3.1.1
PRO VICE CHANCELLOR’S INTERNATIONAL SCHOLAR
3.1.1.1 The Scholarship is only valid for Non Malaysian Citizen and Full time
enrolled student Degree programme at Curtin Sarawak.
3.1.1.2 Two 50% scholarship toward course fee only for the entire duration of
programme (3 -4 years depending on programme of study)
3.1.1.3 Offered once in a year which the closing date is 17th February each year.
3.1.1.4 All applications received must be stamped with date and signature of the
staff who received the application
3.1.1.5 Applications must be completed with all the required documents
(a) Completed Application Form
(b) Parents’ pay slip/J Forms/BE Forms/Pensioners Card or Statement.
Parents without this relevant document or are unemployed must
submit a letter certified by the Commissioner of Oath or any class A
government official

activities

3.1.1.8 Conditions
(a) Recipients will be briefed in person on the detailed conditions of
the award
(b) Offer letters can be signed immediately or be taken home for
review by students but must be returned to Loans & Scholarships
on date stated on the letter
(c) Offer Letter and agreement must state that the student is to
complete at least four (4) years of his/her studies at Curtin
Sarawak for the Business or Engineering and Science program
and in the event that the students fail to comply to the terms of
agreement, the student shall reimburse the University the amount
totaling the value of the scholarship
(d) The award is conditional on the student accepting the following
responsibilities to study diligently, to pass all examinations and
have not been offered/ holding any scholarship or loan.
(e) A student who withdraws from the course or program after the
commencement of class but within the first four (4) weeks, shall
reimburse the University 50% of the scholarship value made for
the current semester following the entitlement stipulated in their
offer letter, or student withdrawing from the course or program
after the first four (4) weeks, shall reimburse the University 100%
of the scholarship value made for the current semester following
the entitlement stipulated in their offer letter
(f) The student must not at any time during his/her study at Curtin
Sarawak behave or act contrary to the rules and regulations of the
country and the University. If he/she is involved in any undesirable
activities, the scholarship will be withdrawn and disciplinary action
will be instituted against him/her in accordance with the University

(g) A refund form will be attached together with the offer letter for
students to request for refund of payment made prior to application
for the scholarship
(h) After signing of the offer, student will be given the original copy of
the offer letter and a copy for safe keeping in student’s file.
3.1.1.9 Refund Procedures
(a) The student must pay the tuition fees before or during registration
period. For a student who has made payment for tuition fees, the
student must raise the refund themselves
(b) A database of recipients verified by the Head of Student Services will
be forwarded to Financial Services for reference and records. This is
to monitor those students who had paid the tuition fees prior to the
offer and the percentage of scholarship offer from us
(c) The student must fill in the Refund Request form and forward to the
Cashier
(d) A full refund will be issued to those recipients receiving the
scholarship
(e) Students should receive their refunds in approximately two weeks
from Financial Services

CSM SCHOLARSHIP
3.1.3.1
The Scholarship is offered twice a year during the semester and the
closing date for this scholarship is on 17th and 24th June each year

Amount of award and duration are:(a)
100% scholarship towards course fee only for the first year of
study
(b)
50% scholarship towards course fee only for the first year of
study
(c)
25% scholarships towards course fee only for the first year of
study

SHELL-CURTIN SCHOLARSHIP
3.1.4.1 The Scholarship is offered once a year in March for two recipients per
year ending in 2008 where 50% of the semester tuition fees are shared
by both Curtin and Shell.
(a) The balance amount will be paid by Shell to the student as living
allowance
(b) The total amount shall not be more than RM12, 500
3.1.4.2
Other expenses are to be borne by the student and successful
applicants are not bonded to work in Shell after completion of the
course
3.1.4.3
Criteria:
(a) STPM/A’ Level results with at least 2A’s and 2B’s
(b) CSM Foundation results with CWA 80% and above
(c) Accepted to Curtin first year Engineering degree
(d) No siblings currently holding Shell Scholarship and not holding any
scholarships or loans including PTPTN
(e) For Sarawakian and Sabahan students
(f) Not more than 23 years old
(g) Excel in academic, co-curriculum activities and able to interact and
communicate with wide range of people

scholarship given per semester and the validity period
(e) The student must complete the Bachelor of Engineering Program
at Curtin University of Technology, Sarawak Campus and in the
event the student fails to comply, shall reimburse the university the
amount totaling the value of the scholarship disbursed
(f) The award is conditional on the student accepting the following
responsibilities to study diligently, and to pass all examinations

WESTERN AUSTRALIAN GOVERNMENT SCHOLARSHIP
3.1.5.1 The scholarship is only for CSM’s existing students who will be going for
their the final year
3.1.5.2 The scholarship includes return airfares, traveling expenses, on-campus
accommodation sponsored by the Western Australia government
3.1.5.3 Curtin Bentley, Perth will grant the tuition fees for one year, the Overseas
Student Health Coverage, the visa as well as the medical report fee,
which will is first paid by the students and subsequently to be refunded
upon arrival in Curtin Perth
3.1.5.4 Other expenses such as textbooks, living expenses will be borne by the
students themselves
3.1.5.5 The Scholarship is only offered to two Business students, two
Engineering students and the final candidate from any school
3.1.5.6 The agreement between Curtin and the Western Australian government
have been extended to 2009 till further notice
3.1.5.7 Criteria:
(a) Malaysian citizen
(b) At least CWA of 80%

Coverage forms will be issued by Curtin Perth
(e) The next best candidate will be selected if the offer is rejected
(f) The decision of the Panel is final
3.1.5.9 Conditions
(a) Recipients will be briefed in person on the detailed conditions of

(b) Offer letters can be signed immediately or be taken home for
review by students but must be returned to Student Affairs on date
stated on the letter
(c) Submitted documents will be faxed to Perth, while a copy will be
made for reference before the originals will be sent to Perth
(d) Students will then be advised to apply for their visas and to
proceed with their medical check through the University’s
appointed panel of doctors
(e) Students must inform the Enrolment Office of the units they plan to
enroll in for the coming semester
(f) Reports of the medical check and the plan units to be enrolled in
will be sent to Perth
(g) Loans & Scholarships Office to notify Housing Officer in Perth,
Andrew Lee; and Airport Reception Services, Ian Farnie of
students’ confirmed date of arrival
(h) Loans & Scholarships Office will issue a memo to notify Financial
Services that CSM will pay the tuition fee as well as the visa on
behalf of Curtin Perth
(i) Loans & Scholarships Office will book a return air-ticket (Economy
class) for the students either from Miri-KL-Perth or from their
hometown and departure date will normally be a few days before
orientation in Perth

(j) A press release and pre-departure briefing will be held for the
student 2 weeks before departure
3.2
EXTERNAL SCHOLARSHIPS
3.2.1
TUNKU ABDUL RAHMAN SCHOLARSHIP (YAYASAN BIASISWA SARAWAK
TUNKU ABDUL RAHMAN)
3.2.1.1 This application is for both newly enrolled student to degree as well as
CSM’s Foundation students going for Degree courses
3.2.1.2 The Scholarship is offered once a year and the notification of the
application and datelines will be 31st July each year
3.2.1.3 The Scholarship covers living allowances, tuition fees, air-ticket
(economy class) and other allowances
3.2.1.4 Application forms can be obtained from Student Services or downloaded
from Yayasan’s website.
Students are to submit the completed
application forms with the required documents directly to Yayasan
3.2.1.5 Short listed candidates will be notified directly by Yayasan
3.2.1.6 Successful applicants are required to provide a copy of the agreement to
Loans & Scholarships Office
3.2.1.5 Criteria:
(a) Grade B or above for STPM
(b) CGPA 3.00 (74%) and above for Diploma or Foundation results
(c) For Sarawakian with Malaysian birth certificates
(d) Full time enrolled Degree, Masters or Doctorate students only in ECommerce,
Electronic
and
Communication

Mechanical
Engineering courses
(e) Students must achieve a CGPA of at least 2:00 every semester
3.2.1.6 Payment process:
(a) Financial Services will invoice YBTAR for tuition fees payment
each semester
(b) Invoice will be based on units enrolled/credit hours taken

(c) Students who withdraw/on leave of absence/terminated must
notify YBTAR in writing
(d) A student who fail a unit and repeat that same unit in another
semester will not be funded by YBTAR
3.2.2
JABATAN PERKHIDMATAN AWAM (JPA – SABAH SCHOLARSHIP)
3.2.2.1 This application is for full time enrolled undergraduates in Computer
Science, Engineering, Accounting and Tourism Management from Sabah
and Labuan only
3.2.2.2 The Scholarship is offered once a year and covers living allowances of

3.5.1.3 APPLICATION PROCESS

Before students intend to apply the PTPTN loan, we have to make sure he/she meets
the current minimum University requirement in order to minimize number of rejection
which will affect out institution grade.

PTPTN forms are available from the Loans & Scholarships Office and the cost of RM
6:00 which had to pay at Cashier Counter.

There are two submissions in a semester which is 15th April and 15th May for 1st
semester where as 15th August and 15th Sept for 2nd semester. However we will
advertise earlier in order to be able to check through all the forms.

All application forms are to be submitted to Loans & Scholarships Office.

The due date to submit forms to Loans & Scholarships for Semester 1 will be on the
30th March and 28th April and Semester 2 will be the 28th July and 28th August every
year.

Upon receiving the application and other documents, we must check to make sure
the documents given are completed and forms are properly filled. To make sure that
the IC/names/course code & name/ID/income tax number of parents/date of
commencement of course/details of SPM result/qualification entry to degree/salary of
parent (must fill in net amount).

Create a database on list of student with details such as IC/ID/Course enrolled/
names/Gender/BCB account number/telephone number/min. entry requirement. This
name list in database should be group according to course enrolled.

The documents must be send to PTPTN at least 5 days before submission due date
to avoid institution marks being deducted which will affect our grades.

All forms and other documents must be photocopy before being sent out.

Documents send out are:

to course they are in and have to be put on top of all application.)

Arus perdana will take only 14 days which is including upon PTPTN receive of the
form, processing, signing of agreement and transferring /disbursement of loan to the
student.

Arus Perdana can only be when the institution can get about 150 student to apply for
PTPTN then we can invite PTPTN to come over to Curtin to give instant checking
and approval and at the own expenses otherwise if lower than 150, we will have to
bear the expenses.

Upon approval by board of Directors, PTPTN will send out the offer letter and
agreement to Institution and together with the list of names of those being offered.


Failing to follow their submission date will have our institution marks deducted and
will affect our grading.

Before filling in the offer letter and agreement, the student must check through their

Student must fill the agreement carefully and must not make mistake. All forms must
be filled in with black/blue ball point pen and must be capital letters. Any mistake
made, the student must make a straight line across the word/sentence and sign at
the side of the word/sentence. Students are not allowed to use blanco/correction pen.

Students’ copy of offer letter can be kept by student. Copy for PTPTN and Surat
Kebenaran 1, 2, 3 will be return to PTPTN. In the offer letter student will need to fill in
their names/ course offered/ agreement date/account number/bank name. Refer
attachment on how to fill offer letter and agreement.

Students will need to pay at cashier counter RM 45.00 to buy LHDN stamp. RM
40.00 for buying LHDN stamps and RM 5: 00 as service charge. The stamps can be
bought from Post Office. 2 copies of student agreement have to go for stamping at
LHDN.

Before proceeding for stamping, a memo must be sent to Financial Services,
attention to Ms Sara Wong to request for cash payment. The memo should be done
as soon as all students are done with the signing of agreement. This is to avoid
delaying of time due to the process of cash payment from the financial services which
will affect our due date to return the documents.

Payment will starts effective from the date of their offer letter and agreement and first
disbursement will be on that current semester their loan approved.

Maximum amount will be RM16,000 per year for Commerce and Arts degree and
RM16,500 per year for Engineering and Science degree

The loan only covers for the tuition fee only not other expenses
3.5.1.5 PAYMENT PROCESS

1st disbursement of payment to the student are done only after the agreement is
successfully completed by student and accepted by PTPTN. For the following
semester’s payment, it will be made after the confirmation status is received from the
institution (Curtin). The following status are as follows;
I. Active and is still studying
II. Pass previous semester with CGPA 2:00 and above
III. Does not hold any other loan/scholarship
IV. Any other status stated from time to time

Every semester PTPTN will send a diskette with list of students under PTPTN loan
for confirmation of their status.

Upon receiving of the diskette (hardcopy) on the student list, Loans & Scholarships
will have to get copy of the student’s transcript from the examination department.

As required by PTPTN, the results will then be calculated to get the CGPA of the
student.

Once the CGPA are obtained, then we can proceed to change the status of the
student according to the code that had been given by PTPTN. (see attachment)

Loans & Scholarships will deduct RM 100.00 from payment amount in the listing and
this will acknowledge PTPTN to direct credit the RM 100.00 to students account as
notification for students and that the balance of PTPTN payment is paid direct to
Curtin account.

Upon received of the payment from PTPTN, PTPTN will issue a list of names of
student under each payment voucher. We have to contra check all the names in
order to make sure that no students are left out for payment. Nevertheless refund to
the student can only be done after we received listing of student names from Bank
Bumiputra as this listing is the final listing on successful transaction.


do auditing to the Institution at any time to make sure there is no misuse of PTPTN
fund.

All students who have been offered the PTPTN loan are requested to have an
insurance . This is to ensure that the repayment of the said loan be continued by the
insurance, should the student passed away or permanent disablement. PTPTN will
decide on the insurance cover and payment premium will be deducted from the loan
amount.

Payment to student who go for leave of absence or postpone his course will be on
hold upon reasons given by the institution. If a student goes for leave of
absence/postponed his course after payment from PTPTN then the next payment will
be on hold by PTPTN.

PTPTN will hold any payment made to student if the exam result for previous
semester is less than GPA 2.00.

There is no postponement of payment to any student on any payment withhold from
them.

Student who transfer/withdrawn from an institution because the course had been
stopped are allowed to appeal for continuation of loan but the level and course
offered must be the same. Documents needed to forward to PTPTN are appeal letter
from student that states reason for transfer of course, release letter from previous
institution and acceptance of offer from the new institution.

A student who was offered PTPTN loan in his previous institution for his previous
course but has withdrawn/terminated can only apply for the loan after he settled the
previous loan amount.

A student taking PTPTN loan in his Diploma course and has successfully completed
the course can apply for second application to PTPTN in degree course unless
second application of PTPTN loan is of the same course which are not allowed by
PTPTN.

Appeal for extension on PTPTN loan will not be considered unless for reasons such
as changes in course structure and health problem of a student.

PTPTN loan will not cover for summer course.

3.5.1.6 REPAYMENT PROCESS

PTPTN will charge a 3% interest on loan and administration cost and every year
based on balance of loan each month.

Repayment for PTPTN loan will start six (6) months after graduation or after a
student has secured a job, whichever is earlier. Payments can be made through
Lembaga Hasil Dalam Negeri(LHDN), Maybank2U, Bumiputera Commerce Bank,
Bank Islam or Post Office. Payment made to PTPTN must be by Bank Draft and paid
to Ketua Eksekutif, Perbadanan Tabung Pendidikan Tinggi Nasional. A student can
pay PTPTN the whole amount upon graduation, or any amount but not less than the
amount stated by PTPTN in their agreement. If a student settles the whole amount
within six months after graduation, there will be no interest incurred.

A student who appeal for deferment of payment or rescheduling for reasons such as
extension of duration of course/have not completed studies can write a letter to
PTPTN. The student must request a confirmation letter from the student services
department on his status.

YAYASAN SARAWAK LOAN

3.5.8.7 Students will need to pay them back a year after they graduate according
to the statement posted to them for repayment.

duration mentioned in their agreement. Any extra extension, the students
will need to bear the cost by themselves.
3.5.8.9 Summer course will not covered by MARA. If the students apply for
Student Exchange to Curtin Perth, MARA might consider the payment
since the tuition fee is applicable with Curtin Sarawak but is yet advised

outsider to work part-time as electoral assistants

After 2 weeks, the students are not allowed to put the notices
and need to take it down. Specific location will be selected for
the notice display.

Once the Returning Officer did the forms and notices, we will on
behalf distribute to the rest of the students.

Returning Officer and the rest of the committee will determine

three or four voting tables)

A budget will be given for each group (each person only RM15),
a selected color will be determined for their promotional

Roughly, the students can come and collect the certificate in three to four
weeks time depending whether it is peak period. Otherwise, it will be
done in a day or two.

We will either e-mail or call the students up to collect the certificates.


Only given to top student in that unit in that class

Previously, it was chosen by the unit coordinator and passes
down to us the list of the successful students for certification.
Starting from semester 1, 2009, the list of top student will be
generated from the system given by Examination Unit to Loans &
Scholarships Office. Then Loans & Scholarships Office need to
distribute the generated list to the Administration Assistant for
each schools.

Formerly, it was only given to both Commerce and Engineering
degree.

Just this year, this semester, it was decided that Foundation
students will have Dean’s list award from this semester onwards

The award is awarded twice a year which is very semester

They will need to give us the details and names


3.11.1 CLAIMS
3.11.1.1 Student claims can only be done when the documents are in order:

Insurance claim form filled in by both the student and the doctor

Medical certificate (if unfit to attend class)

Original receipts

Photocopy of the student Ids, passport validity or ICs

No duplicate allowed otherwise clarification and support letter
from the University of the Student Status. Duplicates need to be
originals

Support letter from the University to notify them on the claims

Need the support letter from the club advisor or the president to
clarify if the injury caused by activities involved in the clubs or
societies

Need to fax to them to notify them on the claims while sending
the originals to them

Claims not more than RM1,500 for medical claims unless total
disability .

After that, a week or two, the Insurance company (SARATIM) will
send a cheque to us and we will give to Finance Services
