Minutes of the Committee Meeting held at The Pavilion

8-10pm

Present -

Mike, Martin, Keith, Sonia, Honor, Rita, Andy, Simon & John.

1. Fix budget - Discussed and agreed budget will be £1900.

2. Lecturer costs - now £75 per lecture up from £60 plus a discretionary budget for 'special' lecturers.

3. Subscription Costs - Will stay the same except now have a concession for students in full time education. They will have a student membership for £35 and this will entitle them to full

membership.

4. Track up to pavilion - options...

Gully and land drains.

Can we ask the council if we get man power from footballers and the society what they can do to help?

Matting over the top grass? To investigate…..

ACTION: John to contact Chris Armstrong and Kathryn.

Status 22/7/15 – John has raised with Parish Council (Chris &

Kathryn), requesting feedback and/or discussion on phone or in

person at the Pavilion.

5. Dicks books - We need to invite Doug Biswell.

ACTION: John to contact Chris Armstrong to see if he has contact details for Doug Biswell.

Status 22/7/15 – John has sent a request by email.

6. Hewitt archive

ACTION: Mike to look back at the correspondence at that time and re contact those involved.

7. Security

Cameras - agreed to go ahead with contractor.

ACTION: Simon to contact contractor.

Alarm - agreed to go ahead with contractor.

ACTION: Simon to contact contractor.

Mag-locks

We will get a door entry system ourselves.

8. Outreach

When do we start to invite schools etc.?

Who?

Our policy will be that we are available on request to secretary.

We will not start this until building has been signed-off by the council.

ACTION: Andy to create a snag list for the observatory.

9. Building Inspection Notes

Stairs need a different specification and we are waiting for it from the council and for hazard tape to be put under the stairs.

ACTION: John to chase council.

Status 22/7/15 - Building inspector has sent the spec. Note: There is an additional snag regarding rainwater drainage – details have been requested.

10. Facebook and Twitter

Twitter is sorted but facebook is still not. We still have access problems.

ACTION: Honor to continue to pursue facebook access.

11. 24 th October 2015 - Stargazing day No.2

What should we do?

Who might we invite?

Ian from Midkent Astronomical Society wants to support us that day.

Telescope workshop?

Comet display?

Consider a planetarium?

Ask Barry Kellet again.

ACTION: Honor to organise again.

12. How can the Society convert people into members?

Agreement that every Thursday after an outreach event there will be an open evening.

Trial with this weekend's Dartford summer festival.

Beginners’ course?

*Solicit feedback from our newer members.

Welcome package?

Membership card?

ACTION: Sonia to formulate a welcome pack for new members.

13. A designated person to contact those members not having internet access?

Agreed it is not our issue but will put a programme on the notice board.

ACTION: Honor and Sonia to put up a programme on the notice board.

14. How to get more involvement from members at outreach events?

15. Dirty toilets at the Pavilion.

ACTION: John to contact PC.

Status 22/7/15 - John has requested feedback from parish council.

16. Include non-trustee committee members in committee emails.

ACTION: John will set-up an email address that we can all use for the committee.
