2012 Market Operations Coordinator Montavilla Farmers Market 7600 block of SE Stark Street, 97215 DESCRIPTION OF THE POSITION As an employee and representative of Montavilla Farmers Market, the Market Operations Coordinator (MC) is expected to be a professional “face of the market,” at the market site. As such, the Board requires the MC possess: Familiarity with the Market site map, the Vendor Handbook, and the Volunteer Handbook Knowledge of vendor attendance, products, growing practices and locations The ability to answer FAQ about the Market and neighborhood Strong knowledge of local food systems, seasonal eating, and sustainable living The MC’s primary areas of responsibility include: 1) Onsite volunteer management on Market day 2) Onsite execution of Durable Dish program 3) Onsite Market Manager and Financial Operations Coordinator backup support SEASONAL BREAKDOWN OF DUTIES PRE-SEASON PLANNING: (May) 4 hours/week: 2 weeks Receive training in job tasks and onsite procedures, including set-up, tear-down, durable dish, people counts, info booth, etc. (provided by head of HR/Volunteer Committee and Market Manager). Attend a pre-market volunteer training session for new and returning volunteers. Learn about the organization, the roles of the MFM board and key volunteers, and become familiar with the Volunteer Handbook. MARKET SEASON: (June – November) 6.5 hours/market day: 22 weeks Market day: 8:00 am – 3:00 pm (7 hrs. on-site with a 30-minute unpaid lunch break) Train volunteers on safe and efficient techniques for set-up, tear-down, durable dish, chef demo set up, OSU people count protocol, and info booth operations. Lead set up/take down of market site (info booth, customer seating area, events tent, chef demo station, durable dish, recycling pod, porta-potty, A-board placement/removal, etc). Oversee operation of the Durable Dish program. Direct volunteers to tasks that need to be done. Actively show gratitude and appreciation to Market volunteers. Oversee daily customer counts using OSU people count protocol. Provide support to Chef Demo Coordinator, including setting up and tearing down demo booth in a timely manner, greeting chefs, coordinating with volunteer sous chef, and introducing chefs as needed. Coordinate set up for community tabling (on the 2nd Sundays in July, August, and September). Collect customer information for the MFM e-newsletter or potential volunteers through a signup sheet at the Info Booth. Monitor market site for cleanliness, and upkeep of gravel. Monitor market for customer/vendor interactions and issues, and communicate observations and concerns to Market Manager. Build and maintain positive vendor relationships. Visit all vendor market booths to be knowledgeable about current weekly offerings. Effectively refer customers and potential vendors to the proper personnel. Provide coverage for Financial Operations Coordinator at Info Booth during designated lunch break. Coordinate with volunteer gleaners arriving at end of market to collect donations of leftover produce. Along with MM, secure site at the end of the market (includes securing all MFM property within market barn, porta-potty is locked, trash is removed, and vendor water hose is disconnected, plus all closely-located market signs are in barn). Update Volunteer Handbook on an ongoing basis. Participate in weekly check in session with Market Manager and Financial Coordinator to communicate about updates and changes, and to register issues. POST-SEASON WRAP UP: (November) 5 hours/week: 1 week Finalize updates to the Volunteer Handbook in conjunction with the Volunteer Program Coordinator. Provide a year-end report to the board with recommendations for changes to the position, work flow, and Market overall. Assist with final barn clean up, organization, and shut down. The MC’s work performance will be evaluated twice yearly during a mid-season (Aug 1.) and post-season (Nov. 30) review. In addition, an informal check-in will occur by the end of June. Reviews are conducted by the head of the HR/Volunteer committee and the Board chair and will include input from the Market Manager and MFM board members. Future contracts may be awarded based upon completion of required tasks and the MC’s development and growth over the course of the season. The Market Manager provides onsite direct supervision and leadership with oversight provided by the head of the HR/Volunteer committee. MFM has an open door policy. The MC may approach any board member with questions and concerns. As 2012 Market Operations Coordinator for the Montavilla Farmers Market, _______, will be paid as an employee of the Market, a total rate of $1560 gross income for the work performed as outlined above. ______ will be paid six (6) times over the course of the year on the 1st of each month, from June thru November, a sum of $260 less any applicable taxes. Included within this contract is the option for one full (7 day) week of unpaid time-off where the Market Operations Coordinator duties will be covered by a sufficiently trained, board-approved substitute. ________ may choose to take the unpaid week off or elect to work all 23 weeks and be paid an additional $65. Any incidental time-off will be calculated and adjusted as needed and will be reflected in the final payment.
