1. Organization
The organization we decided to choose for our field research study is the Management
Undergraduate Society (MUS) at McGill. It represents all full and part time students enrolled in
the McGill Bcom. Though our study focused more specifically on the executives of the MUS.
The executives have the responsibility to protect the interests of the students and to improve the
experience at Desautels.
1.1 Description
The MUS has the following characteristics:

Over 35 MUS committees and 9 clubs that organize more than 30 student activities.

Offers six student services and academic representation to the faculty and university.

Highest student involvement rate on campus.

Participation rate of 50-percent of the Bcom student body.

Integral part in the McGill University tradition.
1.2 Mission
The mission of the MUS is to be the wheel for student life and to install a sense of commitment
and community at Desautels. Its goals are to:

Extend student support

Improve the student’s visibility at McGill

Make it easier to get involved in MUS events, services and academic representation.
1.3 Executives
The MUS is represented and managed by 12 executives

President: ensures that student receive the best experience from the Bcom years.

VP Communications: keep students informed in what is going on in the faculty; events,
meeting, clubs, committees.

VP Finance: in charge of the financial operations of the MUS.

VP Academic: represents the student body by sitting on various academic committees to
preserve students interests.

VP External: represent McGill Bcoms at external events.

VP Internal: organizing and overseeing cultural events run by the MUS.

VP Info Tech: in charge of sustaining and optimizing everything that is related to
technology related to the MUS.

U3 President: represents graduating students, and organizes events that cater to the
graduating class.

U2 President: represents year 2 students and cater events to this group of students.

U1 President: represent year 1 student and cater events to this group of students.

Rep to SSMU: to represent Bcom interest at the SSMU legislative council.

Management Senator: represents all Bcom students at the McGill Senate.
1.4 Why did we choose the MUS organization?
The MUS was the right organization to do our field research on because knowledge sharing and
preservation is crucial to the effectiveness of the society. This is due to the reelection of MUS
members every year, which creates needs of high knowledge transfer and synchronization
between its members. Crucial information that needs to be shared is:

Contact information.

Guidelines, policies, protocols about how to run the MUS.

Knowledge about previous experiences in different events.

Previous organizational files, documents, and projects.

Assigned responsibilities and tasks to executives.
2. Methodology
In order to assess the MUS’s knowledge management system we decided to gather information
using interviewing techniques. Since our report is more on a qualitative basis we believe
interviews can help us gain accurate and deeper insights on their knowledge management
maturity level. Interviews can enable us to learn things that cannot be directly observed, adds an
inner perspective to outward behaviors, allow for probing, increase accuracy of response, and
enables respondents to raise concerns.
The methodology of our work can be divided in 3 subsequent steps to analyze their maturity
level:

Step 1: Create questionnaire

Step 2: Interview members of MUS: the choice of the respondents was based on the
disponibilities of the executives and on their importance in the management program of
the organization.

Step 3: Analyze information from the interview with regard to the TCS maturity model.
