 Email Proctors & APs “Save the Date” to ensure enough staff support
Month Ahead
 Email Proctors & APs Requesting Help!
 Order refreshments for Students (if you plan to provide them)
 Order Drinks & Food for Proctors/Coaches
 AV/TV - request any technology needed to display all scores in holding room AND correcting room
Week Before
Make Signs
 Directions to testing, holding & correcting rooms
 Which Teams in Which Room (Complete list of all rooms to hang in holding area and one to hang
outside each testing room listing teams in that room)
 Which Row is Which Team (to hang on first desk in each row)
 Table tents for correcting room (small - one for each team)
Make Copies of





 Team Form
 Comment Sheet
 Score Sheet (If using LCD projector, set up excel file for easy entry)
 Questions – 5 copies per team of each question plus surplus in case of last minute teams
 Proctor Instructions (calculator vs non–calculator) – email to proctors ahead, if feasible
Proof Questions – email John Unson with any concerns (john_unson@gateschili.monroe.edu)
Check Batteries for Timers
Stuff Envelopes for each room **Remember scrap paper
Reminders to proctors/helpers
Call/E-mail each school for number of teams (include emergency cell phone #, any special parking
directions, information about whether you are providing any refreshments, if needed request additional
proctors from schools with 4+ teams, inquire whether any special needs students attending)
