Job Description and Person Specification
Job Title:
Membership & Recruitment Administrator
Reporting to:
Development & Office Manager
Working Hours:
9am to 5pm Monday to Friday inclusive, with one hour for lunch.
Total hours 35 per week. The above hours are the normal office
hours, but the post holder may from time to time need to undertake
some aspects of the post outside the normal office hours for which
time off in lieu will be given.
Salary:
c. £20,000 per annum
Purpose of Job:
To support staff members in an administrative capacity and to
undertake the recruitment and retention of sponsored members.

Pension
Listening Books provides access (to eligible employees) to a voluntary stakeholder pension
scheme run by Scottish Widows or alternatively, will contribute to a scheme of the employee's
choice (provided the scheme accepts employer's contributions and does not present any other
difficulties which render it impractical for the employer to do so). Listening Books will match
employee contributions into such pension scheme/s up to a maximum of 8% of that employee's
(gross) salary. More specifically, Listening Books will match grossed-up employee contributions
such that at current (2014) basic tax rates, a net 80p employee contribution plus a 20p tax refund
from the government paid into the scheme giving an employee gross contribution of £1, is then
matched by Listening Books with a £1 employer's contribution into the scheme, up to a maximum
of 8% of that employee's (gross) salary. The employer's actual matched contribution under this
scheme will not exceed 8% of the employee's (gross) salary. Therefore the maximum grossed-up
employee contribution under this scheme that the employer will match will be 8% of (gross)
salary.
Annual Leave
20 days per annum accrued at the rate of 1.66 days per calendar month based on a 35
hour week.
Main Tasks
1. To recruit members for our free membership programme, allocating funding to
eligible new and renewing sponsored members, helping to meet our funding
requirements and to expand the charity’s reach.
2. To be responsible for answering the external telephone line between 9am-5pm,
except for one hour for lunch.
3. To carry out other administrative duties including, opening incoming post, dealing
with any returned mail (via post and e-mail) and being responsible for the main
info email account and making orders as required.
4. To telephone new individual members, renewing individual members and
organisational members with the intention of retaining as many members as
possible and encouraging their use of the service.
5. To organise and mail members with various library and membership information
letters.
6. To assist with membership duties including cancelling members and sending out
renewal notifications.
7. To organise and undertake the membership and copyright filing.
8. To obtain permission to use members’ quotes in marketing materials.
9. To organise the copying and dispatch of Connect, our newsletter for members.
10. To organise catering for meetings.
11. To transcribe audio interviews for our member newsletter and website.
12. To assist with various library duties when required.
13. To undertake such other duties and responsibilities as may be reasonably required
in a small charity where flexibility is essential.
14. To work in a way that ensures a safe working environment and the health and
safety of the staff and other occupants of the building.
Person Specification
ESSENTIAL
1. Experience of working in an office environment.
2. Confident telephone manner and excellent communication skills when dealing
with a wide range of people.
3. Computer literacy, including a good working knowledge of up to date Windows
applications including Excel, Word and Outlook.
4. Minimum of 5 GCSEs (Grade C or above) or equivalent including Maths and
English.
5. Excellent attention to detail and accuracy.
6. Proven organisational skills.
7. Ability to manage time effectively, work to deadlines and prioritise workload.
8. Strong commitment to the charity’s aims and a desire to help it achieve its aims
and ideals.
DESIRABLE
1. Experience of telephone work and customer service skills (ability to engage with
people with tact and sensitivity and to represent the charity in a positive manner).
2. Experience of working or volunteering in the charity or disability sector.
