to recruit more teams in the spring.
o Kelsey – follow up with restaurants about fundraising nights. Come up with game
plan to sell Luminaria. Is it possible to put a form in all faculty mailboxes asking
everyone to buy just one?
o Chuck – follow up with bookstore and Home Depot about selling sun and moon
cards. You will likely be contacted by ACS office about coming up with Fight Back
plan.
o Sofia, Angela, Karen H, Danna – let’s plan to meet at least once to strategize how
we can hit the ground running when all return from winter break
o Don’t forget to fundraise : )

 A fund day of learning and opportunity to share ideas with other Relay
committees from Bergen and Passaic Counties
