April 2015 Minutes approved (no May Meeting)
Treasurer/Financial Report
 Balance Sheet
 Operating account: $95,359.13
 Insurance reserve: $29,439.56
 Reserves: $194,579.40 – US Bank / $100,016.45 – Umpqua Bank
 Audit finalized - no adjusting entries - copy to be sent to Jasmine to post
 Major expense included driveway repair of $31,257.92 from reserves and
and Reserve Study of $2500 from operating
Property Manager Reports
 Caliber System Transition
 Some system errors, but Board members encouraged to use it
 Homeowners will be granted access in September
 Home Rules and Pet Rules are out of date on Caliber – Marium
action
Committee Reports
o Landscape –
o Board approval for vigorous tree, bush and hedge trimming in
the near future
o Board approval for a healthy pruning of the near indestructible
Portuguese Laurel ($200)
o Board approval for SW corner renovation ($720)
o Board approval for tree consultation with Ribeiro
o Board approval for further trimming of the wavy hedges on the
west side off of the sidewalk right-of-way
o Social Committee – no activity
o Webmaster – The bi-annual newsletter will not be posted on the
website
Homeowner Updates/Requests
o Unit 412 vacated by renters. Owner (Larry Petersen) to occupy in July
o Unit 210 – Christine Mower #210; Waiting for owner to proceed with
replacement process for 2 patio transom windows with awning
(opening) windows; Next steps: approval by Landmarks Preservation
Board, and filing of Addendum for ongoing maintenance. Michael
Uyemura retained as WQACA Project Manager. Christine has been
provided with the legal addendum and has paid for 1st legal invoice.
o Apparent sale pending and remodel of rented Unit #204 by owner
(Eckardt) to Keith Miller
o Multiple issues with contractor behavior on #403 remodel – addressed
by Brent
 Old Business
 Driveway Repair project completed successfully.
 In work – Removal/replacement of arborvitae hedges on south
sidewalk – delayed to late 2015/2016; removal of sweet gums on Galer
delayed. No other Landscape renovation has been approved at this
time.
 New Business
 Jasmine to change and distribute (email to all homeowners and
Property Manager and post to WQA website and Caliber) after further
review for any other necessary changes. House Rules change: Sale of
Unit / Key Boxes no longer allowed and updates to page 15. Marium
to notify realtors of the prohibition of keyboxes on site.
 Bi-Annual Window Cleaning (May/September) will now be an annual
event. New vendor (Outlook Exterior Maintenance) will clean
windows in early fall and then maintain an annual May schedule (2nd
and 3rd floors only).
 Further discussion required on feasibility of keyless entry system
(Brent)
 Exterior Painting in progress – Project to take several weeks.
 Discussion of role of Board Members (for July meeting)
 Process for managing remodel activities (for July meeting)
 Agreement on Annual Budget Process (for August meeting and may
need special meeting)
 Cable/Television Service review – Jasmine
 2015 Association Projects
 Blocked ground drain line immediately outside of north exterior garage
door. Jim Durnin bid approved and classified as RESERVE ITEM.
($4500 plus permits and electrical)
 Reserve Study : New spreadsheet prepared by Marla; Jasmine to load
to website along with the Reserve Study Schedule Update for 2015
 Attic Ventilation – Consultant on site October 2. Kyle Bozick. Report
submitted. Suggesting 26 new vents and baffling for 5 units.
Alternative solutions, e.g. ridge vents, etc.? Ron Mayes review
questions whether venting will address summer solar affect on west
side. Collector vent condensation may be more critical issue of focus.
Joe contacted Clarence at Ventmasters for more ideas. (ART & JOE)
 Newsletter – Initial newsletter released on March 10. Schedule of
newsletter to be semi-annually. Posted on Association website for
homeowner access. (SHALAN with assistance from JASMINE);
 Recycling/Garbage/Composting Plan/Services – Candi's report &
conclusions. Current Monday/Wednesday/Friday garbage pickup and
Tuesday recycle and food waste. Special Recycling Email was sent out
to all homeowners and renters on 5/21/2015. compost and
garbage pickup schedule to be reconsidered at next meeting
 Landscape Renovation Long Range Project - ongoing – Kit and
Carolynn
 Location for next Board Meeting on Wednesday, July 15, 2015 – Unit
#108
