The School Holiday Program is a fun, inclusive, supportive and flexible program that caters for children aged
5 to 12 years who are attending primary school. A range of activities and experiences are on offer everyday
that build upon your child’s skills, knowledge and understanding, as well as their curiosity and imagination.
Professional and qualified staff are on hand to help children build their cooperation skills, respect and
independence, all the while ensuring they enjoy their holidays in a safe, fun and welcoming environment.
Children, aged 5 to 12 attending specialist schools, can also access the program; simply call the School
Holiday Program Administration to discuss the suitability of the program for your child’s additional needs.

FEES
BE SUNSMART – SEPT TO APRIL PROGRAMS
$53.50 per non-excursion/centre based day.
Excursion A is charged at $65, Excursion B is charged
at $70, Excursion C at $75 and Big Day Out is
charged at $82 and is an optional excursion for the
first 30 Grade 4/5/6s who book. Once your enrolment
form has been lodged you are obliged to pay for ALL
DAYS ticked regardless of non-attendance or
sickness, unless cancellation is received by our office
in writing by 5pm Monday 15 June 2015.
A wide-brimmed, bucket hat (at least 6 cm brims)
or legionnaire hat and 30+ SPF sunscreen must be
brought each day. No singlets please.
Program staff shall reserve the right to refuse
admission to children attending without a widebrimmed or legionnaire hat. The City of Greater
Geelong Sunsmart policy will be enforced from
September through to April (inclusive) programs.
REFUNDS
Medical conditions must be outlined in the enrolment
information for each child, where applicable. Current
medical action plans must be submitted each year
together with a risk minimisation plan where
necessary. All medication must be signed in and
given to staff each day. All medication must be in the
original package labelled with the Child’s name clearly
identified. All medication must be within its use by
date.
There will be NO REFUNDS, credits or exchange of
days.
HOURS OF OPERATION
We operate from 8:00am - 6:00pm. The Ocean Grove
& Leopold programs operate 7:00am – 6:00pm. Late
fees may apply. For your children’s safety, an adult
must sign them in on arrival and out on departure
each day. DEECD Victorian Heat Policy will come into
affect over January programs.
STAFF TO CHILD RATIO
The School Holiday Program operates within the
following minimum staffing to child ratios:
- 1:15 at centre
- 1:10 on excursions/1:8 high risk excursions
- 1:5 during swimming/water activities
TRANSPORT
All excursion buses are booked through McHarrys
Buslines. Where stated community buses or council
cars may be used. Children may walk or ride for some
excursions. This is stated at the program.
WHAT SHOULD MY CHILD BRING?
FOOD & DRINK: All children need to come to the
program with healthy play lunch, lunch afternoon tea,
fruit and a ‘named’ drink each day (no soft drinks).
Please ensure that children bring food which does not
require refrigerating or heating. Please let the
supervisor know if your child has any allergies or
reactions to certain foods. No nuts please.
CLOTHING & FOOTWEAR: Appropriate clothing
should be worn (comfortable clothes) during program.
A raincoat must be packed for unexpected wet
weather. Please ensure children wear appropriate
footwear at the holiday program. No thongs.
ADMINISTERING MEDICATION
BEHAVIOUR/CONDUCT
The holiday program organisers reserve the right to
cancel a child’s enrolment if his/her behaviour is
deemed to be unacceptable. Booked care will still be
charged for regardless of attendance.
HOW TO BOOK
1. Bookings received prior to Friday 12 June by 5pm will
be processed in DATE ORDER and in accordance
with DEEWR’s “Priority Access Guidelines”.
2. Enrol online at www.geelongaustralia.com.au/shp
3. Hardcopy enrolments will no longer be accepted.
4. Mail hardcopy support information to
School Holiday Program
PO Box 104 Geelong 3220 or drop into any
Customer Service Centre.
5. A confirmation letter and invoice will be issued within 7
days of enrolling. Where possible we email and mail
out this information. An invoice is confirmation your
child/ren are enrolled in the program.
CANCELLATIONS
If you wish to cancel any bookings it is required to be
in writing. If a cancellation is received prior to 5pm
Monday 15 June 2015 fees related to that booking will no
longer be charged and this will be confirmed by the City of
Greater Geelong. If you do not have a response by the 18
June 2015, please contact 5272 4741. Any cancellation
received after Monday 15 June 2015 will be charged at
daily fee. Fees will still apply even if care is not used.

PRIVACY STATEMENT
The Holiday Program uses the enrolment form to
collect personal information for the purpose of
program enrolment and statistical recording. The
information may be shared with funding agencies and
administrators for operational purposes only. The
information will not be disclosed to any other party
except as required by law. You will be able to amend
or correct information on request.
CHILDREN WITH ADDITIONAL NEEDS
The City of Greater Geelong welcomes children aged
5 – 12 years with additional needs into the School
Holiday Program. The program may not be suitable
for all children. For further information please contact
the Team Leader 5272 4741
CHILD CARE BENEFIT
Families may be eligible for Child Care Benefit
(CCB). To register for CCB please contact the Family
Assistance Office (FAO) on 13 61 50. Note: CCB is
means tested. Families may be able to have the Child
Care Rebate (CCR) paid to service. Please contact
FAO for further information.
HOW TO PAY
You will receive an estimated invoice which will contain
payment information.
Payments are due within 7 days of receiving your
invoice & before attendance. Please note cancellation
policy as non payment does not equate to a
cancellation. If you are unable to make the payment
before your child’s first day, please contact the
administration staff or team leader. You can pay via
credit card over the phone by calling 5272 4741.
You may also pay in person at any Customer Service
Centre.
Final invoices are sent for any outstanding amounts at the
conclusion of the program.

good working order, helmet &
