The administrative and Accounts officer will assist the national team in the preparation and review of financial
reporting processes and documents. Reporting to the Director of Finance Europe South, the position will cover
financial transaction entry, review and processing as well as student administration and data entry tasks.
Essential
 Accounting qualifications and/or demonstrated knowledge and understanding of professional accounting
principles and practices
 Experience with corporate financial, accounting and administrative information systems
 Demonstrated analytical skills
 Effective interpersonal skills with a variety of cultural and ethnic stakeholder groups
 Computer literacy skills inclusive of demonstrated competence with the Microsoft Office suite
 The ability to work on own initiative, prioritise work, handle pressure of meeting monthly deadlines
 The ability to monitor and maintain management information systems and procedures
 The ability to communicate effectively in person, in writing and over the telephone with individuals and with a
wide variety of organisations and audiences
 Fluency in English language
 Must have working rights for Spain
Desirable
 An accounting degree will be highly regarded
 Experience in the use of accounting specific software (Oracle, SAP, Sage, etc.)
 An understanding of the higher education sector and experience in working with international students

1.
Primary Objectives of Job:
The Administrative & Accounts Officer, a member of the SAE Finance Team, is involved in
the preparation and review of financial reporting processes and documents with a view to
ensuring that agreed financial controls and processes are effectively operational at all
times. In the accounts payable function, this position will process invoices, raise purchase
orders and process employees’ expense claims. In accounts receivable, it will collect and
record payments in line with company credit procedures. Other aspects include reconciling
accounts, preparing management statements and reports, or filing VAT and tax returns.
Moreover, this position will also be responsible for student administration at the two SAE
campuses in Spain.

Key accountabilities that are part of the role:
General
i.
Actively participate in meetings of the campus and finance networks
ii.
Maintain financial information, files and records (e.g. copies of paid invoices,
checks, documentation, reimbursements, reports, vendor files, receipts, etc.) for
the purpose of ensuring the availability of documentation and compliance with
established policies and regulatory guidelines
Financial Transaction Entry, Review and Processing
iii.
Processing and coding invoices, credit notes and receipts
iv.
Ensuring there is a clear record of financial transactions (income and expenditure)
in accordance with organisational and tax authority requirements
v.
Responding to queries from customers and chasing outstanding payment
vi.
Checking and verifying bank transactions
vii.
Identifying and correcting or referring any errors or accounting discrepancies
viii.
Delivering reliable administrative accounting support and customer service
ix.
Reconciliation of bank payments to bank statements
x.
Month end tasks to ensure books are closed within deadline with appropriate
journals processed

Credit card, cash and Bank reconciliation

Process Insurances / workers compensations

Maintain security investment comminssion notifications

Holding company loan a/c management

International loan a/c reconciliations
CAS and Student Administration

Maintain student management system (CAS): enter payments, review claims,
make adjustments as requested by local administration / campus manager, etc.

Income reporting to local administration / campus manager

Follow-up and monitor students debt balance

Prepare data for direct bank charges

Oversight of receipts system

Keep track of write-offs, outstanding fees, etc

Process refunds to students
Other Duties and Responsibilities

Liaise with Human Resources Department

Send staff payslips to Campus Managers

Keep Human Resources document on file and process requests when necessary
(e.g.: seizure, paternity, medical leave, etc.)

Liaise with Chartered accountant for the preparation / revision of quarterly reports,
tax statements and other duties
