JOB DESCRIPTION
Position: Church/Pastor Secretary
Purpose: To assist in the administrative functions of the church; and to provide administrative support to the
pastor.
Job Duties:

Maintain a welcoming hospitable office environment for church members and visitors. This includes
daily preparation of coffee as well as presenting a warm – yet professional – Christian demeanor to all who
call and/or visit the church.

Maintain church publications (including but not limited to): Weekly bulletin; monthly calendar; notes for
bulletin board; weekly prayer sheets; printing and distribution of monthly/quarterly reports; business
meeting documentation; financial monthly/quarterly reports to be provided to the Deacons; any and all
other publications and/or reports deemed necessary to church operations.

Personnel administration. This includes preparation and printing of timesheets for all church staff and
employees, as well as the printing and distribution of payroll. Additionally, this duty involves any
reimbursements or minor human resource issues involving church personnel.

Sunday school support. Duties include: keeping up with rolls using Excel, weekly and quarterly;
preparation of weekly/quarterly progress and attendance reports; ensure that each class has their roll
sheets each week; order Sunday school curriculum as requested and approved. Prepare and print
worksheets for SS Superintendent; prepare/print all necessary documents for SS classes.

Financial responsibilities. Work closely with Church Treasurer and Finance Committee members; print
materials and prepare Monday money count; prepare and print Money Counters schedules (as needed) and
provide same to financial committee chairman; keep all tithe/contributions/donations/ designated offering
information; keep all Sunday school fund information; use the Quick Books Program for all financial
business (paying bills, calculation and distribution of Missions funds, payroll, reimbursements);
preparation of monthly/quarterly financial reports; reconciliation of bank statements; counting and
accounting of weekly collection (in coordination with Finance representatives); prepare weekly bank
deposits; any other financial business deemed necessary by the church.

General office. Collect mail each day, distribute to appropriate parties; post mail as required; answer
phone; greet and attend visitors; perform online background checks (as needed) and maintain records of
same; order/purchase office supplies; any other office duties deemed necessary by the church.

Member care. Send out cards (prayer, sympathy, etc.) as needed; help members with information and help,
as needed; order flowers for funerals and those in the hospital; keep up with membership roll; interact with
Church Clerk regarding changes to member information; prepare and mail out yearly contribution
statements; be a loving and warm “point of first contact” for all TBC members; as needed, print and
distribute member directories; keep in contact with Building and Grounds committee to effect needed
repairs to church facilities; maintain contact with any and all committees, teams, members of the church in
order to disseminate information or meet specific needs; send new members welcome packets.

Pastoral support. Keep pastor’s calendar and provide comprehensive reminders to him regarding member
needs; send letters, signed by the pastor, to visitors and prospective members; forward all visitor
information to the pastor; provide pastor with a monthly list of member anniversaries and birthdays; mail
pastor’s correspondences in a timeframe determined by him; print/provide weekly reports to pastor; make
phone calls, set appointments on pastor’s behalf; keep pastor apprised of associational/denominational
requests; function as “ministry assistant” to the pastor, in whatever capacity he deems necessary.
Skills/Qualifications: The church secretary must be a baptized, Bible-believing Christian and a member of
Tyland Baptist or an associated Baptist church!
Additional skills include: Administrative Writing Skills, Reporting Skills, Supply Management, Scheduling,
Microsoft Office and QuickBooks for Non-profit skills; Professionalism, Confidentiality, Organization, Typing,
Verbal Communication, Phone skills.
Office Hours: Monday -Thursday, 9:00 a.m. to 3:00 p.m. These hours may vary slightly, depending on need.
Compensation: this position is probationary for 180 days. Two reviews will occur, at 90 and 180 days, at which
time employment will either be terminated or allowed to continue. The position’s pay will be adjusted like so:

At hire – 89th day: $8.00 per hour.

90th – 179th day: $8.50 per hour.

Post-180th day: $9.89 per hour.
