Background and Context
Campus and Accommodation Services was formed as a new department in the autumn of
2012. The department is made up of Commercial Services, the Accommodation Office, the
Sports and Fitness Centre and the Print room.
Commercial Services are responsible for the provision of all catering for staff, students and
guests of the University, for conference and function use (both internal and external
customers) and for the management of nine halls of residence in the village of Cottingham
accommodating over 1400 residents.
The halls of residence in Cottingham provide mainly catered accommodation during the
semester period for predominantly first year students and for commercial activity in the
vacation periods. Commercial Services are responsible for all catering and cleaning services
as well as the day to day management of buildings in this area.
A student residence since the 1920's, Thwaite Hall is an imposing 18th century country
house in over 24 acres of beautiful grounds adjoining the University's Botanic Gardens
offering a large lake, parkland and woods.
The hall offers 196 single rooms all with wash hand basins. Bathroom facilities are shared
and located conveniently at the end of each corridor with a maximum ratio of 1 bathroom to
every 4 residents. There are two common rooms, television lounge, music room with a grand
piano and a library with oak-beamed ceiling, all suitable to hold meetings and events. The
impressive dining hall with minstrel’s gallery lends itself to a variety of uses.
Thwaite Hall is an ideal venue for residential conferences, summer schools and can also be
used for weddings, family parties and other events including the use of a marquee in the
beautiful grounds.
Specific Duties and Responsibilities of the post
The post holder will be required to work at any Commercial Services unit as necessary,
and will maintain a high standard of customer care to meet the need of its customers.
The post holder will be required to supervise and review the work of the team and to
ensure that the correct level of resources and have accountability for the quality of the
work carried out.

Main Work Activities
Catering
 Responsible for production planning within budget limits.
 Responsible for the ordering and checking of all food and non-alcoholic beverage
requirements to include quality, quantity, price, stock rotation etc
 Responsible for food preparation, cooking, presentation, portion and wastage control.
 Responsible for ensuring the highest standards of food, food presentation and food
hygiene are maintained.
 To continually develop menus, so as to maintain satisfaction and increase sales,
whilst reflecting current trends.
 To monitor and organise staffing and rosters to the most economical effect
Communication
 Discusses work related issues, for example.
o Staff rotas including planning for staff absences
o Work schedules for self and others
o Reporting maintenance and repairs requirements
 Informs team leader of work progression
 Pass on and receive information for example,
o Enquiries from student residents
o Enquiries from conference and function delegates / prospective customers

Service Delivery
 To oversee the unit by acting as duty manager during opening hours including;
opening/closing of the catering and bar areas; supervision of operational staff; cash
handling; enquiry handling and bookings;

To retrieve information from the function diary

To ensure that rooms and facilities are fully prepared for use and that guest are
received

To respond effectively with and record complaints.

To oversee the overall delivery of the services provided through managing the
operational staff including assisting with recruitment, induction and training.

To ensure the effective administration of the unit.

To assist and support the Lawns Manager with regards to the accommodation in the
halls of residence

To hold keys for the unit
Analysis/Reporting

To maintain effective budgetary control within allocated resources to deliver a high
quality, cost effective service in accordance with agreed protocols

To maintain food, beverage and cleaning stocks including the provision of
replacements

To monitor and control stocks; food and beverage costs; gross profits and wastage.
Additionally the post holder will be required to:
 Fulfil the employees’ duties described in the University’s health and safety policies
and co-operate with the health and safety arrangements in place within the department.
May be required to undertake specific health and safety roles on request e.g. Display
screen equipment assessor, departmental safety officer, fire warden
