Avondale Outreach MINUTES ~ Dec. 8, 2016
* Next Outreach meeting = Tuesday, Jan.12 @ 6:15pm
Team members are asked to confirm their intentions for 2016 Outreach ( return or retire )
& FULL Council @ 7:30 pm
Finance Team met with the Outreach Team to present & discuss 2016 financial procedures:
1. Submit weekly / monthly receipts for expenses ( for Food Shelf shopping; The Local; Community Meal expenses )
to Yvonne / Office Administrator. Reimbursement cheques will be issued in about a week’s time.
2.
Yvonne will have Outreach month-end financial figures ready by the end of 1st week each month,
so the figures can be presented at Outreach Team meetings on the 2nd Tuesday of each month.
3.
When the Team makes charitable disbursements from the Outreach Fund,
Yvonne needs to be provided with the details ( how much $ and to whom )
and she will send the cheque(s) from the Outreach account.
4.
All Mission & Service contributions will be sent by the church office directly to United Church’s M&S.
Outreach is no longer responsible for this.
5.
Yvonne plans to give the Food Shelf a separate account code so the team can see the balances of both
Outreach Fund and Food Shelf account.
6.
CarolAnne will submit a cheque for the balance of St. John’s Outreach Funds to Yvonne by Dec. 31st. Yvonne will
deposit it into the Avondale Outreach account, thereby having funds available for Jan. 1st.
CarolAnne will not close St. John’s Outreach accounts until after she has received the Dec bank statement in Jan.
so she’ll know that all cheques have been cleared before closing.
Announcement at Council ~
Outreach will have a “GIVING TREE” in Sanctuary (January to March) to collect SOCKS for Shelterlink and FoodShelf;

Month-end Balance for Outreach Fund = $ 2,662.90
Disbursement = $1000 to MCC for “Stratford Welcomes Refugees” Fund.
( Ruth will have this disbursement published on the Avondale website, as well as in Dec. 13 & 20 church bulletins. )
Discussion: 2016 Outreach Budget and list of potential charities / organizations for future disbursements.
Motion: approval given to CarolAnne continue with revisions to our 2016 Budget proposal; email to team for final approval.
