Welcome

Dear Collegues,

it is with great pleasure that I welcome you to ESHO’s 25 th Annual

Meeting, here in Verona. We have come a long way since some of us founded the European Society for Hyperthermic Oncology.

In honour of this milestone ESHO has planned an event to commemorate the beginning of our organization.

The theme of this meeting is “25 years of cooperation in the treatment of oncologic patients”. Our principal aim will be

“increasing collaboration” between European centers interested in the field of hyperthermia in order to design more prospective studies to better define the role of hyperthermia.

The venue of the meeting will be the Marani Center located near the main city hospital (Ospedale Maggiore, Borgo Trento).

Verona is a very beautiful city, rich in culture and arts. There are many theatres, museums and historical buildings such as the

Arena, the Teatro Romano, Castelvecchio, and some very famous churches. Verona is one of Italy’s oldest cities, the 4 th most touristic city in the last year.

The scientific program of ESHO 2009 will cover the major topics and introduce recent developments in the oncologic hyperthermia.

We look forward to stimulate presentations and discussions exploring new areas in the scientific cooperation.

This meeting occurs at a very important Anniversary of activity for

ESHO and I am very honoured to be the president of this event.

Once again many thanks to the ESHO Assembly for giving me this opportunity.

Meeting Venue

The meeting will be held at the “CENTRO MEDICO CULTURALE G. MARANI” of the Ospedale Civile Maggiore di Borgo Trento - via San Camillo de Lellis 2/4,

Verona.

The meeting venue can be easily reached from the railway station by public bus (n. 21-22-23-24-41) and from the city centre by public bus (n. 31-32-33-

62-70-71). Ticket price: €1 (valid 1 hour).

Participants

200 participants representing the different fields of hyperthermia research are expected to join the conference.

The registration fee (VAT 20% included) covers:

ESHO members, Non-members, Students and Research Fellows: participation in the scientific sessions, conference kit, abstracts book, certificate of attendance, lunches and coffee breaks as indicated in the programme.

Accompanying persons:

Participation in to the social programme including guided tours of Verona and

Garda Lake.

How to register for the meeting

To register for the Meeting, you are kindly requested to fill in the attached registration form and send it back to the Organizing Secretariat COGEST M. &

C. together with the payment of the fee. The Organizing Secretariat will send you an official receipt for the payment and further organizing information.

Remember that public institutions registering their employees must specify the request for VAT exemption on the form. Once the invoice is issued, any variation implies an extra expense of € 20,00 + VAT. If the organization does not manage to make the payment by the beginning of the Meeting, payment has to be made by the participant who will receive an invoice headed to the institution.

The number of single room is limited. Once they are all booked, double as single rooms will be assigned.

How to make the hotel reservation

To make a hotel reservation, you are kindly requested to to fill out the enclosed hotel accommodation form and to send it to the Organizing

Secretariat COGEST M. & C. We ask you to send the reservation form prior to

April 20th,; bookings after this date will be subject to availability. Participants will receive a booking confirmation including the name and address of the assigned hotel.

Methods of payment

To make the hotel reservation, you are kindly requested to pay with a credit card and to tick the appropriate box on the hotel reservation form. The booking fee of € 13,00 will be charged on your credit card as agency fee and and invoiced by COGEST M. & C. BUSINESS & TRAVEL. In order to secure your reservation, the hotel requires a credit card as guarantee. Your card will only be charged by the hotel at the time of check-out. The hotel accommodation charge will be invoiced directly by the hotel.

Cancellation and refunds

Notification of cancellation before April 20 th 2009:

€ 13,00 (VAT included) will be held exclusively as agency fee.

In case of cancellation from April 21 st 2009 onwards:

€ 13,00 (VAT included) as agency fee and the amount of one night stay will be held.

In case of no show the entire paid amount and agency fee (€ 13,00) will be held

For all ESHO members:

Payment of the ESHO membership fee for 2009 as confirmed by the ESHO secretary is required to register as an ESHO member.

Abstract submissions (deadline:

March 15, 2009)

Abstract submission for oral communications or posters will be possible per email from January until March 15, 2009 to both the below given e-mail addresses. Participants are requested to submit their abstract according to the following instructions.

Abstracts will be subject to review by the scientific committee before they can be accepted. A structured abstract is requested with the following information:

Title, Authors, Affiliations, Text:

Title: Write in

BOLD CAPITAL letters.

Authors: Family name should preceded the first name. Underline the name of the presenting author. lndicate by an asterix for each author/coauthor the ESHO membership status

(name*=ESHO member).

Affiliations: Name, city and country of the organisation where you work.

Text: State the purpose of the study, describe the methods, summarize the results presenting sufficient details to support the conclusions.

It is not acceptable to state "results

will be presented". Explain abbreviations the first time they appear.

The abstract, given in English, must not exceed one page of the format A4 (210mm x 297mm) in total. Tables or diagrams may be used. Use font

Times New Roman, point 12, single space.

It is allowed to include the table and/or one figure (black and white, NOT coloured).

Please indicate the most relevant topics (1-16) of your abstract and indicate your choice for either oral presentation or poster.

Some posters could be chosen by Local Scientific Committee for a short presentation (max 5 min). The choice will be communicated to the first author of the abstract

Save your abstract as Word-file (Word for

Windows) and name it with the last name of the presenting author plus "_ESH02007". If you intend to submit more than one abstract with the same presenting author, please add a consecutive number to the name.

Deadline

For editing reasons we need to receive the abstracts by March 15, 2009. Abstracts received after this date cannot be accepted. Once the abstract has been received, a confirmation message will be sent to the corresponding author within 7 calendar days after the receipt of the abstract. If you don’t receive the confirmation message, please contact directly the Organizing Secretariat for information.

An official letter/e-mail of acceptance indicating the form of presentation decided by the

Scientific Committee (oral communication, poster) will be sent by April 30,

2009.

During the congress, there will be a section named “Selected posters for debate”, where the most relevant posters in hypertermic biology, physics and clinic will be discussed with the Author by some ESHO board members.

There will be also the event “ESHO student award“. ESHO student are

ESHO members who are still in training (PhD students, post-doc students, etc. ). Candidates must write in the paper “ESHO student” after their name.

Official Language

The official language of the conference is English.

Badges

All participants are kindly required to wear the badge during the conference.

Certificate of attendance

At the end of the meeting a certificate of attendance will be handed over to every participants.

Commercial exhibition

In the close proximity of the lecture hall there will be an exhibition by companies involved in hyperthermia, radiotherapy and chemotherapy for cancer treatment. Interested companies, active in the field of hyperthermia and oncology, are expected to participate in the meeting as exhibitors. Please contact the Organizing Secretariat for detailed information.

Weather

The weather in Verona in June is usually warm (26°).

Banks

Banks are open from Monday to Friday from 8.30 till 13.00 and from 14.30 till

16.00.

Social Programme

A Conference Dinner will be held on Friday, June 5th at the XVIII century-old patrician palace (Palazzo Verità Poeta) in Verona city center - Vicolo S.

How to reach Verona

Located in a good geographic position, Verona is easy to reach:

By airplane: Verona “Valerio Catullo” Airport, 11 km far from the city.

The airport is well connected by daily flights with Rome, Paris, London,

Frankfurt. A public shuttle service is provided by ATV buses leaving from the airport to the railway station “Verona Porta Nuova”. The trip is about 25 minutes long.

If you arrive at Milano Malpensa Airport, there is a shuttle service to “Milano

Centrale” railway station. The service is provided also during the night in concomitance with the main flights. The trip is 50 minutes long. From “Milano

Centrale” railway station there are frequent train connections with Verona (one hour and a half trip with IC trains).

If you arrive at Venezia-Tessera “Marco Polo” Airport, you can take the city bus

ACTV n.15 orange colour, (35 minute journey); or the blue bus ATVO from the airport to Venezia Mestre railway station, (20 minute journey). From “Venezia

Mestre” railway station there are frequent train connections with Verona (one hour and a half trip with IC trains).

By car: motorway A4 (Milano-Venezia) and A22(Brennero-Modena); exit:

Verona Sud (3 km far from the city centre).

By train: “Verona Porta Nuova” railway station (1,5 km far from the city centre). A public shuttle service is provided by APTV buses leaving from the railway station to the city centre (n.11-12-13-21-22-23-41-62) and to

“CENTRO MEDICO CULTURALE G. MARANI” (n. 21-22-23-24-41).

The accreditation will be requested for a maximum of 200 participants; disciplines: biologists, neurosurgeons, oncologists, physicians, radiotherapists, radiologist technicians. Exclusive accreditation will be requested for the sessions dedicated to psychologists and licensed practical nurses of the oncology field.
