Appointment is on a local basis. Internal and External candidates under serious consideration will be required to pass the UN Administrative Support Assessment Test (ASAT).

SUMMARY OF MAIN DUTIES

This post is located in the Africa Branch, Field Operations and Technical Cooperation Division, Office of the High

Commissioner for Human Rights (OHCHR).

Under the overall supervision of the Chief of Branch, the incumbent:

- Prepares and sends internal notes, memoranda, facsimiles, answers telephone calls and queries, receives visitors (Govt. delegates, NGOs, IGOs and other partners), arranges appointments and meetings for the Section, answers queries, gives information on Section mandates and distributes relevant forms and documents, follows up and compiles Section assignment, as requested.

- Drafts, edits and corrects correspondence, reports and documents prepared by desk officers for format, spelling and grammar.

- Keeps leave records for the staff.

- Creates and maintains the office filing and reference system, liaises with UNOG archiving and other Section secretaries in order to ensure consistency in Branch filing practices.

- Assists in logistics-related work such as organizing office moves, requesting telephones and computers.

- Assists the Section with administrative tasks related to recruitment, including data entry.

- Assists in making all necessary arrangements for missions, meetings and consultations; searches for and assembles background materials and documentation for missions and meetings and provides secretarial assistance at or during missions and meetings.

- Performs other duties as requested.

QUALIFICATIONS AND EXPERIENCE

Completion of secondary school or its equivalent commercial school. At least 4 years of administrative experience, of which 2 preferably within the UN.

KNOWLEDGE OF LANGUAGES

Very good knowledge of English and French.
