Felden Lodge Conference and Training Centre Conferencing We are able to provide a wide range of conference facilities for up to 60 delegates. There are a variety of rooms available for groups to hire and they will be set up as per your requirements. Included within the packages we offer is all the equipment that is required for your event to run smoothly. This includes: Data Projector and Audio Equipment Screen Flipchart and pens TV and Video/DVD player OHP Complimentary Wi-Fi Pens, pencils and other basic stationary (available on request) Conference Rooms The ‘Lounge’ is situated on the ground floor at the front of the house. This room is ideal as the main meeting room for residential groups due to it’s layout and relaxed feel. The remaining conference rooms are on the first floor of the main house and consists of 3 rooms that can be hired altogether or separately depending on your requirements. The spacious Lecture Room is an ideal venue for larger conferences and meetings, with our Conference Room being an ideal meeting room and the Small Group Room perfect for a breakout room, small meetings or interviews. There are 24 twin rooms and 3 single rooms. All of our rooms are en-suite with a shower. As part of the residential package we provide in each room: Towels Soap, shower gel and shampoo Some rooms have Freeview televisions Dining Room Our Dining room is able to seat up to 60 guests comfortably. We offer a variety of menus that can be discussed with the kitchen team prior to your arrival. As part of your booking we offer a choice of a two course meal or a buffet selection. A pleasant area to chat and relax with those accompanying you. It can be used as a break out area for groups booking sole use of the House. During your stay refreshments are served from this area with a selection of drinks and homemade cakes or biscuits. The Chapel The Chapel is available 24 hours a day and is an ideal place for worship or quiet times of prayer and reflection. Verbal confirmation is not acceptable. Should cancellation occur 8 to 21 days before the date of the course/seminar/event, a cancellation fee of £100 will be invoiced. Where final invoice would have been less than £100 a charge of 25% will be made. Cancellation within 3 - 7 days of the event will incur 50% cost and cancellation within 48 hours will incur full cost. BOOKING An estimate of numbers attending is required at time of booking. Any significant changes in these numbers to be notified to Centre Manager as soon as possible. Final numbers should be communicated one week prior to course/seminar/event date(s). These numbers will be used for compiling the final invoice unless numbers increase in which case the greater number will be used for invoicing. Where there are individually designed packages, these will be confirmed in writing. The Centre reserves the right to cancel or refuse any booking at anytime. Residential Bookings DEPOSITS All bookings are initially provisional. Within 14 days of the provisional booking being made an invoice for a non refundable deposit of £200 will be issued. The balance of fees will be invoiced after your stay and will be due for payment within 14 days. CANCELLATION Should cancellation occur 3 to 6 months prior to dates booked 50% of estimated final invoice will be charged. Within 1 - 3 months the charge increases to 75% and within 28 days the full amount will be charged. BOOKING An estimate of numbers attending is required at time of booking. Where there are individually designed packages, these will be confirmed in writing. There is a single room supplement of £12.00 (up to March 2010) per person per night. The Centre reserves the right to cancel or refuse any booking at any time with the deposit refunded in full. General Information CONDUCT All persons attending the course/seminar/event shall be the responsibility of person named on the booking form. The organiser is responsible for ensuring that all members of group conduct themselves in an orderly manner. Please leave all dirty footwear & wet weather clothes outside the front door or in the entrance hall only. Child protection procedures must be adopted by groups working with young people. The Centre reserves the right to charge for any damage to property or normally unnecessary cleaning bills as a result of poor conduct shown by persons using the facilities. No activity will be undertaken which will place any person in danger or which will create a hazard to health and safety of other users. Care is to be taken with all furniture & equipment belonging to Felden and if moved or borrowed must be put back in the same place or returned to the office before departure. SPORTS CENTRE Block Bookings: One weeks notice is required for cancellation or current hourly rate will be invoiced to address on application form. Block bookings: One or more no shows may result in the block booking being cancelled thereafter. Only suitable footwear will be worn within the Sport Centre and All Weather Surface. No activity will be undertaken which will place any person in danger or which will create a hazard to health and safety of other users. The setting up and dismantling of equipment will be undertaken during the booking period. Operating times are 9am – 10pm only. Felden Lodge reserves the right to cancel or refuse any booking at any time.
