BGSA meeting 08/03/15
1. Call to order, and president’s report (Greg)– 1:35 pm
a. Elections
i. Greg sent out a call for nominations to entire student body
ii. Program representatives do not have any requirements to be eligible to run
iii. Executive board members
1. Have volunteers for all positions except for VP of Programming, and
VP of University Relations
2. Members who have attended at least 3 meetings will be given
preference, there is a system in place if the only volunteers have not
yet attended 3 meetings
iv. Election will take place online to all grad students in the School of Medicine
in September
v. Officer transitioning will happen in October
b. Newsletter
i. Send pictures to Greg, Courtney, and or Aliyah
ii. Only Pathology and Immunology responded with student publications
iii. Finalized before August 26

a. Orientation + Bar Crawl (Shadyside) – not heavily advertised, Monday Aug 24
i. $5 for appetizers/2 drink tickets
b. Hofbrauhaus Event - September 6
c. Pirates Game – September 19 (tickets on sale)
d. Fall Formal – 20th Century Club

6. Grad office report (Clare)
a. Orientation – begins Monday, July 24
i. Clare will be leaving for maternity leave this month

iii. Distinguished mentor award call for nominations went out on July 29
1. Matthew Hendricks can be reached to be a member on the committee,
need 7-8 members (mrh91@pitt.edu)
b. Agustin will be speaking Wednesday at the orientation lunch
i. Lunch – 12pm - Joe will speak about GPSG, Greg will speak about BGSA
7. Past events
a. Pirates game
i. Successfully sold all 36 tickets
ii. Cost to BGSA was $200-300 as expected
b. BioE picnic
i. Success
ii. Probably had 30-40 attendees
iii. Cost $90.92 for BGSA
iv. Next year, set up a game at a certain time so people don’t come and go from
12-5pm
v. Also look into air conditioned, indoor locations
c. Seminar
i. Food was budgeted for 25-30 people
1. 30 people attended
2. Cost was about $188
ii. People likely came because of the subject matter, not only for dinner
iii. Speaker accepted hotel payment, $180, but no other costs
iv. Total cost $380
d. Upcoming Summer Seminar Series
i. Jeremy Burg would like to come but has been difficult to schedule
ii. Agustin is also having trouble bringing in other speakers
iii. Still open to other suggestions!
8. Upcoming events
a. Symposium – November 4
i. Successfully formed committees for Steven L. Phillip’s award and
Distinguished Mentor awards
ii. Well-rounded student award currently requires 2-3 page nomination, but
could be reduced to 1 page in the future since there have not yet been any
nominations
iii. Abstract committee is needed
iv. Lunch and dinner invitations with the speaker
1. Students got a notification if they were accepted for meals
v. Breakfast 100 people, lunch 150 people at the University Club = $4,000
vi. Lunch with speaker, $250, and dinner with speaker, $250
vii. Not ready to arrange travel for the speaker yet, Dr. Atul Butte
b. BGSA orientation
i. Discussed in Grad Office Report
c. GPSG orientation table (August 24, 1-4)
i. O’Hara Ballroom
1. Beth will be there 1-2pm
2. Aliyah will be there 2-4pm

iii. Budgeting: Last year they budgeted ~$1500
1. Food ($1100) Chelsea/Aliyah will go to COTSCO
a. Amity will provide freezer space
2. Alcohol ($300) Greg
a. Three local beers that Greg will transport
b. Alcohol permit was already purchased with the pavilion
3. Ritas ($100?) - Agustin will take Mike’s place and bring the Rita’s to
the orientation picnic
iv. Logistics: Pavillion is reserved 11 am – 9 pm
1. Probably advertised to begin at 4pm
2. Set up people – 2pm
a. Aliyah, Abby, Nilesh + 1-2 more volunteers
3. Clean up people –

a. Texas has new, giant Jenga

c. Could use corn hole or other games
5. Nyla and Peter will walk students over, meet at BST lobby at 3:30 pm

9. Website
a. Aliyah will be soliciting information from people this month for the new website
b. Anyone who has ANY pictures from BGSA can also send this to Aliyah
c. Website should hopefully be going up by August 26!
d. The new website looks beautiful 
10. Constitution
a. Thanks Aliyah for putting together the Constitution!
b. Any changes or questions should be brought up now
c. Minor amendments can be added at any time in the future
d. Vote to approve Constitution – approved!
i. We have a new constitution!
