UK Walks:
Breast Cancer Care has over the last ten years built up a strong events function – events currently
account for a third of the charity’s overall voluntary income. The UK Walks portfolio consists of the
Pink Ribbonwalk events. They are mass participation walking events covering both beautiful day
and city at night locations.
The Pink Ribbonwalk is a fundraising walking event, heading into their 12th Year. The event was
created as a flagship mass participation challenge event in 2005. To date, over 30,000 people
have taken part in the events raising over £10Million, with over 5,000 participants expected to take
part in 2016. The walks will be of high scenic quality through beautiful countryside, they will be
challenging, but achievable by most people with some prior preparation.
The Post:
The UK Walks Officer will be a member of the Breast Cancer Care Events Team which sits within
the Fundraising and Marketing function. The Events Team consists of the Head of Events, the
Special Events team, Sporting and Challenges Events team and the UK Walks team. The post will
be based in the London office and will be part of the UK Walks team which consists of the UK
Walks Events Manager, two UK Walks Officers (one being this post) and a UK Walk Assistant. The
post holder will be managed by the UK Walks Manager.
The post holder will work with the UK Walks Events Manager and the UK Walks Assistant, as well
as the Events Logistics Planner to help to build and deliver the UK Walks portfolio which will
depend on efficient administration, creativity and planning.

Flexibility:
In order to work effectively in a changing environment, flexibility is required from the post-holder.
Any other tasks that may be requested will be at the same level of responsibility and terms and
conditions of employment.
The post-holder must be prepared to travel throughout the UK and to work varying hours.
Main Responsibilities
Event Management and Development
 To work with the UK Walks Events Manager to deliver a profitable and safe series of events.

To work with the UK Walks Events Manager and the Events Logistics Planner to source new
venues and new suppliers adhering to our health and safety guidelines and ensuring they are
operating within a safe environment.

To manage all suppliers including marquees, caterers, MCs, stage and sound, caterers, skips,
generator and loo hire. To ensure bookings are correct and on time and that all safety
documentation has been completed

To exploit all fundraising opportunities, and negotiate with suppliers in order to maximise the
potential net income for the organisation.

To manage the registration and JustGiving process for all the UK Walk events and co-ordinate
the associated databases and web systems, and be the main day to day contact with external
companies providing support with the registration process as required. To take telephone and
e-mail messages and respond to enquires as appropriate.

To source and liaise with external suppliers such as printers and suppliers. To exploit all
fundraising opportunities, and negotiate with suppliers in order to maximise the potential net
income for the organisation.

To liaise directly with supporters as required and maintain regular communication with
participants of the events.

To work with the UK Walks Team on the production of all participant fundraising,
communication and e-communication materials in relation to the UK Walks.

To develop relationships with a range of new and existing supporters committed to fundraising
for the organisation.

To ensure all events meet our health and safety requirements.

To attend and work at the UK Walk events.
Marketing
 To help deliver the marketing of the UK Walk events to a wider audience using the full
marketing mix including advertising, media coverage, database mailings, cold marketing, emarketing, social and web marketing.

To help co-ordinate the updating and maintenance of Breast Cancer Care database.

To establish, co-ordinate and assist the UK Walks Manager with the UK Walks Marketing
Champions.

To retain and develop relationships with a range of new and existing supporters committed to
fundraising for the organisation.

To investigate and propose new ways that the team can promote the UK Walk events to new
audiences to build the events database, liaising with other Breast Cancer Care teams where
appropriate to encourage attendance, maximise publicity and raise awareness and profile of
the organisation.

To input relevant copy to the event pages in Breast Cancer Care’s newsletter and all internal
communication as well as volunteer bulletins, and to ensure Events pages on the Breast
Cancer Care website and intranet are regularly updated.

To keep up to date with market developments, undertake competitor analysis, evaluate in detail
the performance of the UK Walks events and make recommendations to the UK Walks Event
Manager.
Event Volunteer management
 To lead in recruiting a volunteer and staff team to work on the events. To co-ordinate
volunteers, external staff and Breast Cancer Care staffing requirements.

To lead on the production of all volunteer communication and materials and be responsible for
all e-communication with all volunteers.
Sponsorship

To work with the UK Walks Manager to secure sponsorship and in kind support for the
events.

To work with existing sponsors to ensure their continued satisfaction and support for the
event and look for new opportunities for involvement.

To work with the UK Walks Manager to produce bespoke event sponsorship packages and
proposals for fees and in kind support
Finance
 To help the team reach financial targets agreed with the UK Walks Events.

To maximise income generation from the UK Walks events and to support the UK Walks
Manager with maintaining an income and expenditure account for each walk to ensure cost
effectiveness. To produce detailed reports and financial analysis on progress as required.

To ensure all sponsorship income is acknowledged by working closely with the external
fulfilment providers and the Supporter Services Team and to co-ordinate and monitor this
service.

To ensure compliance with all internal financial polices and the Institute of Fundraising
guidelines.

Staff Management and Supervision
 To oversee the work of office volunteers as and when required.

To supervise temporary staff and volunteers when required.
Cross Organisational Working
 To keep relevant members of the organisation and other stakeholders regularly updated on the
challenge events’ status, to engage their support and involvement where relevant.

To work with the Supporter Services team, Reception, Finance and Web team to ensure all
internal systems are in place for accurate registration, thanking and banking.
General Duties
 To maintain confidentiality regarding client information at all times.

To be self-servicing in the area of administrative functions.

To successfully deliver to pre-agreed timescales and budgets.

To liaise with relevant staff and outside agencies as requested.

To work with the UK Walks Manager to ensure the Head of Events is kept regularly updated on
all activity.

To represent the UK Walks team at meetings as and when required.




Person Specification – UK Walks Officer
Essential Criteria:
Knowledge and Experience
 Experience of organising large scale events.
 Relevant and demonstrable experience of working in charity events of a similar nature.
 Proven experience of generating income to agreed targets.
 Experience of undertaking marketing recruitment campaigns and growing event participation.
 Experience of working with partners and suppliers.
 Significant experience of administration tasks with excellent skills in this area.
 Experience of undertaking projects independently and seeing projects through to completion
 Experience of high quality customer care practices.
 The ability to juggle a wide range of activities, prioritise own workload, deal with conflicting
demands and meet tight deadlines.
 The ability to support management with the marketing of events to a wider audience, by
carrying out research of marketing methods, sourcing suppliers, quotes, and databases, and by
working with contacts in the local areas to promote the events.
 Line management experience, managing staff or volunteers.
 Educated to degree level or equivalent and/or have significant experience of working in a similar
role.
